Hello all,I am a small video game refurbisher/reseller and as my business grows Im looking to move from Google Sheets to Air Table to help me manage the complexity of my inventory. Im hoping that the community can provide some insight into how to structure my system so that it is manageable and I keep track of things without making mistakes and/or losing my mind :)The core of my business is based on selling 3 things:Consoles Games ControllersGames are a standalone item. Controllers and consoles are not. Consoles have cables and replacement parts and controllers are similar. I often have to supply additional parts in order to create a single sellable product. For example, I wouldn’t sell a console without a power supply and AV cable.Each product also has different characteristics. For example controllers have colours and could be aftermarket whereas game have unique titles and consoles/controllers do not.

Hi,We run a photography studio. The customer journey starts with a discovery call, before proceeding with a deepened consultation call for some, and then the actual photo session. The bookings for the discovery call come primarily from Meta ads.When monitoring that we have enough bookings (and potentially need to work on the Meta ads to get more bookings), we need to see historical data for how many bookings we’ve had. This would be on either daily or weekly basis, the problem is the same. For example, we’d like to see a table showing how many bookings we had for the coming two weeks and have this for each day, and see what the historical levels have been.This is how I tested: I first created a new table with one record per day. Then I linked the event bookings to each record (day). I then created a lookup field that would select all events of the type Discovery and wanted to add a filter for including only those events with a date “on or later” than that record

Problem:I am a tabletop game designer.I am designing a game with many "units" that consist of 15 data points each (Name, attack value, etc).I am currently using Google Sheets, but one field of the data points (Ability) is in long form with bold, italics, etc and is very hard to read/edit natively.Solution:Is there a way to use Airtable to have a data set which you can pull up via a Form that allows you to search/find any of the data sets (by 'Name' preferably) and edit the content which updates the database?

I try to use lookup tables to reduce duplication of data entry in linked tables. Here is a common scenario and I am trying to solve this. If the lookup value in a table is itself a record, can I do a lookup of that record? So basically, a lookup of a lookup?It seems that I cannot. But it would be super helpful. Or if anyone has a hacky way to solve this, I’m open to it.  Here is table Data, which has its own lookup field from ‘Activity’ to Table Experiment  Then in table ‘Analysis’ I do a lookup of Experiment from linked record to Data, which AT automatically called Experiment (from Activity)(from Data)

Hey Guys, i wanted to ask if a guest user via Airtable Portals has the possibility to actively work in interfaces and set for example a drop down menuitem to an different value or add comments in a single line text field, which then is updated in the base. Or is the guest user via Portals a read-only access and changes made are only visible for the guest user session? 

Hi!I’m close to reaching my storage limit on the “Team Plan” (20 GB). I’ve been deleting data to free up space, but I’m not making progress fast enough. Here’s my question:If I have a base with images in X number of rows, and another base with a “lookup” field that mirrors those images from the first base, will the images count twice toward my storage limit?

Hey all!  I work in higher education, and we use Airtable to do a lot of our forms and petitions. When students submit these forms, we require them to include their unique 10-digit student ID.  I am trying to do two main things: Whenever a form is submitted, the ID number is checked. If the ID number has not been used in a form submission before, it creates a “student profile” in a new table.  All forms that are submitted with the same ID number are grouped under the same “student profile” so that our colleagues using the interface will be able to see all forms submitted by a student.  Does anyone have any advice? 

I have three tables.One has business information.One has Employee information.One has information about the workshops the business have signed up for. I want to create a table that tracks employee attendance for all workshops at all businesses. All employees attend all the workshops the businesses sign up for.I don’t know how to do this without a left table join. It seems like it should be simple, but it is not.

Hi all,I'm excited about the new Deep Matching functionality in AI Labs, but I haven’t been able to get any results yet. Here’s what I’ve tried so far: Tested with both large live tables (10k–50k records) and small test tables (10 records) Used conditional filtering to narrow results down to a single expected record Tried multiple models (GPT-4.1 Mini, GPT-5 Mini, GPT-5) Has anyone been able to get results successfully? Hi Airtable Community,I have a single-select (dropdown) field in my Airtable base, and I need to reorder the options in the dropdown list.Currently, the options appear in the order they were created, but I want to:Change the order manually (e.g., move certain options to the top).Questions:Is there a way to reorder dropdown options without deleting and recreating them? I’m wondering how or if a Make or Zapier sync model can detect changes on field types that can’t trigger the ‘last modified’ field that the sync is based on. If no editable fields on the record are ever changed, would the sync detect changes on a rollup field?What’s a best practice way to achieve this?

Hi everyone, I’m looking for some advice regarding Map View in Airtable.We have one table with all the businesses we work with, and another table with all our points of interest. What we’d really like is a single Map View where both datasets appear together, each in a different color (for example: businesses in one color, POIs in another).Right now, Map View only accepts data from one table. To work around this, we had to create a combined table that contains both businesses and points of interest, with a “Category” field that marks each record so they appear in different colors. This works, but it’s messy and difficult to maintain.My main questions are: Is there any way to use another mapping solution inside Airtable Interfaces, something faster or more flexible than the current Map View? I have a few solutions on another platform that allow free users to vote on records.  Is this possible in Airtable?  I’m willing to pay for myself and my team, but asking people who will only use the solutions once or twice a year to vote is a non-starter.

CONTEXT: I am a Film and TV Producer (on a Pro (Legacy Team) account) with PEOPLE, COMPANIES and INTELLECTUAL PROPERTY bases that I sync (i.e. “push out”) as relevant to seed specific FREE client/project bases so a handful of (<5) different team members (respectively) can update content specific to their projects.EXAMPLE: I maintain box office data on movies, track streaming, broadcast and cable series ratings, statuses and talent (ShowRunners, Actors, Writers, Directors, etc.), actors’ bankability stats, everyone’s credits linked to their IP, who’s moved company-to-company in the relentless musical chairs and vertically integrated morphing and consolidating - it’s A LOT to track! LOL! :-)If I’ve done the deep dive of complicated music licensing research on a specific song - or have an actor’s whole suite of (also constantly evolving) reps’ contact info, I don’t want to have to keep manually updating that across a ton of different project bases. I USE

In Airtable, the default color assignments for status fields need to be customized. The desired configuration is as follows: On Track → Green, At Risk → Red, Off Track → Light Red, and Resolved → Blue. These color mappings should also be consistently applied to all related charts and graphs.

We are a nonprofit that does contracted training, and I have set up a base to track the workflow from initial inquiry to completed training (with # of participants, etc.). Still struggling to get usage, but hopefully with some recent tweaks to interfaces, that will improve. I’m adding some automations to speed up the process and get more consistency- i.e. having a proposal auto-generate from the data entered, and then when final to have it auto-generate a contract. I’m using Fillout.com to gather the official info (oftentimes the contracting entity and signer are different than the person we’re working with directly), and then plan to use Docsautomator.io to generate the contract.  My question is… from a “safety” standpoint, i.e. not losing essential data, do you see any difference between saving the contracts in a Google drive and using a URL field to store the link, or using an attachment field type and “inserting” the document?  I do have

Hi everyoneI'm wanting to share my Base with a new employee who's role is head of marketing.I dont want them to be able to see financials etc so only want them limited to tables relating to their role. Currently we have all our tables relating to our business in one Base.Ideally they would be able to edit the AT base backend as some things are easier that way than setting up interfaces (e.g. uploading bulk new leads) and also they can set the base up how it works for them doing their role.Is it best to create a new Base and sync it or a seperate base without 2way sync?I'm currently on the Team plan that is level down from Business plan that allows two way sync. ​@ScottWorld ​@TheTimeSavingCo ​@Mike_AutomaticN ​@MloganAirtable Appreciate any ideas from you guy

Hello,  At the moment we have our planning tool in google sheet - per name / per day / what to do (fixed sessions per week) I want to add the planning to my airtable base (which i have done now) BUT:at the moment i have per day - per person - per week But if i have to change the date every week - it will be a task extra How can I do this so that I have a planning for weeks/ maybe months etc..
