We brought the Admin Crew together this week for a deep dive into one of the trickiest parts of the admin role: governance. I walked through how to build structure that actually scales, without turning yourself into a bottleneck in the process.

We kicked things off with the challenges admins are navigating right now: understanding AI credit usage, setting naming standards across bases, and keeping up with sprawl as teams build faster than any admin can audit. (Shoutout to the attendee managing 344 users across 118 workspaces and 238 bases. The chat had thoughts.)

From there, we dug into how to shift from reactive to proactive governance, including how to structure workspaces, set up permission models that balance access with accountability, and how to make the case to leadership that governance needs to live in someone's actual job description.

A few things that sparked the most conversation:

  • Handling users who open their own workspaces outside admin oversight
  • Using an MCP to support base audits
  • How to run an inventory: top-down audit vs. asking builders to self-report
  • Automation governance at scale
