Hello, I am a dog trainer who does  in home private sessions (sold in packages of 3,5, 7 and 9 sessions).

I am looking for a way to keep track of where I am with each client (how many lessons have they used/ how many lessons are left?). I also need a way to keep track if I have sent a follow up email after each sessions. I got the idea of Airtable after ChatGPT gave me an example of this base, but alas, the AI cannot create said base. I also need a real person I can tweak things with. I tried to do it myself, I get frustrated not being familiar with AirTable.

I will provide more specifics, but this is pretty much it.

Hi @jmevans90,

I am an expert Airtable consultant and can definitely help you set all of this up!

Please feel free to contact me through my website: ScottWorld - Best Airtable Consultant

Best,
Scott

I see you want websites for the company, I independent contract for 3 dog training companies. This is personal use to keep up with my clients who are given to me from them. What website would I list? I don’t have one, these companies sought me and I don’t have a need for my own website. .

You can just type something like “N/A” or “no website”.

Hey @jmevans90

I can definitely help you create an Airtable base tailored to your needs for tracking clients and their session progress. Here’s how I would approach it:

  1. Client Tracking: We’ll create a table to track each client, where we can store their contact info, package type (3, 5, 7, or 9 sessions), and start date.

  2. Session Progress: Another table will track each session, with columns for which lesson has been completed, date of the session, and how many sessions remain. Airtable can calculate remaining sessions automatically.

  3. Follow-up Tracking: I’ll set up a column to mark whether a follow-up email has been sent after each session. You can even automate reminders for follow-ups using Airtable's integrations with email tools.

  4. Automation & Views: I’ll also set up views to help you quickly see which clients have remaining sessions, who needs a follow-up email, and any overdue tasks.

I can guide you through setting it up and make adjustments as needed to match your exact workflow. Once it’s ready, you’ll be able to tweak things on your own with ease!

Hey @jmevans90,

Sounds like a fun project. I’ve helped out similar organizations in the past (including dog rescue shelters and organizations with project management needs).

For specific project management Airtable architecture, you can check out this video.

I’d be happy to go through your specific needs! Please feel free to grab a slot using this link.

Hmm, I’ve set something up here for you to check out

You’d have a table of clients:

And each client could have multiple packages (and you can see remaining sessions based off of the completed sessions and package type they bought):

And each package would have multiple sessions:

Obviously your workflow’s probably going to be way more involved, but figured this might be handy to get you going!

Hi,
I work with Airtable extensively and what you are describing is totally doable
Happy to set up a base that is simple to use and easy to update as you grow.

You can reach out to me on my email here

Hey @jmevans90

Did you use Airtable AI to build it or at least make your some huge progress on that? I have very similar internal structure and the solutions you need are listed on the post’s thread. I would recommend to try to build them by yourself first, since in term of business scalability it is important to know how you business actually operates and how you can improve it.

I do co-building sessions, where we work live on the call building the solutions you need. In that way we make progress before the end of the conversation while you are learning how the system actually works and you can make your own improvements.

Happy to schedule a 30-min conversation to review your project and ideally we can make some progress in that call. Here is my calendar link: https://cal.com/dimitrisgoudis/meet-dimitris

Thanks,
