looking to create a simple automation to match people up based on age and interest(s). Brand new to AirTable. I built a table for "users" and "matches"My use case is to match people up based on age range, gender, and interest.Any suggestions on how to build out the logic? I want to have a drop down of gender/age/interests. So would need to find matching people in the "users" table and email them the matches full profile. Thank you!
I have been staring at this too long and thinking myself into circles, need some fresh eyes! I have a base set up with 4 linked tables: schools, which are then linked to 3 program tables for SFS registrations, YF events, and Grants (2 sub-programs, AP grants and YF grants). The overall structure: Each time a school participates in a program, a new record is created in the program table and linked to that school. A unique record name is generated indicating the program, year, and a unique id # (e.g. SFS-23-24-001). All of this is working great - in my schools table I have nice linked fields for each program where I can see what a school is up to. Awesome! Love it! Where I'm getting myself confused is zooming out a bit on tracking the programs across years. Right now in each program table I have fields for program (SFS, AP, YF) and for year (23-24, 24-25). But these fields aren't linked to each other, they're just separate fields with the same options. I wa
Hello, I'm trying to compare "name" field between two different tables and trying to fetch records that matches both.Table 1 - Name, Table 2 - Legal nameWhat's the best method to achieve this? (New to Airtable)
My colleague and I are trying to build a base where we can compare the payroll data from a csv. file (outsourced data) with data we have already stored in Airtable. We would like to compare the expected payrate we have stored in Airtable to the actual pay in the payroll report csv. file. We are having a difficult time figured out a way to compare two tables within the same base. We are importing a new csv. file into a table every 2 weeks and then we have a second table where our stationary data from Airtable lives and we hope to cross check both of these tables to make sure everyone is receiving the correct anticipated pay and if that is anticipated pay is not aligned with the expected pay then creating formula that would indicate to us that the amounts do not match. We were wondering if there is anyone out there who has any advice for comparing two sets that are on two separate tables but within the same base and creating a way to indicate to us the mismatches? We thought ab
Hello, I'm trying to import csv files into existing tables and wanted to perform upsert/insertion of only new records by comparing it with the records in the existing table.I'm using import csv extension to accomplish this, but ended in duplicate records for some rows. The merge operation is not accomplishing the task of avoid insertion of duplicate rows if its already present in the existing table.Message: Detected records with merge field value "". All matching records will be overridden to match the first matching row.In this case, its neither overriding nor avoiding the row and inserting both two rows with the same value resulting in duplication. The Merge column chosen is unique. Can someone assist with this issue.
Hello - I'm VERY new to Airtable, though I think I have a basic understanding of databases. I'm looking for examples, templates, pointers to further help. Or even the right terminology to use. While I want to create a larger base, I got started with a simple event tracker (types of events, different leaders, different sponsors, etc.). Now I'd like to expand this to keep track of who has attended AND enable some options for adding the list of attendees and querying.Adding the attendees seems fairly "obvious" - table of people; table of events; table of attendees (people + event). The thing I don't know as is how to make this easy to use - how to get data in easily AND how to query easily. The obvious thing for data entry is to type into the table or a form. But what I'd love to be able to do is send an (structured?) email with the event information and list of attendees. Maybe even forward the meeting invite? And on the query side, I know how to search f
Been a long time since I've used Air Table. Having trouble recalling how Linked Tables work.I have two tables, one Table is a list of all checks with primary field being a check number. This is a list of EVERY check related to a bank account.I have another table, that has a smaller subgroup of the first table. These are checks that were entered into our accounting system. The primary field for this table is also check number. What I need to do, is take the larger group and check to see if the record is in the smaller subgroup, and flag it. Thus I will develop a list of all checks in Table 1 that are not in Table 2.So essentially, Take each check in Table one, look in table 2 and if that check number is there, flag it.This way I can create a list of checks I need to add to my accounting program.I am a bit embarassed as about 5 years ago I had a grip on all of this, but at my age I essentially have to relearn everything after that period of time.I appreciate all help. Hello,I am importing a csv file formatted: 390,390,390The table does this: 390 390 2 390 3It's including the number of 390 values in the import fileHow will I fix?
