Base Design

Hello,I’m new to Airtable and still learning, but the automations I’ve set up so far have already made my life much easier.I’m currently stuck on setting up invoicing. I have three clients—A, B, and C—and each client is assigned a different services package. For example:Client A: Package 1 Client B: Package 2 Client C: Package 3The packages and their pricing can vary by client. I’d also like to include a discount field that I can adjust manually when needed, although discounts will only be used occasionally. At the moment, I have the client details in one table and the services and pricing in another. All invoices need to be issued monthly on the 1st.I’d like to automate the process of creating PDF invoices and sending them out. Could someone please advise me on the best way to set this up in Airtable?Thank you, and apologies if my explanation isn’t clear.

I am using Airtable to record attendance for a small school. The base has two tables:Students, in which each record is a student Attendance, in which each record is a class session. There is a link between the two, so each Attendance record has a list of all students present, as well as the Class Name, and Date. Each record name in the attendance table is unique, and is a concatenation of Class Name and Date.   Each Student record has a linked list of all sessions attended. I want a field that reports the Class Name of the last session attended. I have a rollup field that reports the date of the last session attended. Here is a screenshot of that rollup: Is it possible to use Rollup to report the Class Name of that most-recent session?

In the “Grid View” in the app (on Ipad), where the submitted data is displayed, I don’t seem to be able to control font size. It makes the app relatively useless for my intended purpose (see screenshot below).System-wide font size adjustment on the device makes no difference in the Airtable app (same problem on Iphone). Is there any way to adjust font size?I noticed i don’t have this issue on Android, where system-wide font size adjustment works in the Airtable app!

I have been struggling for two weeks to set up a portfolio of projects in Airtable. I have a product that has multiple features. Those features have several projects each.I’ve completed all the training videos. None of them addressed this. I attempted to use the Project Portfolio Management template but it seems to be driven by the project goals which aren’t important for my team as we are not the product/project owners so have no need to track. I also don’t need to track at the task level--just the overall projects status, when sign-off and hand-off occur and, if possible, the status of Jira stories associated w/ each. Read an Airtable article regarding one or multiple bases. Didn’t really get me any closer. Any recommendations on how I should proceed?

Why is there not an “is any of” when looking up an array. id assume it's not possible?

Hi I’ve made a table to track vehicles arriving at my site but I’m struggling a bit with trying to make some forms that feed into it. I’ve made one form that the user can add new vehicles arriving which works fineI’m trying to make a second form that the user can look down a list of pre-logged vehicles and select the one that has arrived. Ideally this is from a drop down list, but it only lets me enter a new reg, not look at a list. The field type is short text if thats useful to know. Any advice would be appreciated. Thanks in advance.

Hi everyone,I’ve been managing our entire product catalog in Excel, but it’s getting short. I really need to have a better workflow, and I’m trying to figure out if Airtable is the right solution for my company or if I will hit a wall soon.I interact a lot with the products, change prices frequently, and need a highly visual and optimized system. Here is my specific scenario:The Data & Workflow:We manage around 3,000 to 4,000 products.I have a Master Products Table with historical data: UPC, Name, Brand, and Image Every single day, I receive 5 separate Excel files with updated prices and current availability. Each file belongs to a different customer tier (VIP, Wholesale, Distributor, etc.). If an item is not in the daily Excel, it means it's out of stock for the day.My ultimate goal is to use Airtable Interfaces (Gallery View) to show the active products with their respective prices, export them to PDF, and send them to clients.Based on your experience, is Airtable truly the right

Why wouldn’t you, as a company who likes money, after years of being asked, just develop a working mobile app? As it stand now the Mobile app is terrible. It loads slowly, the way the UI is set up, you constantly are popped out of your base when you try to move to different tables, etc. I’m not even asking for configuration to be better on app. I can sit down at a desktop to do this. But what is the point of creating tasks/todos in an airtable system if it take 5 min just to load up one linked task in a record? I know there are tons of these posts but they are all closed with no answer. I just want to know WHY. Is there some logistical reason why the UI cannot be developed into a working product? Is Airtable ran by evil goblins who enjoy our pain? Is it a social experiment to see how long we last before switching to a competitor? I’ve used Airtable for about a decade, I’ve moved my entire workplace and a few partners over to airtable because of how much I like the desktop version. But

So I have a internal inventory system built out where I record a bunch of different values per each material where the column name is much much larger than the data that goes in the column. As a result each cell is mostly empty wasted space that spreads out my screen with nothing useful, and means that I have to constantly scroll side to side to see all the data I need at one time. Bluntly, this sucks. Is there a way to have angled column headers so that the column name can still be see in full, but the columns can be made only as wide as they need to be? Something like this:

