how are Phases/categories linked to other projects with out linking the specific task attached to a phase

Once a project is created. How do I link phase/ category that is linked to another project but not have task also link to new project

Hm, sounds like Tasks are linked to Phase / Category records?

Instead of having a single Phase record that gets linked to multiple Projects, what if you had one unique Phase per Project?  e.g.

Project 1 - Phase A

Project 1 - Phase B

Project 2 - Phase A

This way you could link your Task records to the Phase without it affecting your other Projects

I’m not sure if I’ve fully understood what you’re asking though, sorry!  If you could still use some help could you provide some screenshots of your tables please?

1. Do you think you could provide further context? Happy to help out with further detail.
2. What he is describing in his message above is a Junction table for “Phase per Project”.
 

Different use case, but hopefully this video shows why this tables are really helpful.

The key is separating your Phase/Category links from your Task links at the table level.

Structure it like this:

Projects Table:

  • Linked to Phases (many-to-many)
  • Linked to Tasks (one-to-many)

Phases Table:

  • Linked to Projects (many-to-many)
  • Linked to Tasks (one-to-many, separate link)

Tasks Table:

  • Linked to Projects (many-to-one)
  • Linked to Phases (many-to-one)

How to link phases without tasks:

When creating a new project, you link the Phase record directly to the new project. This creates a relationship between Project and Phase, but does NOT automatically link the tasks.

Example workflow:

  1. Create Project B
  2. In the Phases field, select existing phases like "Planning" or "Execution"
  3. Those phases are now linked to Project B, but their tasks stay linked to their original projects

Important: Make sure your Tasks table has TWO separate linked record fields:

  • {Project} - Links task to its project
  • {Phase} - Links task to its phase category

This separation means phases can be reused across projects as templates/categories, while tasks remain tied to their specific project context.

If you want tasks to automatically appear when linking phases, you'd need to add a lookup field in Projects: {Phase Tasks} looking up the tasks from the linked phases—but those tasks won't be editable in the new project context without manual re-linking.
