I'm the Festival Director of an event in Japan (World Music & Dance Festival: wmdf.org),
and we've been slowly incorporating Airtable over a period of years. We are also non-profit and
have done most things ourselves (my day job is professor of Computer Science).  We started
around 2019 with just an artist database for communication and some simple visualisations in
Page Designer blocks, and now have an interface-based portal that shares information with
all the core staff and automates materials like set lists.

We also have a co-located "Goods & Gourmet" festival that is now primarily managed in
Airtable, including tracking all the rental options for the booths and handling paperwork.

I de-lurked here because your message caught my eye, both for the festival content and
because I've been to Brisbane for work and have some friends there. Although I can't
physically come to your office, I'd be happy to offer some remote assistance or advice to a
fellow festival organizer.
