Best way to enable employee to be a creator/editor within base?

Hi everyone

I'm wanting to share my Base with a new employee who's role is head of marketing.

I dont want them to be able to see financials etc so only want them limited to tables relating to their role. Currently we have all our tables relating to our business in one Base.

Ideally they would be able to edit the AT base backend as some things are easier that way than setting up interfaces (e.g. uploading bulk new leads) and also they can set the base up how it works for them doing their role.

Is it best to create a new Base and sync it or a seperate base without 2way sync?

I'm currently on the Team plan that is level down from Business plan that allows two way sync.

Given that you expect them to want to set up their own base (which I assume involves new fields, automations, etc), then yeah a synced base makes the most sense

Do you need to see the marketing related information in your main base?  If you do, then you’d either need to upgrade to Business or try to sync it yourself using Airtable automations + scripting or a third party automation tool like Make or something

Not sure how your data’s set up, but would it be easier to pull all your financial data out of your main base instead?  You’re going to have this problem for every new person that comes in, and so having your financial data’s siloed off seems like the better long term solution

Thanks for quick response mate. 

 

Yes need main base to have marketing data. E.g. They create new leads (contacts and businesses) which is how they end up accessing front end App, or adding images to our products which show on our front end App etc

 

Good point re silo finance data but its linked to many tables so probably easiest to have a seperate base for any new employees who are not approved for the main base.

 

I guess it comes down to cost of upgrading to business plan vs time doing manual sync vs sharing sensitive data to employees...

Hey ​@FPX,

Yes, as mentioned above there is no way to allow them to the back-end, but not have them see some info in it. Just to have some more context, where do these two potential basis (one containing financials, and the new one) would overlap?  Contacts, Businesses, invoices and payments?

Are they also taking care of financials for their aspect of the business, and they should be able to access such data but not historic financial data?

There are limitations with 2-way syncing, so another option is to just keep their synced records as read-only, and then let them edit those records for free with Fillout. You could even create a security login page, if necessary.