Hi, I help run a live event production company, mostly concerts and other performance events. I am trying to create a schedule for crewing my events. I want it to be organized by "Event" primarily, then "Position" (think stagehand, lighting, sound, etc) and then I would like to assign crew to each position. I have attached the Google Sheet I currently use for reference. I have already created my crew database as it's own table, as well as a table for events. I am brand new to Airtable so please explain as if I am a third grader. In addition to this, I would like to create a time sheet for each "Event", preferably auto-created when I create a new event, that auto fills with pay, position & crew member from the schedule, and I just have to input hours and then I can print that and send it to accounting. Any help is appreciated. Thank you!
Hi there, is it possible to have a column only show certain single select fields dependent on what the previous column select e.g. I want to only show items within a certain category not all the items in all the categorys.Column A = CategoriesColumn B = SubcategoriesI only want to show the subcategories within the category I select.TIACharlie
I am struggling with the proper set up for my base.I am a manager of an HOA, and we are in the process of tracking all construction projects in Airtable. Applications are submitted via form and records are created automatically upon submission.Where I'm stuck is how to track the progress of these projects. Each have a Phase, and each phase has critical tasks that need to be completed before we can approve advancing to the next phase. Ideally, once all tasks are completed for a phase, the record would be updated with the next phase (with corresponding subtasks), and so on until project completion. A check list with conditions, so to speak.I have tried various templates, but none behave in a way where I can monitor and update records according to project completeness. Appreciate any insight on how to best tackle this.
I have a table called "Main" with a user field named "Employee," which needs to stay editable and as a user-style field. I want to add another column in the same table, "Employees Team Members," which displays all users in the same team as the employee. This new field should be non-editable, similar to a lookup, but must remain in the user-style format. My goal is to have both the "Employee" and "Employees Team Members" columns as user-style fields so they can be used with the "current user" filter in Airtable's interface Kanban view. Here’s the setup:A form is submitted where users select "Employee" and "Team."I already have a "Team Members" field using a lookup from a linked "Teams" table that shows all team members, but the "Employee" might not always be part of this Team column.I'm open to creating an additional table to manage the team data but need guidance on how to maintain both fields as user-style columns to be compatible with the "current user" filter feature in the interface.

Hi all, is it just me or are the bases slowing down?I'm waiting 30 seconds for a new table creation, and 3 seconds to change a field.
Hello everyone,I'm looking for some advice/best practices for my situation. My company has a weekly report that they dump into an excel but it's just screaming to be formatted as a database. I've started importing the data but there are some glaring issues once it's within Airtable.Currently there is a {Name Field} formatted as "LastName, FirstName", but this field can vary as it relies on human input. I'm struggling with getting these individuals into their own table while also having Airtable recognize these names during the next import without creating fuzzy duplicates. One saving grace is that each name has a unique ID number, and using this as the primary field makes this step very easy, but when we want to link that record in another table, we're unable to search by name and there are over 100 ID numbers to look through. Is there any elegant solution to normalizing data such as this? If this was a one off import it would be a non issue, but this data will have to be imported each we
Hi. I'm working on creating an AirTable base with complaints. The form is made with Fillout.I wanted to know if it's possible to restrict access to a record if the user selects a certain option in a single select field. We'll have several people having access to the base and I wonder if I can hide certain records for an user A when a single select field has a specific option chosen.Thank you.
