Hi everyone,
I’m currently using Airtable to manage inventory for my small business, but I’m facing some challenges in automating inventory updates and tracking low stock items. My goal is to use Airtable's built-in features, along with custom automation, to streamline the process without relying on third-party tools.
The problem is that, when a sale is recorded in the Sales Table, I need to automatically update the quantity in stock for the corresponding product in the Inventory Table. Additionally, I want to trigger an alert when the quantity falls below the reorder threshold so I can restock in time.
I’m struggling to figure out how to automatically reduce stock levels in the Inventory table when a sale is made.
need suggestion !

Hi Dona -
Airtable is a powerhouse so I defiantly believe you can achieve that goal!
There's a couple of ways you could set up a tracking system for your inventory
do you currently have your sales table linked to your products ? Is your re-order threshold a percentage?
Below I have a few samples to provide you with a potential solution :
- I have a field to 'count' the total sold and simple sum formula to track in stock - if your reorder threshold is based off of % inventory available you could implement an automation that is triggered if any item dips below a certain level.
You could also turn your first field in the product line into a conditional formula to flag the inventory that is low in stock, so that its visible as you input new sales :
