I would like to use Airtable as a productivity tool (task/project management and idea storage), any suggestions?

I’m having a hard time understanding how I might convert these excel sheets to Airtable sheets. I have a series of months along the X-axis, a series of things to track on the Y-axis. It seems Airtable works on a per-record basis, so this Excel sheet would turn into a boatload of records, or am I missing something?

When I link to a Base with a “RATING” (Little Hearts) to create a viewable, duplicate column in another base, it only allows the field to show up as integers in various forms. No Hearts. It doesn’t make sense as I’ve been able to pull over logos from other fields, is RATING just broken?

Hi - I am a new software engineering student and my school has turned us on to Airtable … an excellent resource for building some viable back-ends! Question: my table only has 200 rows, plain to see. But, the Over limits tag appears at the top. When I click it, I am taken to a dash that says my base has 1,226 / 1,200 records and I should upgrade. What gives? Is it counting records that maybe were once created and deleted since? I ask because I had done some batch posts/deletes earlier. I can’t find any indication that the record count would include prior deletions…and it would be a funny way to account for data, so I don’t think that’s it. Please help before I lose access to my (modestly-sized) trial data! Best, Sean

Hi All, I used the searching function at some diamond work. The range of my diamond carat is from like 0.30 to 0.39. When i search 0.3, it should be listing out all 0.3 related ranging from 0.3 to 0.39. However, when i search 0.3, it only showed me 0.30 and some 0.31 records, NONE OF THE REST. Is it the problem of my setting? Or is it the bug? Thanks, Skyler

Hi all I have a social enterprise that make beanies on a buy one, give one model helping people in need and helping ease isolation for seniors . The seniors knit beanies in groups around the country and they get to share their skills, chat with friends and make beanies for those in need. Beanies are sold online at www.makegivelive.com (shopify site) and the orders are pushed through to airtable. Hi, I’m developing a relatively simple app using the API, and I’m stuck on one thing - passing back the value of one field (Link to Another Record) when it contains more than one item. So here’s the use case. I have a list of items, all of which have one or more tags. Via the API, I’m adding to that list of items and adding tags to the item. If I pass back a single tag, it’s no problem. If I pass back a list of tags, only the first tag ends up in Airtable. If I pass back the list of tags as text, it shows up as a new single tag. Is there a syntax that I can use to format the contents of that field that will result in two linked items in the Tag field? Is this confusing? It feels confusing. Thanks, Ryan

I would like to have a total of all ordered qty for each item but got this error. When I use a lookup field, it shows ordered qty correctly.

I posted a related question a couple of weeks ago, and was able to implement the Script Block (Add new (semi-duplicate) record when checkbox selected) - super awesome, and THANK YOU! Here is what i need to do next: Field Names Current Item Title Current Item Desc Curr Editor Item Title Direction Curr Editor Item Desc Direction Curr Editor Item Title Modified Curr Editor Item Desc Modified Curr Edits Complete (checkmark box) Curr Edits Implemented (checkmark box) Each item is updated monthly. I need to copy the existing record to a NEW record, over writing the CURRENT TITLE/DESC with the MODIFIED TITLE/DESC, while also clearing out the “direction” fields, “modified” fields and the “Complete” & “Implemented” checkmark boxes. The script from the last solution creates a duplicate record, but doesn’t move/clear out certain fields. What’s the easiest way to implement something like this. I’m a freelance writer. Here’s my overall goal for Airtable: Collect raw data by which to cold contact companies > Make contact with said companies and move data to a Contact list > Work contact list until a contact becomes a client > Store dynamic information on all client activity such as first and subsequent project briefings and timelines; planned delivery dates; payments and all that jazz. I want to be able to reference raw data from the prospecting list across all tables as they narrow down from uncontacted Prospect to Contacted to Client. I was hoping to set the actions so that all the raw information in a single Prospect record could be linked or maybe automatically transferred to the Contact list once the “Status” field is updated to “Contacted”. Then, once a single contact record is updated to “Client” by check box field, it would transfer to the Client list without dragging all the raw data with it, just keeping linked to it. Hello, I have a database where I would like to be able to sort the entries ascending or descending numerically. The problem is that not all entries have data in all categories, and the null values are treated as zero and appear at the top when sorting ascending. I would like the null values to always appear at the bottom, regardless of whether I sort ascending or descending. Is this possible? Any help is appreciated!

