Best Airtable sync pattern for tasks, approvals and proof?

I am working on a Crankflo integration where Airtable holds structured operational records, while Crankflo owns execution, proof and approvals. The sync I am considering:- Airtable keeps customer, workflow or task records.- Crankflo turns selected records into executable Todos.- Results and proof sync back to Airtable as status, links and timestamps.- Approval or retry decisions stay visible without duplicating private payloads. For Airtable builders, would you make Airtable the source of truth and mirror execution state back, or keep execution state outside Airtable and only sync summary fields? Which fields do you usually persist for audit?

In most implementations, I prefer Airtable as the system of record and let the execution platform own the operational workflow. Airtable is excellent for maintaining structured business data, relationships, reporting, and governance, while tools like Crankflo are better suited for execution, proofs, approvals, and task completion.

Rather than syncing every execution detail back into Airtable, I usually persist only the fields needed for visibility, reporting, and auditability:

  • Execution Status (Queued, In Progress, Completed, Failed, Retried)
  • External Task/Todo ID
  • Created and Completed Timestamps
  • Assignee or Execution Owner
  • Approval Status
  • Proof/Artifact URL
  • Last Sync Timestamp
  • Error or Exception Summary

For audit purposes, I generally avoid duplicating full payloads, logs, or sensitive execution data unless there is a regulatory requirement. Instead, Airtable stores references (IDs, links, timestamps, outcomes) while the execution platform remains the source of truth for detailed operational history.

This approach keeps Airtable performant, reduces sync complexity, and still gives stakeholders a complete operational view through Interfaces, Automations, and reporting.

One area I'd be interested in hearing from others on: how do you handle retries and approval chains? Do you store every state transition in Airtable for historical auditing, or only the latest state plus a link to the execution record?

Have you tried using Airtable as a source of truth and mirroring the execution state back?  Probably better to do this as summary fields instead of sending the full payload.  It can get messy trying to store all of the raw execution data inside of Airtable, especially when the volume picks up.  Most of what you are sending isn’t something you would actually want to reference at the record level anyway.

For the audit, a few fields would go a long way.  How about a status field (as a single-select and not a free text); a link back to the Crankflo execution record; start/completion timestamps; who approved or retried, and when; as well as a retry count.  This will help you create a trail of what happened and who touched it right inside of Airtable.  You would still be able to follow the link out if you need the full detail.  How were you planning to handle the sync-back trigger with polling or a webhook?
