Hello!

I am trying to create a way to track our recruitment conversion rates (for a large program where participants apply to be part of). I know it should be possible, but not sure how to configure it all. 

Here are the key elements:

  1. We have an existing airtable base where all prospective program participants apply via a form. A required field as part of the application form is "how did you hear about our program." There is a drop down list of options they can select from.
  2. Once an application comes into the view, we review and have new fields that we complete, such as: application ranking (single select), checkbox to offer interview, application status (interview offered, contract signed etc).
  3. I want to then be able to understand from each source (eg. newsletter, job fair, referral etc.), which applicants went on the following:
  • Number of applicants
  • Number of interviews
  • Number of offers
  • Number completed placements 

The goal is that this will help us better understand what source we should be investing more or less into, based on the quality of applicants we are receiving form each. So ideally id like to figure out a way to have information like, 60% of those who applied heard about our program via our website, and of those, 80% were offered an interview, 60% were offered.

Try converting the dropdown list into a linked field to a new table.  Once that's done you'll be able to create rollups / lookups / counts to get the data you want:

I love the idea of using Airtable to track recruitment conversion rates, and I’ve got a solid plan to help you achieve this:

  • Set up linked records to track applicants through each stage: application, interview, offer, and placement.
  • Use rollup fields and count fields to calculate how many applicants from each source progress through each stage.
  • Create summary fields to display percentages, such as how many from each source were interviewed, offered, and completed placements.
