I wanted to share a way that we currently use Airtable AI to improve our project management:

We use Grain to record our meetings, as clients often want recordings. This also includes a transcript of the call. While Grain does use AI to provide outcomes, we realized we weren't able to prompt it at all, so often outcomes and next steps were muddled, so it wasn't always clear as to who did what.

So we now import Grain recordings into Airtable and then we use Airtable AI to review the transcript and then generate next steps for the team, as well as for clients. Here is an example prompt for our team:

Based on this transcript {transcript text} please provide next steps for the Rudd Consulting team. The team members would be {team member names} Please output as bullets, the only output should be the bullet points, no conversational points needed.

If this meeting is a sales call, or is an internal team discussion, the only bullet point should be "No Team Action Needed"

Now we have clear outcomes as the meeting is sent to our project management immediately after the meeting, and by clarifying who the team members are (and aren't) then we have clearer outcomes and next steps. This saves the team time filtering through meetings that don't have outcomes, or have no action needed, and can dive into the meeting as needed, as we include the link.

Would love to hear how you could leverage something like this!

Great system! It’s impressive how you're streamlining the process with Airtable AI for actionable follow-ups. If you're looking for additional ways to automate and enhance project management, you could consider using conditional logic in Airtable to sort meeting notes based on team members or meeting type. For instance, you could set up a field that automatically labels the meeting as "Sales" or "Internal" based on keywords, so you can instantly filter out any “No Action Needed” meetings, keeping the focus on essential action items.

This approach could save even more time and help keep your team focused on priority tasks, avoiding any unnecessary follow-ups for meetings without action points. Would love to hear how it works if you try it!

@KevinMorris love that idea! I am constantly iterating and yes, it makes a ton of sense to have the first pass be what type of meeting is it THEN if meeting is client call, then work through the next steps. Also stops the processing for both client and team action items for both TYPE of meeting AND Steps!
