Limit Single Selecion Field While Maintaining Formatting

You can only do this with linked record fields. Convert that single select field into a linked record field, and choose the option to create a new table.

In your new table that you just created, you can add a new field where you can control which ones are “active” or “inactive”.

Then, back in your original table, you can filter the linked record field to only show you “active” options.

For further reference, you can check this other article to see how to apply conditions to the selection of linked records. Article shows a dynamic filter, but you can easily set up a static one, where status is “Active”.

We can’t do that with single select fields I’m afraid.  As a workaround, you can use a linked field with a filtered conditional for this and I’ve set it up here for you as a reference:

Using a linked record instead of a single select is a better approach in your case.

It allows you to create a separate “Representatives” table where each rep can have an “Active/Inactive” status and other details. This way, you preserve historical data while still being able to filter out inactive reps when entering new records.
