Best way to keep edited by records? Can you display information from another base?

I have a database that allows users to fill out a form to add information to it. They can also update information via a form as well. While "Created by" is one field, the "Edited by" may have several users and times. Is there a way to store this information in a different base and display it in another?I am limited on the number of rows I can have.

Sorting and filtering with feet and inches

Hey,I have a base where I am storing the height of people, I would like to store the height in feet and inches.I also need to sort and filter by this field as well.I found 4 options that I can do:- I can store it as a string, but then I cant really sort and filter it well- I can store it as a decimal, but then 5.11 is out of order and 5.1 and 5.10 look the same, since all numbers have the same amount of decimal points- I can store it as inches, but then when I go to filter itll be super annoying for the user, since im using interfaces.- I can store 2 columns one in feet and one in inches, but thats annoying for the user as well. But it might be the best option for meAll these options are not really useful for my needs.Does anyone else have any other idea of what I can do to make this work for me? Thanks

Show remaining values from linked table

I have a table listing persons linked to another table showing tasks. I'm trying to show the remaining tasks a person needs to do.Example: These two tables are linkedTable 1: a list of 100 peopleTable 2: a list of 34 tasks to be done by each personEach time a person competes a task I link them to the task, so Bob will have 2 tasks done (linked to his record), but Mary will have 30 of the 34 tasks.It is easy to see how many tasks each person has done, but it is hard to see which ones remain. How do I go about doing this?Example goal: Mary: 4 tasks remaining, which are W X Y Z

Create a Quarterly Table from several monthly tables

Hello,I have a base where I keep track of projects and their status (in production, review, completed) organized in months. So, my tables look like: Jan 2024, Feb 2024, and so on.For monthly reports, I just grab information from a table (ex, Jan 2024) and create a interface. No prob there.The problem comes for QUARTERLY REPORTS, because so far I haven't been able to create an interface from several tables (Jan 2024, Feb 2024, Mar 2024). How would I go about to do so?Thanks, everyone!

Multiple product quantities moving inventory to multiple locations

Hello! I've got an inventory board ("Print Products") that has hundreds of products (each with variable quantities). I add new amounts of each product regularly (in "Order Received" and "Products Received" for individual line items). When I sell items they go in "Order Sold" (with "Products Sold" for individual line items).The problem is, I move various amounts of various products between multiple locations. Sometimes they sell at a location, but sometimes they don't and I need to move unsold inventory around between locations. I created another table "Currently At" to try to keep track of how much inventory was at each location, but I'm finding it incredibly time consuming and tedious to input each quantity one line item at a time so that I can check in/check out the different quantities of each product. I was able to write an automation so that when I put something in "Products Sold" it automatically put it in "Currently At" with the correct quantity decrement. I can make forms

Connecting 'Booked calls' and 'CRM'

I have two tables: 'Booked calls' and then 'CRM'.We are an agency that books calls on behalf of our clients. My booked calls are captured by webhook and linked to various other tables with KPIs. But now I want to build a CRM table for different clients, e.g. 'Client A CRM', 'Client B CRM', etc.How do I create an automatic link so that records coming into 'Booked Calls' are automatically added to the relevant client CRM?

How to select a two-level list

Hello. I have just started playing with Airtable, and I have run into an issue. In SQL this would take but a second, but I cannot seem to figure out how to add this filtering. If you can help, I would be quite appreciative... TIA.The situation:1. I have a table called "Events". It records customer reviews of events that have happened.2. I also have a table called "Continents" (with 7 rows) and one called "Countries" with 195 rows. What I am *trying* to do is to have essentially a two-level dropdown list. I have added a field to the Events table that has a lookup to continent. That works just fine.The issue comes when I try to figure out what I'd *like* to do which is to set up a definition for the Countries table. I have added to the Countries object a field for continent which is a link to the continent for that country.The real problem is that I'd love to add the relation such that when I choose the continent for that country that I can then show a dropdown list which is the lis

how to auto assign tasks according to a single select field

Hi Airtable Community,  is there a way to auto assign tasks according to a single select field. I have a single select with multible Teams (CRM, Website, Social Media etc.). I want a new record to be auto assigned to the team lead of the team from the single select field. New records will be created with a form.  Best regardsMirko

Best practices for large database and searching across it

I’m building a solution for a client that may have around 80 K records… was thinking of breaking it up into multiple bases given that there’s a 50K record limit. However, they need to be able to search across the bases at the same time. I was thinking I could achieve this through a custom app that would allow them to do this search and return results from multiple bases. Has anyone tried this? Any suggestions on how best to do this? Is it possible to search across the multiple tables?

Hey guys, I host my own pub quiz and since I’ve done around 80 of them I start forgetting and sometimes I add question I had before. I’m looking to make a database which I’d update after each quiz so I can quickly search for keywords or answers. This tool does seem really useful and I’m willing to explore it. Structure for Construction Company

I’m setting up a new base for my construction company. Would like suggestion on best basic structure. We will only do 3-5 jobs a year. What is best layout of tables for grouping Bids, Tasks, Production Schedules, Job Cost Estimate, Job Budget tracking. I guess my question is how do I best structure so I can view individually for each of these and also combined across all jobs for everything except budget and estimates?

Lookup in Forms Based on Data other than Primary Field

Hello AirTable Community,Here's a fun one that I hope I can pick some brains on.  We have a Workday integration that creates an employee directory that feeds quite a few bases. With the Workday integration, we have to use a unique identifier - that being employee ID. However, employee IDs are not regularly used in our company so many do not know theirs. When filling out a form, they would typically use the employee name, which is not the primary field in the Workday integration (because of the unique identifier requirement.)Is there any way, via automation or some other method, to have the linking record be the employee name instead of the employee ID? If not, has anyone made a successful automation that would switch these columns after each sync with the Workday database? This has become quite a big blocker for us, so hoping someone has an idea of how this might be accomplished.

