I am currently using Airtable to manage payment records for my team.

I have set up a workflow where each team member completes a form, and based on that information, we generate a personalized invoice using the Page Designer extension. 

I would like to know if there is a way to automate the sending of this invoice as a PDF attachment directly from Airtable. My goal is that, once a team member completes the form, the PDF would automatically be generated and sent via email to the appropriate person. So far, I haven’t found an option to save or send the PDF directly within the platform. 

If anyone knows how it could be done but through some external tool or platform, I could also use that information.

Unfortunately, no.

Page Designer cannot be automated in any way. No Airtable extensions can be automated.

To automate the process of creating a PDF document and inserting the PDF file into an Airtable attachment field and emailing the PDF file automatically, you would need to turn to external document creation apps.

Here are some of your best options:

1. One of the most popular PDF creation tools for Airtable — and the one that I always recommend first — is DocuMint.

2. Another popular tool is Docs Automator.

3. Formstack Documents is another popular option which offers full Make support.

4. However, you can choose ANY document creation app that you would like, and automate the PDF creation process by using Make’s automations & integrations. You can even use good old fashioned Microsoft Word or Microsoft Excel. If you’ve never used Make before, I’ve assembled a bunch of Make training resources in this thread. For example, here is how you can instantly trigger a Make automation from Airtable.

How many are you sending per month?  If it's <=20, I'd recommend DocsAutomator for it (https://docsautomator.co/) as their free plan lets you do that with automations, whereas DocuMint only allows for automations on the paid plan

If it's more than that, the main considerations (to me anyway!) would be how the templates are created and how many you can send for how much

DocsAutomator templates are created via Google Docs, whereas DocuMint (https://documint.me/pricing) lets you do it via drag and drop, which is a lot closer to the Page Designer workflow

DocuMint's also twice as expensive as DocsAutomator for the same number of documents though (30 vs 15 per month at the time of writing), so it's a question of how much the setup time is worth, you know what I mean?  Spending an additional half hour or something creating the templates might be worth saving that 15 bucks per month

Customer service wise, DocsAutomator is pretty great; @Rupert_Hoffsch1 is a breeze to work with!

Automating PDF sending from Airtable’s Page Designer is possible with a few key integrations. Here’s a practical approach to streamline your process:

  • First, set up Airtable to trigger an automation when a form is completed. While Airtable doesn’t natively support sending PDFs from Page Designer, we can use third-party tools like Zapier or Make.com.
  • Using Make.com, for instance, you can create a workflow where once the form is completed, Page Designer generates a PDF. The PDF can be saved to a cloud service like Google Drive or Dropbox, then automatically sent as an email attachment to the designated recipient.
