Show Utilization Per User With Multiple Assignees

Hi there!

I've been playing with the Utilization summary grouped by Assignee in the Project Management template and am trying to figure out if there is a task that is assigned to multiple users show up in each users field and have the time spilt evenly.

I see that you can have the time split evenly in the properties settings but when a task has multiple users it shows as a task in whatever the combination of users is because I've grouped by User. I'd rather see the task in both users individual grouping with time split equal.

Any one run into this and have a solution?

Hi @PickThisBerry !

In more general terms, what you're looking for is to group by a Multi Select field, in a way that the records show up in all values' individual groups instead of having a group for all combinations.

With the default Grid view, this is not possible. However, if you create a List view and group by it, it's going to behave exactly what you're looking for - see the selected last task below:

Appreciate the insights and I understand that functionality.

I was more looking for a view within a timeline that has a utilization summary I'm trying to figure out if there is a way to have TASK 3 show up in each assignee vs as a grouping of the assignees and still have the time allotted to the task to be split among all the assignees.

In the visual TASK 3 takes 100% of time in a day. With 1 Assignees it would fill their day but since there are 3 assignees and the allotted time is set to split the task should take 33% of their day. 

The challenge I have is that while i understand the current functionality and that pulling the task out based on grouping helps in certain aspects of reading the data and we have a lot of tasks that are shared in various combinations of assignees so it clutters this view.

Open to any other suggestions anyone might have tried.

Hi All–

Following up. I realized that what I was looking for was the attached toggle that splits the â€śuser” field or “linked record” field (to a USER table) into individual grouping if there were/are multiple values within.

What was happening for me at the time of the question was is person A, person B, and person C were all assigned to a task that would be a group on the utilization report PLUS person A, person B, and person C would each have an individual utilization group.