Hi everyone,A table in one of my bases (ΣΥΝΟΙΚΙΕΣ) disappeared today, July 23, 2026, sometime after 19:00 GMT+3. It's not in the base trash, and it doesn't appear in the revision history available on the Free plan (2 weeks).I've already emailed Airtable support, but wanted to check here too:Has anyone experienced a table just vanishing without an explicit delete action? Is there any way for a Free plan user to recover a deleted table, or does this require contacting support directly? Does anyone know if Airtable keeps backend snapshots beyond what's shown in revision history? This was manually entered research data for my PhD dissertation, so any pointers would be hugely appreciated. Thanks in advance!Σοφία

I have a very basic question! When I use linked records, I thought the field should auto-populate, but it is not doing that. Is there any way to make that happen? Eg: I am using Airtable for a small school attendance records. There are two tables; one called 'classes' and another called 'educators'. In Classes, each Class record (such as ESL120), has educator(s) listed in the 'Teachers' field. When I add a new class, I am able to look up teachers in this field, and I can see all educators listed in the Educators table. In the Educators table, each Educator is listed. There is a linked field called Classes. I want this field to auto-populate with any classes that the educator is listed under in the Classes table. TIA!!

Hi everyone,Is there a recommended way or best practice to clearly identify which base is the Sandbox and which one is Production (live data) ?I've run into an issue where I accidentally connect to the Sandbox base instead of the real one because they have the identical name in the selection menu.Is there an interface visual indicator or a technical identifier that you use to prevent this mix-up?Thanks in advance for any tips!

I’m importing data and Airtable determines that one field should be single select. This is totally fine but I’m wondering if it would be better to store the selections in a separate table and use a lookup. Is there a performance or size benefit to keeping all the possible choices for this column in a lookup table vs the single select options in the same table? So far, the largest number of choices from my data is 13 but there could be more.Let’s say I’m importing 8 data sets into new tables, each with a column that could be single select. The single select values would be unique for each table. Would it be worth the effort to populate the values from that column for all 8 tables into a separate lookups table? This raises the question of how to link that column or use a lookup after importing. Is there a programmatic way to do a lookup with a formula?

Hi all! I’m looking for ideas on the best Airtable approach for combining a high-level project roadmap with team capacity planning.I have a Master Projects table that brings together:Actual projects already assigned to the team Potential future projects that may be coming down the pipelineBoth use the same core fields, including Status, Assignee, Project Type, Product, Start Date, and Estimated Due Date. Potential work can represent either a specific expected resource or a larger initiative where we know significant work is coming but don’t yet know all of the individual deliverables. The goal is primarily team-level, monthly planning: helping our manager see committed and potential work together, identify especially busy periods, and gauge whether we appear to have bandwidth for additional work.I’ve tried Kanban, Timeline, and Roadmap Interface layouts, but none has felt quite “right” in terms of capturing both timing + workload. At this point, I also feel like I may be overthinking it

AirTable only facilitates Sunday-Saturday week view in the calendar view window/box. Since most of the world does not use Sunday-Saturday week layout. We’ve been asking for the option to change this to whatever we want. More than 50% of the world uses Monday-Sunday so for that reason (and common sense, e.g. ‘Sat and Sun comprise what most people call the ‘weekend’ is at the ‘end’ of the week’), we’d like the option to toggle that. Also, some people use other week formats.  We have been asking AirTable to fix this for over 7 years. It’s crazy that a tool which emphasises the customisability for users building apps/interfaces can’t facilitate such a basic format rule.  This topic was raised 7 years ago!! (2019) and it’s still unsolved:  Their initial proposal does not work

Hi everyone,I have built an interface dashboard with a list. In the development base I can open a record in the list to view the record details page. However when I try to publish it and use in another base I cannot make the details page appear.  Any thoughts what I could be missing?

I run an online business (ExpressCanopy.com) that sells custom pop-up tents, logo tents, trade show displays, and event branding products across the USA. We receive many custom orders with different artwork, sizes, and delivery deadlines.I'm considering using Airtable to manage customer orders, artwork approvals, production status, shipping, and follow-ups in one place.Has anyone built a workflow like this in Airtable? Which templates, automations, or integrations would you recommend for managing custom manufacturing or event product businesses?

