Question

Generating record from barcode scanning

PAMillworker

Our inventory system works as such: In the Project Materials page on our AT Dashboard, engineers go to the Place Request table and add their items,. I move items into the Need To Order page and add prices/links and then review them, and then move whatever is approved into the Approved To Order page, so on and so forth.

We also have an Ipad with a Place Request Form on it so people on the floor can remotely request things, as they don’t have computers, and it automatically puts it into the Place Request page.

For certain items, I want people to scan a QR/Barcode associated with an item and have that act of scanning put that item into the Place Request page. Is this possible?

I have looked at the various extensions that exist for scanning but they don’t seem to do what I’m trying for or I’m just not understanding how they work.

Hm, if you use a Barcode field you can use the iPad’s camera to scan barcodes and it’ll automatically key it in for you?  And so the workflow would be:

  1. Open the Place Request form
  2. Tap on the camera icon in the Barcode field
  3. Scan the barcode on the item and it gets automatically filled into the Barcode field
  4. Submit form

Would that work?

Or are you thinking about a workflow where it goes:

  1. Scan barcode
  2. Automatically create record in Airtable

If you don’t want to use a form as @TheTimeSavingCo mentioned above, you might want to take a look at creating QR codes that will automatically trigger an automation using Make’s custom webhooks.

Make will give you a  webhook URL to use such as https://make.com/123456

Then, for each inventory item’s unique QR code, you can append the Airtable record ID to that URL by doing something like this:

https://make.com/123456?record=abcdefgh

Then, your Make automation will know which record to perform the automated action on.

There is a bit of a learning curve if this is your first time using Make, so I’ve assembled a bunch of Make training resources in this thread.

And in this video, I show how to use custom webhooks, although this demonstration doesn’t directly apply to the exact workflow that you’re looking to do.

Hope this helps!
