Base Design

Hi folks, I’m hoping someone can take pity on me because I’m struggling to get my head round this as I’m an old school spreadsheet geek! Airtable would be ideal for how we want to work and would stream line things rather than the excel documents we use just now, but I’m lost without a vlookup :joy: I have a “master” table with 5000ish records, each with 25 fields. The Primary field is an account number. I have lots of other tables, each one is a particular clients own table. These contain between 100-200 records, with the same account numbers as from the master table as the primary field, and some notes against each account number. They might add or delete Account numbers from their own table, but they will always be contained in the master table. Is there a way to look up the primary field in the clients table and pull the 25 fields from the master tables corresponding primary field through automatically without having to manually select it through the lookup fu

I’ve been asked to include a custom booking platform for a business in their website. It will need to be somewhat similar to MindBody / Instabook / Pushpress. After a lot of research I think Airtable might be the best place to start with the “back end”. Here’s some extra info on the requirements for the website. Allow users to create an account and log in Users purchase various different credit passes - ie. 15 credit pass, 10 credit pass, 5 credit pass, single credit etc. Then add these “credits” to user account When user books into a class it will need to deduct a credit from their account There are two major sides to the business - adult fitness classes and children’s dance classes. The Children’s dance classes are booked as courses of 12 credits for example, whereas adult classes are booked one at a time The website will also sell fitness equipment, so would need to communicate with Airtable here too r

Hi, I would like to achieve one template with tasks that is applied for all projects,so when a task is changed, added, deleted, renamed, reordered - the same thing should happen with the task inside a project. I am using a gallery view to develop a catalog of plants. There is the photo, the scientific name of the plant and then the common name. The scientific name is often long, it needs to be fully visible. Currently, many of the plant names are cut off in such a way that they don’t make sense. Is there a way to either widen the gallery view or make the title wrap?

Hi, I’m quite new to formulas and I am having a little trouble getting a DATEADD formula to work I am setting up some formulas for a Page Design invoice and need: ‘Today’s Date’ ‘Due Date’ 14 days from ‘Today’s Date’. My formula for ‘Todays’ Date’ is: DATETIME_FORMAT(SET_TIMEZONE(TODAY(),‘Perth’),‘DD/MM/YYYY’) My formula for ‘Due Date’ is: DATETIME_FORMAT(DATEADD({Today’s Date},14,‘days’),‘DD/MM/YYYY’) What appears to happen is that DATEADD is adding 14 to the ‘days’ portion of a date (MM/DD/YYYY), but isn’t taking into account the requested DD/MM/YYYY structure until after it has done the adding. The result as above. Any help would be great! Thank you.

There are some features in the main table that I would like available on the shared view, especially linking between records. In the ‘back end,’ these connections create hyperlinks to other records, eg: Which means I can immediately go to a relevant record. But in the ‘front end’ (the table on my website) these are not live links, eg

The image shows the setup I use in Google Sheets to list the tags, titles, and descriptions of my listing for my Etsy store. I add new listing going across the sheet. Column N shows the number of characters and spaces in column M and the the next listing would be O/P, etc… Can this be set up in Airtable as it is in Google Sheets? Thanks

Hello all, Hoping you can help as I’ve wasted far too much time trying to figure out how to do this! I’ve built a base for SEO Content Management. I have a table for Existing Content and a table for Keywords. I want to pull through the associated keywords (of which there may be many) to the Existing Content - page (for which there should be one url). I can’t seem to construct a link and lookup that allows me to find the keywords from the Keywords table - based on the url - and return these to the Existing Content table. I just return the url…or nothing at all. Where am I going wrong? To note, on the Keyword table the record name is the keyword and the url is a column included in the table. On the Existing Content table I’ve created a name using a formula to combine the content type and page title (not url), again url is a column included in the table and I have a keyword column I wish to populate from the Keyword table. Hi all, I am looking to set up a base whereby I can record someone’s career history, like that on their CV or Linkedin. Does anybody know what the best way would be to record this? Or if there is a tool that will scrape this information from linkedin and pull it into a table?

Hello. We need an urgent help. We got an Android App, using Airtable. Our app has registration system with Google. We made a base in airtable, called “Users” and each registered user inside application means 1 record in users base ( aka profile ). It shows basic info about each user, like name and email. Yesterday we reached 1119 records (users), and had to upgrade to Plus or Pro plan to increase our record… because you know max records per base are 1200 in free plan. Shortly after we upgraded to Pro Plan, nobody could register inside our app. Everyone was stuck at Loading… We found out that airtable was not giving more data, then 1119 records (because if we remove like 100 or more records from the current ones, we get access in the app. Just this base stops giving any data at this particular record. Now we have 50 000 for Pro Plan and we are stuck at 1119 records, each new minute losing many new users and revenue. We contacted support twice today, still no response. Can an

Is there a way to know the base size? This would help to know to see if the base is near capacity? At same time, is there a dashboard of sort to see how many records a base has?

Hi I posted this in show and tell. Not sure where to put this. Hello, I am new to the community. I am trying to setup a database for our acquisition company. I have leads that own multiple products and need to be able to sum up all the products in one place. This works perfectly with grouping. However, my issue is assigning a caller to these leads. I want to link all the lead records with the same names to each other and my caller have a summary of all the products, values and one lead contact field. With grouping I can assign a collaborator but they have to be assigned to each one and it breaks the summary. Can anyone tell me how to complete this correctly? I was hoping another table named leads where it listed the owners once and rolled up the values of all the associated records to that owner.