Hello all!I'm working with a small school that is restructuring how we track staff time-off and homeroom assignments per year. Staff get reassigned to different homerooms each school year, and I need sick/personal-day totals to be tracked and reset cleanly per year without losing history once a school year closes. I was thinking a junction table might work but would love to hear any other options I might have overlooked or if I’m overengineering this!(Bold indicates table, all listed items are the fields. Homerooms, Staff Year Assignments, and Staff Time-Off would be the new additions)Staff (existing table)Homerooms    - Homeroom Name    - Active Status    - Assigned Students (linked to Students table)    - Current Staff Count (rollup from Staff Year Assignments table)    - Min Staff Required (formula)    - Ratio Status (formula for staff per student ratio)Staff Year Assignments (junction — one record per staff member per school year)    - Staff (link)    - School Year (link)    - Home

Hi everyone,I'm trying to build an employee shift schedule in Airtable where the schedule repeats every week. I don't need specific calendar dates—only the day of the week and the start/end times for each shift.I initially thought about using Date fields, but they always seem to require an actual date. I also looked at Duration fields, but those appear to represent elapsed time rather than a time of day.I'm wondering:What is the recommended way to model recurring weekly shifts in Airtable? Is it best to use Date fields with an arbitrary date and simply ignore the date portion? Are there better alternatives, such as text fields or another field type? How do you handle sorting by time and calculating shift lengths in a setup like this?I'd appreciate hearing how others have structured similar recurring schedules. Thanks!

Anyone else finding the base ‘find in view ‘function frustrating to use lately? As soon as I start typing it immediately starts searching so pauses the ability to continue typing resulting in letters being missed. The only way to use it effectively is to type r e a l l y  s l o w l y or paste the word(s). It never used to have this issue and, since I use the find function regularly, it’s having a severe impact on my workflow. Advice welcome.

I have been experiencing a problem with the project management template base not pulling projects and tasks into the my task page. When I update the project and tasks page, it does update timeline, kanban, management view, etc but for some reason that one tab does not work. I checked all conditions and it is the same as other boards I have used under this template and has not deviated. I took it a step further and tried a new project management template base and the same issue is happening where tasks do not map to that page. Is there a fix for this problem as our PMO manager liked the rolled up project view v granular details? Thanks in advance.

I manage a monthly image competition for a professional photography group that is presently managed in spreadsheets.  I’ve created four tables and I think I’ve linked them, but the look up fields don’t always populate from the linked tables. Can I invite someone to look at my workspace and help me figure out what I’m doing wrong? Any guidance would be greatly appreciated!

Hello Airtable Team, First of all, thank you for creating such an amazing platform. I've been building increasingly complex systems in Airtable for several years and I would like to share a few feature requests that, in my opinion, would significantly improve the platform for advanced users.1. Cross-base linked recordsCurrently, linked records work only within the same base.It would be extremely useful if a "Link to another record" field could reference records from another Airtable base. This would allow users to build larger "Life OS" or enterprise systems without duplicating data across multiple bases. It would also reduce duplicated data and improve data consistency across multiple business domains.2. Rollup → Range()A new Rollup aggregation function that returns the minimum and maximum values in a single formatted result.Example: 5–8instead of 58or requiring formulas afterwards. It would be useful for dates, prices, years and many other numeric values.3. Full-screen Record DetailOne

I’ve built out a fairly robust Jira replacement for our Agile team. This base has separate tables for Tasks and Sprints (among others). All Tasks have a Status, ending with ‘Done’ and all Sprints are either ‘Complete’, ‘Active’, or ‘Backlog’. My question is - what’s the best way to move any incomplete stories to the next sprint when I’m closing out the current one? I’d need to 1. Change current Sprint to ‘Complete’, 2. Change next Sprint in the current view to Active, 3. For any Tasks that are not Done but are in a Sprint that’s Complete, change them to the Current Sprint. I feel like that’s too many steps to tie to one button click, or that it would all happen too instantaneously for the stories to get moved correctly. I expect that this has been solved by others - does anyone have a nice solution?

I am looking to get help on structuring my base to track Deals, Tasks, and Subtasks without overcomplicating the fields and inputs. What I am struggling with is that some Tasks don’t have any Subtasks, so I created a separate “status” field for just Tasks. Right now I have Tasks and Subtasks in separate tables with Subtasks linked to their appropriate Tasks. This is fine, but it’s a little awkward and annoying that I have two status fields now at two different levels. Especially in interfaces.  Why do I have a status field for Tasks and Subtasks? I want to automate when all the Subtasks are complete, then that parent Task is filtered out and no longer shows on my interface. If a Task doesn’t have Subtasks, then I need to have a separate status field for Tasks so when they are complete, they will also filter out when complete.  In short, I imagine there is a solution or more efficient alternative given this is a very basic Project-Tasks-Subtasks structure that thousands of people probab