I want to create a form that users can fill out to enter an awards. When they fill out the form, if their company or contact details already exist on the 'companies' or 'contacts' tables, I want them to be able to select this when they search. If their company or contact details do not exist, I want them to be able to enter their details so their company and contact details are entered on to the 'companies' and 'contacts' tables. This I can do. However, on the 'contacts' tables, all contact names are linked to a company on the 'companies' table, and vice versa. On the '2024 entries' table, if you enter a new 'contact name' this gets added to the 'contacts table'. If you enter a new 'company' this gets added to the 'companies' table. However, the contact name is then not associated with the company name on the 'companies' table, and the company is not associated with the contact name on the 'contacts' table. Is there a way to have it so when using the form to en
Hello to the community,I have a form dedicated to archiving interactions with prospects. In this form, I select a "company" (which calls the company table) and I select a "contact" (which calls the contacts table). My wish is as follows: when a company is selected, I want the results displayed in the "contact" field to be only the contacts who work there. Currently, all contacts are displayed and appear in the drop-down menu, which wastes time. The contact/company association is well performed in my tables, but I don't see an option that allows me to limit the fields to be displayed according to a selection in the airtable form creation tool.Any ideas? Thanks in advance,Damien
Issue with Linking Payments to Attendance in AirtableHi!I’m transitioning from managing a dance school in Google Sheets to Airtable and have encountered an issue when trying to link student payments with their attendance. I need the administrative staff to be able to see if a student has paid for a specific class in the corresponding period (month) when recording attendance, or if they owe for that month. In Sheets, this is incredibly easy, but in Airtable, it’s NOT (or perhaps I’m missing something, which is why I’m reaching out with the hope that’s the case).Table Structure (simplified for this example):Students Table:Fields: Name, Contact Information, Attendance (Linked Records), Payments (Linked Records), etc.Classes Table:Fields: Class Name, Days, Schedules, Attendance (Linked Records), Payments (Linked Records), etc.Payments Table:Fields: Student (Link Record), Class (Link Record), Paid Period, Amount Paid, Pay
The problem is, for example when creating a new table from import, and having fields with 0s and 1s, it imports. then you change the field type to checkbox, and everything works. Now, if you already have those fields as checkbox, and delete all the data from the table for ex, then import back in, the fields doesn't recognize the data and every checkbox field is just blank. the system should already determine when importing back the data to map correctly to the checkbox type field. and dont omite data.Best regards, Lorenzo
Hi there, I'm new here, was hoping someone could help guide me on a small problem I cannot seem to resolve. I need a simple solution and instructions how to create a roll up of some designs in my list. So that when a design has more than one color, I can leave it rolled up, so when I am scrolling, I am not going through loads of the same design. So, as you can see [a] is the first one and any after that b, c, d, etc. will roll up underneath. I tried using roll up but really not sure what I am doing. I'm obviously doing it wrong and wondering if there is a simple workaround that I don't know of.I have many designs I want to do this for too.The second picture I have moved a, b, c, d, etc. from the SKU to a line of its own but unsure what to do next. I need a step-by-step guide, if possible, please.
Trying to import an Excel file into Airtable with selections in Excel field. Is this supported by Airtable's import function?
I have a base template that was duplicated from a separate workspace (WS-A), reworked and overhauled in the dev workspace (WS-DEV). On the original base WS-A were two previous users who had workspace-level permissions THERE, but zero shared access on the dev workspace where the duplicated version was developed into its new form. The duplicated base was NOT shared with those two users from WS-A, and they do not appear as users in that workspace (WS-DEV). Once the new base was ready to move into its next production workspace environment (WS-C), those users do not appear in the User type field for assignments in the dropdown. So far so good.HOWEVER when I create a Kanban view stacked by the User (Assignee) field, those users DO appear, like shadow options. I'm not able to delete them from options in the User field type, they do not appear as having the base or workspace shared with them on WS-C, etc.See screenshots.Admin help to resolve appreciated, thank you.
Hi all, Quick question to understand if unicode is supported in Airtable. Currently I have Vietnamese, Chinese and Japanese that I wish to import into my airtable app. Vietnamese seems to have some issues. So just want to find out the supported languages. Thank you.
I’m trying to create a weekly meal planning base (and app? Just starting with the base so far). For each week, I’d like to choose several recipes to make from a Recipes table, and I’d like to be able to check them off as I go.Linking multiple recipes is easy — this would just be a “link multiple.“ What’s not as obvious to me is how I might indicate completion status for each one.So far, I’ve ended up making another table called “Days,” in which each record has a link to a recipe and a checkbox for completion. Then I link multiple days in the week, instead of linking the recipes directly. The problem is that this gets pretty complicated when I just want to quickly plan a week. Can I work around this with clever app design? (Hi, I’m new here! 👋) Or should I be approaching the base design differently? Thanks!