Hi, we are just getting started, but before moving our business data over and relying on airtable, I have a question regarding the maximum size of a base. From what see there is a max of 50,000 rows (records) We are currently generating 6,000 rows per month in our existing excel sheets, which means we will run out of space in a bout 6 months (not idea) Perhaps there’s a way to create a base for each month, or each quarter by duplicating the current base, (without data, or copy then delete the data) But… from what I understand I will not then be able to report across bases, the reporting is based in a single base. Here is some context… We manage out bound email campaigns, Each campaign we send can contain up to 8 links within the body of the email) on average 3 links We track the number of clicks received on each of the links 15 lists x 4 campaigns x 3 links x 31 days = 5,580 That’s how we get to approx 6k rows per month I would love to hear any thoughts, comments or suggestions Thanks

I, we just past in the pro version, on our workspace, with 4 billable creator. We are able to change the color in the calendar but not to set the range date. Is there something I missed, is that a common issue? Thanks in advanced

Ideally I could see each project as a card, and then the connected tasks listed below in order of due date. See screenshots of how this is set up now, and how I’d like to see it from a Google doc. I have a base that has several tables, all connected through various links. I am trying to link my newest table, but it’s not linking to the table it should be linking to. I’ve attached two screenshots to show what’s (not) happening: Any help would be appreciated!

Need some help. The product is working great. I post a gallery that is sorted by date newest at the top. I have many items in my gallery and each time I view the published gallery it starts at the bottom and that is not what I want. This makes the customers have to scroll to the top when the top should be the starting point. This is also the same for me when adding new material. Once I add the material I have to scroll to the top to make sure it posted correctly. How to get Airtable to start at the top, not the bottom. Particularly on posted material. This is the same with a published grid. It starts at the bottom. Let me know if you need clarification.

We have several tables that were created by an employee who is no longer with the company. He is listed as the “owner” of these tables. Is there a way to make someone else who is a Creator to be the Owner?

Hi is there a way to hide certain fields from view? I have an amazing base (if i do say so myself) for a charity that links all of our fundraisers and how much they have raised etc which is great what I want to add is a column for any of my paid fundraisers on how much I have spent on things like their wages so I can work out their ROI - not obviously I do not want them to be able to see each other’s wages is there a way to either hide a column or add an extra tab/table and hide that instead?

Hi I am -hoping someone can help. I have a database of contacts. I have a dropdown field in the main table where I tag each contact by it type: client, vendor, employee, lead. I have set up a table for each type because while each set share some similar information such as name, email address, phone etc… I also need to capture specific information for each contact type. Is it best to create a main list for Contacts, then a separate list per contact type with its own specific information while still linking them to main contact where I can pull up the generic data name, email address, phone etc… . Or is it best to create a contact table and create different views? If I create one table for all the contact type with different view? Will this mean that each time I add a new contact, regardless of the contact type every single column will be displayed? Or will I only see the relevant information based on the view I am on when I click on add new contact? I hope I am making sense.

I have a dropdown menu, and I want to automatically send a third party an email based on the person’s response. For example, if they choose option 1, I want to send an email to example@gmail.com. If they choose option 2, I want to send an email to example@hotmail.com, etc. Is there a way to do this? Thanks.

I have a multi-select field called “Trades”. A contact can do multiple “Trades”. I want to group by trades, but I don’t want the contacts with multiple trades grouped into their own unique multi-trade grouping, I want them to appear once in each trade grouping. Ex: list of trades is: demo, grading, hauloff. I want a contractor that does demo and hauloff to appear once under the demo grouping and also under hauloff, and I want the only groupings to be demo, grading, hauloff. I do NOT want a Grouping of demo & hauloff combined. How do I achieve this. It seems like it would be a frequent issue.

How can I configure the calendar or Gannt block to show each assigned team for a project if they share the same job#? Example: I need to allow each assigned team member to see their schedule - The calendar shows the record number which is only internally used and links the project under both - and the lack of information shown on the calendar doesn’t provide other users with any information on the project. The Gannt block shows pretty much the same thing in minimal information. Ideally - I’m looking for a way to have each user (4G and Apex) see more details such as: Is any of this possible?

Hi everyone! I work for a small nonprofit tool-lending library and makerspace in Baltimore, MD. We offer a service called Open Shop, which is a time for the community to come use our equipment and workspace for woodworking, home repair, metalworking, or crafting projects. Due to the pandemic, we’re moving to an appointment-based system for Open Shop and are trying to figure out how to best do that through Airtable. The biggest issue I’ve been struggling with is how to balance capacity limits and flexible scheduling. Ideally, we’d like people to book either 1-hour or 2-hour appointments that can start on the half-hour. We’d like the system to reserve a maximum of 4 overlapping appointments (aka people in the space) at any one time. For example, if there are 4 people with appointments from 5:00 pm to 6:00 and a fifth person tries to book from 5:30 to 6:30, the system should block that appointment because it would exceed the capacity limit of 4 people. Hi, i’m having an issue, i have a base with around 80 new lines, with a date and time. I tried to organise it manually by days and hours, but it seems that it gets messy all the time, maybe when i’m looking for an information using a filter. Is there a way to lock the place of each line based on the date ? Right now i have to sort it “1-9” in order to have then reorganized, but i don’t understand it doesn’t stay like i wanted it ordered… can you help me please ?