I have a table of about 8 fields. It’s a base of items on a server, with associated fields, like name, date, tags, text, date submitted, etc. At this point, I just want to look up within one table. I want to create a view where the user can enter data for these fields and the view will return records that match those entries. Is this possible?

I’m probably missing something obvious but I wanted to experiment with the button field but it isn’t an option when I create a new field. Any ideas, Lee

Hi friends, I have been so stuck with the set-up of our airtable structure I’ve been losing sleep over it… Here is what I’m trying to do. Any help would be so appreciated! I have a complete list of contacts - most of these are business partners, who are also directors and/or officers of our group of about 15 companies as well as investors in even more of those companies. My Contacts table has pretty much everything about each of these people, and this table is linked to our Companies table which includes a lot of other things like incorporation dates, Auditors, Reg & Records Office, Directors and Officers (linked from the Contacts table). My issue is this…because I have the same person being an officer and/or director of many companies and they are appointed on different dates, (which need to show up in the Companies table), what is the best way to incorporate that information? Hi - I have a table set up like this: Contractors (details of people) Jobs (individual jobs) Each contractor will have new jobs assigned to them. I would like to know if a job has been assigned more than 5 days ago. What is the best way to do that? The idea here is that each job has notes on it and if i can see when the job was assigned then I can see if there has been no action taken on it yet and send a reminder. The complexity is that each job could have more than one contractor assigned so I need to know specifically that contractor B has taken no action even though contractors A and C have been making notes. I have one base with multiple tables. Say I have one base with n tables. Is there a way to populate n bases with one table each? Alternatively, basically I need to share each of these tables to be editable with one unique other person per table. For example, say I have View1 needs to be editable by Person A and View2 needs to be editable by Person B, but Person A should not see View2 and Person B should not see View1. It appears the only way to do this is to split into separate bases, but if there is another work around I’d love to hear it. Thanks in advance!

Good morning, I have two small businesses that share some (but not all) of the same leads in the eldercare industry. Due to the pandemic, a lot has changes and continues to change. In the last 8 months, I switched from a cumbersome Google sheet ‘system’ to LessAnnoyingCRM (yes - that is the name) which interfaces with Google calendar/Gmail very well for appointments and emails, but I am not managing the leads very well at all in the CRM report route. I don’t know if I actually need project management or a CRM or both. I realize Airtable offers both. I really want ‘one-stop lead/project management’ where I can find everything in one place and be able to see the progress of leads on a chart/graph and perhaps get notified when things are due. Is that something Airtable offers? I need guidance to make an informed decision about this. Thanks.

One column is the name of a country i.e. United Kingdom Another column is the url slug i.e. /united-kingdom Next column is the meta title i.e. Rent a boat in [country name found in first field] Is there a way to do this?

sorry new user I want to create a conversation database one table person one table topics I am struggling with allow linking to multiple records or not. If don’t multi-link records, I don’t get the “link to a record in topics table” option… I would have to leave the person table and switch to topics table and enter the new note and select the appropriate person to link the note. then I I go back to the person table, the new not is listed with all prior notes… if I use the multi-link reconds options, I have to click on “link to a record in topics table” take me to the notes table and I can create a new note… very smooth…BUT the problem is not only can I create a new note, but I can also link to any note in that table that hasn’t been link to a specific person’s name before. there are a lot of records in this table… I would like to have just the ability to create a new note, not pick a prior note that is link to a differe

Hi all, i need help with sending a record containing audio files. I have a lot of records with mp3 or wav files. and when sending everything seams perfect. But when someone receive the email the audio will never play? is it something I’m doing wrong? i can see a new browser window open when i click on the audio file in the email. but nothing happens ?

Hi all, Hope you’re doing well. I’m asking the community about a strategic choice I’m about to make. We are handeling Client Missions through Airtable. We did automate most of our process with Zapier, like sending e-mails. Right now, we only have 1 Client Langage, and 2 differents type of products. Each product and lang will result in a quiet different mail template. For now, I was using Paths in Zapier. However, we’re going to scale to 3 langages, and maybe up to 4 or 5 products, therefore I may have up to 15 differents mail templates. Zapier Paths seem not appropriate at all, without considering maintenance costs… I’m about to change the strategy to conditionally format e-mails templates directly in Airtable in a Formula Field. Hello! I have what I imagine is a pretty common set-up. I have 2 tables in my base: Projects Staff Projects includes things like name, start date, end date, complete (checkbox). When I create a new project, I have a multi-select option to assign many staff to the project. My issue is this - I would like to view all the projects that each staff member is working on in one list (or a Gantt chart, but the same problem arises). Seems simple, but I’m running into two issues: 1 - In the Projects table, I cannot group by Staff because it groups them both as individuals and when they are in groups together. 2 - In the Staff table, it pulls over all projects that have been assigned to them, not just Active Projects. I have also explored creating a 3rd table to track Assignments separately, but that did not solve the issue either. But I’m open to that if that’s a better option. Seems simple, but I cannot find
