Notifications for guests users

Hi,

 

I have established a foundation to collaborate with an external community. All my providers are added as Guests and have only access to interfaces. I’m struggling to find documentation for Guests users only, and especially regarding the notifications. I need several things and either it’s not possible so i need to find a work around , or i don’t know how to set it up:

1/ when someone leaves a comment on a record the @ does not show all the guests users (portal editors) only the Editors and on top of that they don’t see who left the comment either it says anonymous, is there a way to change that without changing the portal editors status? i would need the portal editors to tag each other.

2/ is automation the only way to receive emails when a status is changing? or am i missing something?

Yeap that’s right.  We’re talking about a Single Select field of some sort, right?

I’d recommend opening a support ticket about this one!  I just tried this out and yeah, Guest users don’t show up for @s, and when commenting it shows ‘Someone’ commented like you mentioned.  Tried poking around for this one and couldn’t figure it out either, sorry!

Yeah then automation + email’s the way to go I reckon

I can’t say I’m afraid.  Hopefully we’re just missing a setting somewhere and support can point you at it

This is expected behavior in Airtable and can't be changed without upgrading portal users to full collaborators.

The @mention feature only works for base collaborators (Editors, Creators, etc...), so portal editors won't appear in the dropdown, can't be tagged. This is by design, not a bug.

If tagging is important, a workaround is to create a custom "Comments" table with “People” field (linked record or select) with portal users' names so they can tag each other there instead of in comments, and optionally use automations to mimic notifications.

For 2 - yes, automation is the only way to send emails.
