When I send the record to my colleague’s email, emails with different subjects are merged into one of the recipient’s inbox.

The only way to fix that would be turn off “conversation view” in your Gmail settings.
Apple Mail is smart enough to not thread those emails together, but apparently the Gmail website is not.
