Looking for Airtable + Fillout builder for long-term systems work

 

Description

I’m looking for an experienced Airtable builder to collaborate with on an ongoing basis. This starts with a defined Phase 1 build and is intended to grow into long-term systems work across multiple companies.

 

About us

WMX Management Group provides centralized admin and systems development for several home-service businesses (design/build remodeling, roofing, pool services, and related brands). We build internal tools once and adapt them across brands. The right fit here is a long-term partner, not a one-off contractor.

 

Current tech stack

• Airtable as the source of truth

• Fillout for logic-driven forms used by sales teams

 

Phase 1 – Specs, Selections & Order Sheets (priority)

• Master specs / items catalog

• Project-level selections linked to master items

• Status tracking (proposed, approved, ordered, received, installed, delayed)

• Vendor and project order sheet views

• Clean relational structure designed to scale

• Fillout forms for sales data entry and logic questions

• Light automations (record creation, status changes, notifications)

 

Phase 2 – Estimating & Proposals

• Estimating logic tied to scope and selections

• Allowances and pricing rollups

• Proposal-ready outputs

 

Phase 3 – Client-facing interface

• Extend the system into a client-facing app or interface

• Airtable remains the system of record

 

Engagement model

We’ll start with a paid Phase 1 build or short paid discovery task. If it’s a strong fit, this will expand into ongoing work supporting system growth and adaptation across multiple companies.

    This very much sounds like the kind of work I do. I design and build Airtable-first systems designed to scale across multiple business units or brands. The key thing is to provide a system that's both elegant and as self serve as possible so you aren't critically dependent on external consultants! :)

    I have done lots with Fillout and am a big fan, whether that's for external forms or internal Airtable interface extensions.

    I usually start with a free discovery phase as I'm not a fan of suggesting a solution until I properly understand the business, team and workflows. After that I can provide an accurate cost estimation for some initial build work and then an ongoing partnership model where the system evolves over time. In my experience it's better to develop incrementally over time so youa nd your team get a good feel for how things are working before extending thinghs further.

      • Examples of Airtable systems you’ve built

      A full product to payment system!  Using Airtable as the source of truth, tapping into QuickBooks Online and ShipHero.  Handled product setup, order and invoice generation, billing and payment tracking (synced via QBO)

      I’ve also built and supported systems for Ecommerce operations via syncing with Shopify, real estate workflows and client management for the creative / media industry

      Yeap, most recent would be using Fillout to let customers set preferred items and easily select them, while also having the ability to access the whole catalogue

      Hi — this is exactly the kind of long-term Airtable + Fillout systems work I do. I’ve built scalable relational Airtable bases (catalog → project selections → vendor/order sheets + status workflows) and I’m comfortable creating logic-driven Fillout forms plus light automations for record creation, updates, and notifications.
