I have a table with records belonging to various contacts. As an example, I have five records for contact A. These records are tracking numbers of shipments that we need to air freight to Contact A. I would like to email all 5 records in a Typeform link, so that contact A can select the shipments he would like us to ship and also provide delivery address information. Suppose he selects 3 out of the 5, the 3 should be added to an existing table, from which we will process the shipment. Is it possible to set up such a workflow?
Hi, been trying out Airtable for a few weeks and believe it may be a helpful project tracking/database tool for my firm. I run a structural engineering firm in the San Francisco Bay Area with about 20 employees. We initiate about 150 projects per year of varying size. Each project has statuses, phases, timetables, milestones, budgets, unique attributes (e.g. address, type, location, material use, etc) , a client, multiple outside contacts (architect, contractor, soils engineer, etc), and often multiple assigned internal team members (collaborators in Airtable parlance). I want to create a solution that 1) records each project, its attributes and contacts, 2) tracks projects status, phases, schedules and milestones, 3) provides a weekly workload planning dashboard for each staff member (based upon to-do project tasks), 4) provides staff timesheets, and 5) tracks project budgets. Hi, I’m new to airtable and I’m sure this is the best possible solution for tracking projects if done correctly. I have tried watching many videos to figure out how to build the base that can help me monitor the progress but it’s all to vain. We are a video production company and work with freelancers. Below is the typical scenario - There should be 3 different tabs to get overview in a glance namely Current Projects, Tasks and Clients. Projects have milestones on which different collaborators work. Milestones are - Script, Voice-Over, Styles, Storyboard and Motion Design and there can be multiple milestones assigned to a particular collaborator. Current Projects is the main tab where fields are - project name, start date, end date, current milestone, collaborator name, milestone start date, milestone end date and status. I have two tables that have information that is needed to create formulas to auto calculate gaps. For example, I have one table set up grouped by Month and Coach and has columns that are in currency format. They have revenue amounts and other count numbers. I have another table that is created to calculate the gap between the numbers in the first table and the newly entered numbers from Coach inputs in a form within that second table. So somehow I need to get the information that is sorted by Month and Coach into the second table to create formulas to calculate with the new information that will come from the form. Hello, We’re an exercise service that launches new workouts daily. We’re using airtable to track our daily content production and would like to add a page for content programming - tracking number of plays of music, playlist selection, name of instructor, shoot days etc. We have it basically mapped out and working in google sheets but it’s a lot of duplicate info that’s already in airtable, so we’d like to integrate this into our main airtable. Is this something you can help with? If so, can you give me an estimate or hourly rate? We have the capabilities in house to handle this but don’t have the bandwidth. Thanks, Sam

Hello, I am currently in the process of moving our tutoring center away from spreadsheets. The first endeavor is setting up our contacts in Airtable. Right now I have student information in one table and parent information in another table and am attempting to link them together. The problem is that many parents and students from different families share the same first and last names. I have ID numbers that both the parents and the students share so linking them together should be easier, but I am having trouble creating a one-to-many link so that one family entry can be linked to multiple students from the student information table. I may also look for some assistance expanding our record-keeping in Airtable. Currently most of our student data is in various spreadsheets and I am hoping to consolidate that in Airtable. When using a form, you can pre-fill linked fields in forms by using the Record ID for the record you want into a single line text field instead of the actual name, then use Zapier, IFTTT, or (my personal favorite) Integromat to update the linked field with that record ID. I realize it’s cumbersome, but you just have to have it, it works. I do this for several of my forms.

We would like to be able to see the capacity of teams at any given time based on current workload and future projections. I don’t want to be too prescriptive, but we have data at two periods within the lifecycle of a projects. In the beginning we have forecasted estimates of how long it will take and known future capacity - we would like to see if we need to hire for future time frame Once a project gets into scheduling - we have a decent view of capacity, but it would be great to do some rollup and reporting of that data.

Hoping to get some insight into how to build an airtable base. Context: Our business development department is collecting information internally on prospective vendors. They’ll then input the information into airtable with the expectation that all documentation can be outputted into 1 seamless “packet” of information taking all documentation from airtable. Here are the requirements of the base: 100+ vendors 3 Phases of document / conversation completion. (Ex: In Phase 1, we must collect the Brand Analysis document, and have a “Top to Top” conversation. Each Brand Analysis document and Top to Top conversation will be the same, but the responses will be unique for each vendor. There is a chance that the Brand Analysis document (for example) may live in Airtable, or may be an excel document. My fear is that if the information is standardized (even captured in a form) it’ll mean we must have a table for each conversation/document (brand analysis, top to top, etc.) Approval by management (
Hi all, Been using Airtable since 2018 and keep discovering awesome things everyday. One of my other ventures is building apps with no code web database tools. One of the new Airtable tools I found recently is a service called table2site (posted here before) which allows you to build websites using Airtable as your CMS. I built a site called NoCodeStudio and I’m really happy with how it turned out. Right now it’s focused mainly on Knack and Tadabase, and web design tools, but I’m planning to add Airtable resources as well. I’m looking at learning more about Airtable and using it for my small business. This platform seems promising however a sales rep from another company (Quick Base) had pointed out the following limitations of Airtable. Airtable Limitations (according to a Quick Base rep) Limited Data Set Support: Airtable has a data limit of 50,000 records (rows) that organizations can quickly outgrow. Basic User Permissions Means Weak Data Security: Airtable has a basic user permissions security model that allows anyone invited to a workspace to view all of the info in that workspace. In addition, anyone needing to add or modify records requires Editor access which includes the ability to change and delete tables and views that may be needed by other users Lack of Reporting: Airtable lacks the ability to create reports that can be shared with management and others. I think people are, rightly, seeing the scripting block as a powerful piece of functionality and for non-coders it can be a struggle to know where to start (I know from bitter experience!).