Referencing data one month of data from one table into a lookup cell in another

Hi, I'm trying to make a p&L. I'd like to grab the total expenses per month from the Expense Table and reference it in the P&L table. I've oragnised the data in the Expense table by month. In the group view I can see the totals, but I can't reference or copy them to the P&L Table. I tried to get around this by creating a "Lookup" linking the expenses in the Expense table to the P&L table. But I have to manually select each transaction. I have thousands of transactions and selecting them one by one is too time consuming. Does anyone have any advice for how I can make this work?

Form population and auto saving to base

Hi I have started another base. The main base is working fine and this base is for an add on registration service. I also cant find the form when I go back to my work sheet.Please may I have some assistance

See more than 2 dates per record in timeline view?

Is there anyway to set up timeline or gnatt views to see more than 2 dates?Currently I have the "duration" of the record, but there is a repeated "event" that happens through the duration of the record (recorded in another table with a link to the first table). I'd like to be able to visualize when these events are occurring on the same timeline, is that possible?

Date Dependencies / Gantt for tasks spanning less than 1 day

I tried to search the community before posting and found this question (with no solution) several times, but the posts I found were pretty old so I just wanted to double check to make sure this was still impossible using Airtable alone.I'd like to use the Date Dependency features to help with automatically shifting task and displaying in a Gantt chart. However, many of the tasks span less then one day. For example:Task 1: Purchase Paint - Start 6/12/2024 - End 6/12/2024Task 2: Paint Wall - Start 6/12/2024 - End 6/12/2024I can't paint the wall until I purchase the paint, so I want to setup a dependency. But it doesn't take an entire day to purchase paint. When I setup Date Dependencies, the only option I have for creating a duration field is at the "day" level and setting dependencies means my tasks on the same day can't overlap. Am I missing something? Is there a workaround? Or is this still an issue?

Linked fields - formula/strategy to identify and show the highest-ranking linked record

Is there a straightforward way to handle this?I have two tables:contactsemail addressesThere's a field linking them. Each contact may contain multiple email addresses. What I want is to have a field in the contacts table that displays one email address - but not just the first or last record, I want the best address for that contact.I've created a formula field in the email addresses table that assigns a score based on various criteria. Ideally, a 'top email address' field (in contacts table) would identify the highest-scoring address within the addresses linked to that contact and display only that one.---I realize I could sort the email addresses table and then have a lookup field take the first one. For several reasons, I'd prefer to not have to change the sort order.Any other suggestions come to mind?

Images not displaying correctly again today/ shown as broken- but haven't made changes

So I know this has been an on-and-off issue with Airtable or a long time and mostly resolves itself after a while but I thought this was an issue of the past but no, still happens now and then like today..see 100's of my images broken randomly, some show up, others don't. If you open it, it can't open. The temporary URL via automation can still be generated, but can't be downloaded, instead an HTML page is downloaded saying the access is denied - permissions problem? Wait for a few hours to see if it gets fixed before contacting Airtable. Last time they told me to restore from snapshots. No, that doesn't work lovely airtable support team, snapshots show also broken images, same images broken as the live version, I can go as far as to last year and still same images show broken in the snapshot. N-o-t great.

Utilization Leaves Display Issues in Weekly View on Airtable

Hello Community,I'm encountering an issue with the resource allocation timeline in Airtable, specifically when switch between the daily and weekly views for team utilization when people taking leaves.In the daily view, everything displays correctly; for example, team member Chanpory’s leaves on February 28 and March 11 are shown accurately.However, when switching to the weekly view, these leaves are not represented, what even worse, it incorrectly shows overutilization for Chanpory, despite his absence on these days.This issue is impacting our ability to manage and report on resource allocation effectively. Does anyone else experience this problem? Any suggestions on how to ensure that leaves are accounted for correctly in the weekly view to prevent it from showing overutilization?I appreciate any insights or advice you can offer!Cheers

Predecessors from different table

Hey guys,I am looking for a way to link sets of dates together across different tables. I have a schedule table and a tasks table (tasks are nested under schedules), both have their own dates, I would like the tasks to move with the schedule they are linked to. I am using the predecessor field within those tables already for that functionality, but also want a way to link the tasks to the schedule. Let me know if anyone has any ideas on this one.Thanks!

Are self-joins one-way relationships?

In Airtable, a normal one-to-many relationship between two tables is bi-directional. When I create a link-to-record field in the parent table, Airtable automatically creates a mirroring link-to-record field in the child table. But if I create a link-to-record field that links to the same table – a self-join – that mirroring field does not get created. I was trying (as an experiment) to create a one-table to-do list, but I wanted a task to be able to have sub-tasks. So I defined the link-to-record field linking the Tasks table to itself, and called that field (that relationship) “Subtasks”. I created a task like “Prepare for vacation” and then added subtasks to it by clicking into the “Subtasks” column’s + button. And then Prepare for vacation [Subtasks: Get gas in car, Pack, File vacation form…] Get gas in car Pack File vacation form at post office etc. That works fine. But now what I’d like to do is filter out the subtasks and show only the parent-record tasks. Problem is, I can’t s

Filter: Does NOT have all of...

How can I do a negative filter? Let's say I have a multiple select field with letters A-E. I can easily filter to show all records that contain all of D, E, and F. But I want to filter OUT all records that contain all of D, E, and F. Just D is fine, D and E is fine, etc. Thanks for your help!
