Send different membership categories to form letter

I have a database with a number of different membership categories - e.g. Partner, Society, PAHH - and have set up automations to pass the membership details to generate either a form letter (via MAKE) or email (native Airtable) as a reminder that the membership is due. At the moment, I have multiple automations for each membership category for each of the 4 letters required. This is unwieldy, and there is a lot of scope for mistakes with so many automations and webhooks.

All the 4 letters for each membership category are the same, other than the partnership category. I cannot work out how to have just one set of automations for these letters which passes the membership category to either the email or MAKE to personalise them. The problem is that some members are in more than one category, so I cannot, for example, use the membership field as there may be “Partner” and “PAHH” in that field, and I only want the reminder to be sent for one category.

Ideally, when the button to fire the automation is pressed, I would have a window pop up to select the membership category, which would then pass through. However, I realise this is not currently possible in Airtable, so I need a workaround. 

Any ideas would be gratefully received so I can streamline the processes.

A cleaner approach to this challenge may be to add a separate “Reminder Category” single select field.  This will easily determine which value would get passed to Make or the email template.  Even if the member belongs to multiple categories they still get only one email.

 

You could also normalize the membership into a linked Membership table with a record for each category.  It would make the logic for the automation cleaner and completely avoid issues with duplication.

I was also thinking they could perhaps do a switch formula to prioritize the alert categories (Basic=1, Partner=2, Society=3, etc) and then could use greater than or max value logic to categorize which letter they should receive.
