Hello,

my question is very similar to  https://community.airtable.com/t5/automations/invite-colleagues-to-connect-gmail-account/td-p/72428 but there was no solution to this post and I was unable to reply to it.

Below is a picture of my automation set up. I would like the automated email to send even if the trigger (which is in an interface) is initiated on another computer ( a colleague's, so they would be part of the work email domain(?)) and would not be logged into my email.

Do people trying to use this automation from a different computer need to be logged into my email? Do I need to attach their email to the automation?

Hmm I think you’d need to indicate who was sending the email and then use conditional logic with separate ‘Send Gmail’ actions that were tied to the different accounts:

Note that you can only configure the Gmail automation action to send from a particular Gmail account if you were the one who added that particular Gmail account to Airtable.

So prepare your Gmail automation action ahead of time, and after they add their Gmail account, be sure to have them select their own Gmail account from the dropdown list.

I used a combination of both ​@ScottWorld and ​@TheTimeSavingCo ‘s answers. Mine’s not quite as elegant as the suggested solution but it is functional for our company.

 

How do we mark answers as solutions in this new community set-up?

Glad you got it working!

There should be a little button to mark the solution on as many replies as you’d like.

Also, one other thing I forgot to mention above is that you can also use Make’s Gmail automations in conjunction with Airtable, which gives you a TON more flexibility and power and customizability with your email automations. And once you setup a Gmail account once, you can use it over & over again, regardless of who is setting up the email automation.

The only downside to Make is that there is a huge learning curve to figuring out how to use it, so I’ve assembled a bunch of Make training resources in this thread. For example, here is one of the ways that you could instantly trigger a Make automation from Airtable

Actually, just got an email from Airtable that this isn’t possible: 

 

At the moment, Airtable’s “When a button is clicked” trigger can indeed start an automation, and you can follow it with a “Gmail: Send email” action. However, the Gmail account used must be manually connected during setup, and the automation will always send from that specific account.

Unfortunately, it’s not currently possible to dynamically select the Gmail account based on who clicked the button. It’s a great suggestion and definitely something we welcome as a potential improvement!
 


No, if that’s what support told you, then they are incorrect. It can be done, but you have to do it using conditional groups.

When a button is clicked by a user, you can set a field with the name (or User ID or email address) of the user who clicked on the button.

Then, you can use that person’s name to setup conditional groups in your automation.

Each conditional group can send the email from a different email address.

I believe that what support means is that you cannot have only one Send Gmail action block (rather than multiple on different conditional logic blocks) where the gmail integration will be dynamically chosen based depending on who clicked the button. But once again, where the Send Gmail action block is just one, with multiple account connections on it -this is not possible!
