Base Design

I have a few Airtable base architecture conceptual question: As I understand it, Bases in Airtable can always easily be duplicated and copied by collaborators. As we are developing bases further and further, we are faced with the following: A. Is there a way to avoid collaborators that are employees in a company, that also requires the ability to create new records and edit existing ones, from copying or duplicating our entire Bases? This is like asking to giving away the source code to any employee of ours that they can go use, share, sell to any other company. I mean more the Base design and features, less the data in it. B. If the answer to “A’ above it a “no,” then are there tools or apps that can be like a UI on top the base, so employees cannot see the base and tables and field structure? Best rgrds, Khuned

Hi all! New here — thanks in advance… I’m recording activity of participants in a challenge to earn points. There are about 18 participants and the challenge consists of answering several questions daily. The participants can earn 1 point, 0 points, or choose not to answer. I have a base with 3 tables. Players (i.e. “participants”), Challenges, and Data. The Players table links to Data and uses a couple Rollups to SUM() total Points and to COUNTALL() total Entries. The Data table includes a column for earned points (either 1 or 0). In the Players table’s initial “Link to Data” column (Data Records), Airtable inserts references to the Data table as “reference buttons” — so I can click the reference and see the full record. QUESTION How do I add a column that inserts “reference buttons” only to records where Points = 0 (zero)? Any other insights into base design much appreciated! I’m designing a CRM using a series of Airtable Automations when I change the status of a record in company table (or contact table) to “in progress” (a single select field) a new record in the Opportunity table gets created. This is working fine. my problem is that I can’t figure out to do it in reverse: so when the opportunity resolves as “sale” or “no sale” I want the single select fields in the Company/Contact tables to automatically update accordingly (“sale” → “client” / “no sale” - > “not a client”) I first create a “when a record matches conditions” trigger (when stage is “no sale”) I then go on to create an “Update Record” Action but then I can’t find the correct fields. I chose the table where the action should happen but when I hit the “plus” sign I am shown fields in a different table.

Hi everyone, I want to use Airtable to make shopping order for a store. I have 4 tables: List of products (Airtable - Grid view) Supplier list Price list: for each product, I indicate the price at each supplier (Airtable - Grid view) Purchase order Airtable - Grid view The problem is on this last table. I indicate the product I want, the supplier, and I would like to have a column that searches for the price of this product, for this supplier, in the price table. I hope I was clear, I guess this is a fairly simple and classic issue, but I can’t seem to do this search across multiple tables. Thanks in advance to the community, Guillaume S.

When I update a value inside a data cell ( for example from undone to done ) , is there any way for the date of action to be automatically inserted in separate new cell ? Thanks in advance

I have two tables X and Y, which have corresponding linked record fields. Consequently, if I update a linked record field value in table X, then the update is reflected in table Y. This is expected behavior. Based on the 2 linked record fields mentioned, I used the ‘Create junction table’ script to create junction table X-Y. The corresponding linked record fields in X and Y are both shown in X-Y as a result. When I… update either of the 2 linked record field values in X-Y, the corresponding values in X and Y are not updated, or when I… update said values in table X or Y, junction table X-Y is not updated. Is this behavior correct or is there a bug in how I’ve implemented the junction table?

First thank you in advance! I would like ideas with my table architecture of my project. I am new to AirTable. I am building a contact database for my homeowner’s association. Using node.js, Twilio Functions, I want to be able to ask the question, “What is the contact phone numbers for pool vendor and homeowners at 123 Oak Ave?” These are the tables that I was thinking I need: homes address table with the house number, street vendor table with the different vendors’ name, address, multiple phone numbers and emails. contact table with names, link addresses, and multiple phone numbers and emails per record. An example would be I want both spouses cell phone numbers tied to the address. We have some people own multiple homes. I would like a “Last Updated” column know too when any of the tables’ rows are updated. Then, I want to provide associations to the different vendors for the home. Hi! I’m new here. Is it possible to share all of the options in one single select field with another single select field in another table? For example, say I have table of employees with a location (city), and a table of clients with a location. I’d like to be able to add a city to one field and have it automatically show up as a single select option in the other table.

Hello everyone, Thank you in advance for your help! I have a base where I am trying to track company wide clients in a “master” view. I would like sub view for each of my employees where they update and input the clients information and then populates and updates the “master” view almost like a ledger. I would like each employee to only have access to their clients. I was able to update this in the master view, but it made multiple columns specific to each employee. Hello! Does anyone know what happened to the way you used to be able to see all tables in a base by clicking the ‘hamburger menu’? Now the box that pops up is empty, instead of being populated with all the tables in the base. How can I now easily jump to a new table in a base, or rearrange the order of the tables in a base? I have bases that have many, many tables…thanks!

I have a table of active client files. As the files are closed out, I would like to remove them from my table, but still retain them somewhere for possible future reference. I see I can delete the file, but that is not what I want to do. Any suggestions?

I have the base and all it’s tables set up but now I realise there is no way for my end users to create new records since the form view doesn’t let you create linked records. How do I solve this? Thanks!

