Hey there, I am wondering if anyone knows how to use Fillout to generate unique forms for people in the airtable database. 

The idea is this: let’s say on some column in Airtable, Bob is only eligible for groups 2, 4 and Adam is eligible for groups 1 and 3, is there a way for Fillout to read this information on airtable and then create a personalised URL that gives Bob a form asking him to pick only between groups 2 and 4, and similarly with Adam? 

And can it do so while having a ‘live-booking’ functionality - so within Airtable, we have a Groups table that displays the remaining seats, so if group 2 currents sits at 0 remaining spaces, Bob will only have a form that asks him to pick group 4 (not a great example but hope you see what I mean).

I would really appreciate any insight into this :)

Yes, all of this can be done by using Fillout.

If your groups are chosen from a linked record field, then yes, you can filter your linked record selection to only show the choices that you want each user to select from.

Check out this support article for instructions on how to set this up.

If you want Fillout to automatically know in advance which user is using the form, you can create a login page.

Alternative & less powerful ways of doing this would be to:

  • Use conditional hiding in Fillout to hide fields that you don’t want certain people to see on the form.
  • Create completely different forms.

Then in Fillout, try setting up filters like this on the linked field ‘Groups’:

 

And when viewing the forms it looks like this.  As you can see, Bob can only see Group 2 as Group 4 doesn’t have any more available slots:
