Base Design

Hello! I’ve been using Airtable for about a year now and it has been working well, however, it needs to be simplified. I managed to get a database going with some help but I made it more messy than I wanted :slightly_smiling_face: We are a small business and need to track our wholesale goods by serial number. Our currently accounting software does not allow this option. Does Airtable provide services to customize a database for me? We sell 3 brands of equipment and I track info from purchase to customer’s purchase. I would like to be able to click on or report on different aspects (SN#, mod#, customer, etc.)

New user here, so be gentle please… I have a main table to which I would like to link a child table for notes. The main table ‘Numbers’ contains a telephone number (which we are manually keeping unique) as the number is the primary customer identifier. There are many other fields in the table. I would like a separate ‘Notes’ table that would contain notes regarding the account over time. Ideally, the notes table would contain the ‘Number’ it relates to, the Date the note was created, Who created it and (of course) the note. The ‘Numbers’ table would have a ‘Notes’ field that displays the date and most recent note(s). If adding a note the date and creator would auto-populate and allow entry of the note. Any great ideas or examples.

I just upgraded so that I would have access to the record coloring feature. I have learned how to utilize record colors by condition. I am wondering if it is possible to use color in a long text or single text field? I have a notes column, and I would like for cells to highlighted with the same color once there is text and remain blank when there is no text so I am able to easily see important notes. I would like the cells with text to all be highlighted the same color. Is this a possibility?

As a result of my newbie status I have a lot of fields in each TABLE of my base that are not going to be used. This happened over the course of several weeks as I developed and revised my base. Is there an easy way of knowing if fields in my TABLES are being used anywhere in the base? And if they’re not a quick way to delete them?

Printing: When I try to print a grid view and select landscape the print output is always portrait, which splits the table. Am I missing something? -bill

Hello. I need to create a base to daily record the time and date that the Airtable app is open or closed and associate that with the user. I need to record at what time the user opened up Airtable and closed it. It would need some kind of trigger that automatic creates a record, populating “created time” and “created by”. And then using some kind of “NOW()” formula to keep updating until Airtable is disconnected - then it would save the last hour “recorded”. Any ideas? Thank you in advance

Hi! I’d like to build a simple recipe database. I have different ingredients which are parts in different recipes but the various quantities are the problem. I saw an article about this in here but being a total beginner couldn’t quite understand what it meant. So I have a table for ingredients and a table for recipes but how I set the quantities. Like: Recipe #1 2 lemon 2 peppermint 2 lavender Recipe #2 1 lemon 5 lavender 4 spearmint So when I am saving my recipe I would like to choose the quantity for each ingredient and the quantity of course is a different one according to the recipe I’m saving to my database.

Currently, my sheet is structured like this: There is a row with a company’s name, then a corresponding multiselect row with investors X, Y, Z. Is there any way to bring up another table with X, Y, Z as row headers in the first column and the corresponding company in the next column? Thanks!

Hello everyone! I am using Airtable to let my employees input the beginning and ending inventory of our coffee beans. We have multiple beans and they are specifically recorded by their roasting dates. So, if there are two of the same beans with different roast dates, they will have two records (this rarely happens). I have a table for each Beginning Inventory and Ending Inventory. They record the items through a form that they can access via static QR codes by scanning using their phones. What I want to happen is to have a formula that calculates the difference between the beginning and ending inventories on a separate table. However, I cannot find a way to create a formula that can connect different tables. I also thought of experimenting with automation and I am currently watching and reading tutorials online about it right now. Any help will be highly appreciated!

Hi, I am working on creating a marketing base, which includes one table for social media, blog posts, email marketing etc. I want to connect/sync the different tables to one table with the calendar view so we can see everything without having to add the information twice. Is still pretty new to Airtable, but does anyone know if this is possible? There is also the option to have different bases that we sync to a content calendar.

I am looking for someone that can help build a Airtable database , but before i get started I want to make sure that airtable was able to view/link records similar to the attachement. @Noamsay Using the attached screenshot as a example, ideally I would like to select Leona Piper ( on example) and then see the related records ( say Demo, Inc) and then be able to highlight that one and see the related records in a portal/box below that on. Basically, I have links of Artist to Songs, Songs to Songwriter and Songerwriter to Songerwriter who have cowritten together. So all on one form , be able to see list of artist, can filter and select one and see their full list of songs one one tab, and full list of songwriters that have written for them, and select a song and see the list songwriters for that song.