Hi, I just found airtable and it is great, it took me about 6 days but I was finally able to get all my 670 records or so imported and in the right order that works for me to work. How can I make a form where someone can fill out a new address and it link to add a new record? How can I make my invoice numbers automatically go into sequential order when I have imported all my old ones? Say I am at 1750 now and I want it to show 1751 automatically when I add a new record. I am in the transportation industry so everything we do is based off a different bill of lading for hundreds of companies, so my base table is expansive and I think maybe too much. hi everyone I have a question regarding base design, I hope someone can help ! I use Airtable pro to collect answers from 100 candidates using jotform ( 50 questions) . Then I display the answers of the candidates in gallery to have a more user friendly review. The problem is that I want to do the evaluation with multiple evaluators. and I can not afford to give them licenses ( we are speaking about 60 evaluators) How should I design the base to be able to collect the evaluation of the 100 candidates by the 60 evaluators ? I have a jotform pro account so I am not limited in using it. Thank you very much for your help !!!

Hi all! My organization is constructing new buildings and plans to raise funds for them by “selling” the various rooms and areas inside of each. I’m using a base to track the funding status of each area. For the “Cost” field in my base, I obviously want to use the “currency” field type. But we don’t want each section (in the “Grouped by building” view) to show a sum (total of that section’s costs). Is there a way to remove the automatic sum feature for currency type fields?? Hi, Imagine the following scenario: A company has two subsidiaries Each subsidiary has multiple teams Each team can be assigned tasks Users from one subsidiary don’t have the right to access the other’s data I’ve set it up so each subsidiary has one base with a table that looks like this: Team name Assigned tasks Team name 1 Task 1, Task 4 Team name 2 Task 2 Team name 3 Task 3, Task 5 My plan is to use Multi-Source Sync feature to pull each region’s table into a new base. In this new base, how can I create a table that counts the number of tasks per region: Region name Assigned Tasks Region name 1 4 Region name 2 2 I imagine it can be done using a roll-up field, but each region’s data is in its own table… Hopefully, this makes sense. If you’ve encountered something similar, let me know how you did it.

Is there a way to track the timestamp of a certain status? Say: Pending / track pending timestamp Say: Completed/ track completed timestamp Wanted to see how long something takes to be completed. And wanted to backtrack on the existing records. Thanks!

Hello, I am moving and want to give away some of my things. I have created a table listing those objects (name, description, PHOTO), and now want to create a Form where friends can pick what they want. I have created the Form with the dependent field, and selected the all the fields from the original table. But when I view the form, it only gives me the Name of the objects, and doesn’t show the photo. Is it possible to have a Form with a nice Gallery view? (Alternatively, I had thought about creating a Gallery view and giving people a link to it, with the idea that they could edit each record and mark it as “requested”. But as far as I can tell, it’s not possible to give a link with EDIT privileges. I do not want to ask people to create an account) I this doable? Suggestions? Or maybe I am approaching this in the wrong way? Thanks much, A

Hi there! I am trying to figure out if Airtable will work for me and how to most efficiently set up my base. I formulate skincare recipes and need to setup a database of ingredients and their properties. For example in my recipes I use various: Oils Butters Essential Oils etc… I have some general properties that will fit all ingredients like (anti-aging, comedogenic, non-comedogenic) but I also have some things I want to track that are specific to certain ingredient categories. So each category above has general and specific properties that I need to track. What is the best way to do this? Should each category have a table? re: one for Oils, Butters, Essential Oils? Could I then search through all of my tables if I am looking for anti-aging ingredients specifically? Or should I just have one main table and somehow track these specific properties within that one table? How would I do that? I would love any help and direction, thank you! Mindy

We have 2 business domains (Finance and HR) utilizing 1 Pro Account. We also have a few bases with master data that is shared across these domains (ie, associates). HR has ultra-sensitive data that they do not want anyone else to see. I’m trying to determine the best approach to keep non-HR users from seeing HR stuff. Possible approaches: Set permissions on the HR Bases to not allow read, write or view access. Is this possible? Create another Pro Account and separate one of the domains. The new Pro Account would need to access master data in the first Pro Account. Is this possible? Any and all suggestions welcome. Many thanks, Doug

Hi everyone! I discovered Airtable about a year ago and have been so impressed by the functionality in brings to an analytics system! Has solved a deep conundrum I have always had with giving users an interface to interact with the data manually / flag things / add their own insights, that I can easily feed back into other systems. One of those key bases has suddenly started becoming practically unusable due to a huge drop in performance. It’s got around 12k rows, roughly 120 columns (all strings / numbers), and if I perform a full download using the API I can see it’s only about 37MB in size. The base doesn’t contain any fancy Airtable fields or linked fields even, so given its size and simple functionality, should be performing fine! We are on one of the higher tier plans so that row count should not be an issue. Does anyone have any tips on performance optimization, and also perhaps tools I can use to figure out what is causing the base to be so slow? The base is constantly filtered
