Day 8 of the 12 Days of AI Plays: AI-powered meeting prep and follow-up

🧝‍♂️ Welcome to Day 8 of the 12 Days of AI Plays!

Today we’re stepping into the world of Elf Workforce & Scheduling, where operational efficiency is everything. The elves are juggling toy production, shift rotations, training, and holiday crunch — which means it’s time to level up their coordination with an AI-powered meeting prep and follow-up workflow.

Your challenge is to use Omni to create an entirely new meeting table, generate agendas and action items, and automatically push those tasks into the Toy Workshop. In other words: an end-to-end AI meeting assistant built right inside Airtable.

Your Challenge

Step 1: Create the Elf Ops Meetings Table with Omni

Use a prompt such as:

“Create a new table called ‘Elf Ops Meetings’ with sample records. Link it to the Elves table and pull in fields for names, shift schedules, time off requests, current workload, and total workload score. Add 5 sample records to this table with each field filled out correctly.”

Let Omni handle table creation, linking, and schema definition.

Step 2: Generate the Full Meeting Agenda

Create a new AI field called AI Meeting Agenda.
Prompt example:

“Create an AI field agent to generate detailed agendas for upcoming Elf Ops meetings based on the attending elves, their workload, shift schedules, and any outstanding issues.”

Encourage the agenda to include:

• Staffing updates

• Production pacing

• Risk areas

• Resource needs

• Upcoming deadlines

• Holiday crunch prep

Step 3: Add Notes to the Meeting

Add sample notes to a meeting record (ask Omni to write them for you!) — pretend this is what happened in the meeting:

• Decisions made

• Challenges raised

• New requests

• Scheduling conflicts

• Production blockers

Note: you may need to ask Omni to create a new field for this, unless Omni created a Meeting Notes field for you upon your initial request for the Elf Ops Meetings table.

Step 4: Generate Follow-Up Action Items

Add a second AI field called AI Follow-Up Items with this prompt or something similar:

“Read the meeting notes and generate a structured list of follow-up tasks with clear owners and deadlines.”

This should create a clean, actionable list that the workshop can act on.

Step 5: Automatically Create Tasks in the Toy Workshop

Your final step is to connect the workflow.
Ask Omni to build an automation that:

• Looks at the follow-up action items

• Creates new records in the Toy Workshop table

• Assigns elves where appropriate

• Carries over deadlines or critical details

Prompt example:

“Create an automation that takes the AI Follow-Up Items from Elf Ops Meetings and automatically creates new task records in the Toy table.”

The goal is to turn meeting outcomes directly into operational work — no manual copying, no lost notes.
