Freelance Systems Analyst Needed for Events Management Database Project

Hi everyone,

We’re a London-based social enterprise that operates a busy private-hire events venue and an education programme. We’ve just published a brief for a freelance systems analyst to help us map, refine, and rebuild our operational workflows into a more integrated database — most likely using Airtable (or a similar platform if more suitable).

We’re looking for someone who can:

  • Analyse our current multi-tool workflow (Excel, Outlook, JotForm, Xero, Sling, etc.)

  • Map and rationalise the data model

  • Propose an improved future-state system architecture

  • Build an MVP database aligned with our operational needs

  • Provide clear documentation and handover

This is a paid freelance project, and we are inviting proposals including project rate and recommended approach.

Given your current setup, spread across Excel, Outlook, Xero, Sling, Jotform, and ad-hoc documents and the future state workflow shown in your system map, my approach is to centralise everything around a single operational brain: Airtable. It’s the only platform flexible enough to handle CRM, event operations, catering data, crew details, invoicing links, and reporting in one modular structure.

From there, I’d layer automation using Airtbale automations and Make as it has native integration with Sling. After that it can handle Xero’s invoicing, Outlook email, and Sling’s scheduling.
