Hey All - hoping someone might be able to help me out here. 

 

Using the list view in Interfaces and three dropdown options, I give my users the ability to generate and view custom reports. I'm trying to find a way to allow them to download/save/export these reports as a PDF or even Google Sheet - and hopefully save the list layout. 

Here are the issues I'm running into: 

1. There is no ability to add a button to the list view (Likely will not be able to work around this)

2. I've tried using the page builder extension but it will not allow me to include lookup fields in the data - which is how I'm building the list in the first place. 

3. I can't seem to find any other way to pass the filter information through to the automation with a button. In full-page Grid/Kanban/List views there is no option to add a button, and the Grid/Kanban/List elements can't be used as a button source in non-full-page views.

 

Is this beyond the capabilities of Airtable? Has anyone managed to find a solution without using third-party solutions?

If you want to automate the process of creating a PDF file and automatically attach the PDF file to the record in Airtable, or if you want to generate multi-page PDF files from Airtable, or if you want to generate PDF files from interfaces, you would need to turn to a 3rd-party app for that.

Here are a few popular 3rd-party apps for automatically generating PDF documents from Airtable:

  1. DocuMint — the original document creation app for Airtable. Creates PDF files.
     
  2. DocsAutomator — creates Google Docs documents or PDF files.
     
  3. Make’s integrations — which can be integrated with any document-creation app of your choosing, even something as simple as custom Microsoft Word documents, custom Microsoft Excel documents, or Google Sheets spreadsheets.

    If you’ve never used Make before, I’ve assembled a bunch of Make training resources in this thread. For example, here is one way that you can instantly trigger a Make automation from Airtable.
     
  4. Fillout’s advanced forms for Airtable — Fillout lets you automatically generate custom PDF files from a form submission.

if you want to automate the process of exporting all of your tables to CSV, Excel, or Google Sheets, you have a few different options (see below).

  1. You can use one of these automated backup solutions for Airtable:
    On2Air BackupsProBackups, or CSV Getter.
     
  2. You can create your own custom automations for this by using Make’s brand new, dedicated Excel file creation tool. This new tool is super easy to setup, because all you have to do is search for the Airtable records that you want to export from a table, and then this tool automatically merges together the Airtable records from that table into one Excel file.
     
  3. You can create your own custom automations for this by using Make’s CSV integrationsMake’s standard/basic Excel integrations, or Make’s Google Sheets integrations.
     
  4. There are 2 exporting extensions in the Airtable marketplace, but extensions can’t yet be automated nor run from interface pages.

Regarding #2 and #3 above:

You should try with Excel-Exporter. There is a freemium version and a premium version with a 7 day free trial. And if you have an issue, they assist you very quickly.

If the structure of your documents is quite complex, I can recommend using the Plumsail Documents extension to create documents from Airtable. Plumsail Documents is an application for generating documents from templates.

You can add the Plumsail Documents extension button to your database and with one click create documents from Airtable data in PDF or other Microsoft Office format.
