That is not possible with Airtable’s forms, because Airtable’s forms can’t display any information from your base.

However, you can do this with Fillout’s advanced forms for Airtable.

Fillout is 100% free and it offers hundreds of advanced form features for Airtable, such as updating Airtable records from a form or displaying information from your base on a form.

In your case, you would create a form based on your “Absences” table.

Then, you would place your “employee” linked record field onto your Fillout form. This is where the user would choose their name from the list of employee names in the linked employee table.

Then, after choosing their name from the list of employees (which is pulled from the employees table), you can display any information that you want from their employee record, such as “remaining paid vacation days”.

To display this information on your form, place a text element onto your form (such as a paragraph block), and then hit the @ symbol on your keyboard to choose fields to display from the employees table.

You can even perform date and number calculations in Fillout, so you could prevent the employee from submitting the form if they’ve tried to request more days off than what they have available to take off. You can even display a custom alert message on the form if this is the case.