Any suggestions for how to view my Bases properly in Chrome? I’m on a Macbook Pro viewing on a LG monitor, although if I move the tab to my Mac the issues still exists. All is good when I’m on Firefox. See comparison of both browsers in screenshots.

Hi there, I’m building a sort of Vendor Management system for my business – it’s not too different from a CRM. I have my Contact and Company tables all linked up and ready to go, but I’m trying to see if there is a best practice for linking a specific contact as the main contact for an organization (or the primary contact). I’ve thought of a few ways to do this, but wonder how anyone else has done it. I don’t really want to create a linking table with roles which seems overkill. I am thinking the best answer is a second link to the contacts for primary contact which only allows a single link. Thanks for any suggestions!

Hello! We have been using Airtable to help clean up our Pre-Season planning for scout camp this year and it has been awesome. I am now trying to tackle a way of recording merit badge records and am having some trouble. Here’s my goal with the base. 1. A table lists all of the merit badges that we offer (around 40). This is the part I’m really struggling to figure out how to accomplish. This table will display information such as, total number of participants, completion rate, weeks offered, etc. Sort of as a directory to quickly find a specific badge, but also to see summarized info. I have a table that has columns Book names, a Genres lookup, and a third column containing an array of votes for each genre in that same order as the Genres lookup. I’m having trouble conceptualizing how I will search for something like “Show me Books with “Business” genre tag voted on over 150 times”. Tried already (new to Airtable): Looking for a formula that will let me index to a position in the vote array such that I can concatenate it with the genre Thinking of a third table that will join the two. Just can’t wrap my mind around how that will work, being new at this.

I’d like to have a bunch of questions in a base, each question labeled, and create a form for a label which asks all the questions from the label and fills in answers into another table. Is that something that’s possible?

I need to set the base up to reduce the SUPPLY inventory when I sell a Jewelry inventory item, so that I can keep track of when to reorder supplies. I guess for now I’m thinking I need to create some kind of rollup formula field in the supply inventory from USAGE that reduces inventory. But I don’t know if this is possible with multiple supply items that compose the jewelry item. Maybe I need to go about it differently but I can’t work it out. I have been working on a few bases and thinking through the structure but I am running into some major blocks in my understanding of Airtable. I have an inventory Base of different products (Rum, Whiskey, Tequila, Wine, etc). I want to create a table that will auto populate in-stock items when an ‘in stock/on shelf’ checkbox is clicked in the respectful table. Then remove from the table when that checkbox is removed. I don’t need all the information to transfer over, more just the name of the item. The purpose is to just get a quick glance of inventory in one sheet rather than go in to each table.

It seems like this should be easy but I am so confused. I have two tables. The NAMES table has a NAMES Field and a SEQUENCE field that is a formula field that calculated how many days ago the record was created. Therefore, The SEQUENCE Number for a record increases by 1 each day. The MESSAGE Table has a MESSAGE# field with 100 records numbered 1-100 and a text field called MESSAGE. I am trying to make them related fields so I can see which people from the NAMES table have the same SEQUENCE # as the number in the MESSAGE# field.(so the associated records for a MESSAGE Number will change each day). If it makes any difference, I will be using this to automate sending out SMS messages but am stuck with the setup for some reason/ Any help is appreciated.!

I have two tables. The NAMES table has Names & Addresses The MESSAGES Table has a DATE field with every day for this year, and a Message fField with a different message for each day. My use case is automating a way to send a text message to every name in the Names table. I tried creating a Formula field for now() in theNAMES table so each record has today’s date. I was thinking I could then use a lookup to bring in the appropriate messag (Today’s Message) into the Names Table but evidently, I can’t use a formula field as the basis if a lookup. Can someone suggest how I can accomplish this?

Hi, I’m discovering Airtable right now. I try to set a simple database to explore the tool in a project management environnement with automation. I have a master project table. I have another table to collect form responses, related with project. I would like to update project rows with some information of the collected form, when a form response arrive. I understand the concept of trigger. I’m pretty sure I could do it with Integromat or Zapier. Would it be possible with native automation tool in Airtable ? Any suggestion would be very welcome.
