Hi there, Lets say hypothetically that I have 40 separate Linked Record Fields (Field 1, 2, 3 etc) that make the same connection between Table A and Table B. For each row only one of these fields will be updated. I want to therefore create a master field that summarises this data. I know this approach isn’t ideal but I am forced into this position since I need to collect data from clients via a form and I am using a category sub-category set of conditional questions to only display relevant records to a client based on their response to their earlier question. My questions are: Is this approach of multiple linked records the right one? Are there any tools out there that would simplify implementing dynamic dropdowns / category sub-category systems for forms? I had planned to use Automations to update the Master Field - is there a way I could create one Automation to check whether content exists in 40+ fields, and if so, copy that content into this Master Field? I understand that

Hi, I’m quite new to Airtable, and used to use Excel. For my company, I would like to create a Sales/revenue dashboard, to visualize when our revenue will be realised. I created a table where I distribute the total project value over the coming months, based on a start date and an end date. I have a column with the total project amount (e.g. 100.000€), and then 12 columns, one for each month. I figured out a way to distribute the 100.000€ over the different columns, using formulas: so far so good. Now, I would like to have a report with a bar-chart or a line-chart, showing the total revenue expected through the months January-December (in excel, rather easy). I really don’t know how to obtain this, and now I’m thinking this might have something to do with the setup op my table/base. Would be fantastic if anyone could help. Steven
I was wondering who could help me determine if AT can be a very good solution for our needs: I’d like to populate a table with potential people to contact, sourced by external searches: so manual import or copy or API actions, to be determined. The goal is then for a person to check those records, and either mark them as OK, or discard them as not valuable. I was thinking a dropdown menu, or checkbox, which would trigger an action. If said to be relevant, contacts would go to another table. Can I then move a qualified prospect to another table, or bd, and hence not keep the original record ? Is it better to create a table in a separate database, or can I hide 1 table from a database to some people so the view does not get cluttered ? If we adopt Airtable, I’ll transfer there some specific functions we currently solve with custom (Python) scripts polling our Trello board. I’ve seen a few answers to this in terms of looking up the most recent row, but how do I get a field that will link to the most recently created column? I am setting up an Airtable to manage the 31 preschools that our organisation feeds. On one table we will keep track of the number of children attending monthly (so we know how much food to order). So far it looks like this: How do I get a field in the master table that can update the current number of children at the creche by pulling in the most recents months’ data? I am trying to convert grid of information with different prices for different writers into a workable Airtable solution that I can use every week for payment to them. Here is an example of the grid in the Excel file we’re currently using: So, say that Writer A writes a feature and Writer B writes two CD reviews. I need to be able to select the writers and the type of story and have the price come in automatically. Let me know if there are more questions that need to be answered, Thanks! ADDENDUM: OK, so the above grid exists in its own table. Then I have another table that I use to tally every week’s stories and payments. How should this first table be set up so the second table can reference the writer and the type of story to then receive the correct price?
I want to design a Post Production Schedule base that allows me to track multiple team members through multiple projects: 13 Editors working on 30+ different projects. Each project has the same milestones but at different times, and I want to be able to see all projects in one calendar, as well as each project in one calendar and each team member in one calendar. Do I set up a Table for each Project, with a template of “EVENTS” for the repeating milestones, then other Tables for each Team Member with linked fields to populate their particular scheduled milestones? Any advice on a base design approach would be most appreciated. Total Newbie to Airtable but familiar with relational databases. Many thanks!
Hi, I work for a community development corporation, and am developing a database to store information on businesses, individual properties, and residents/ partners/ misc. individuals. I have organized my base into three tables with the primary fields: Addresses, Business Name, and Contact name. The idea is that sometimes we want information on a property (state of repair, vacancy, etc), sometimes we need info about a business (sector, ownership demographic, etc), and other times we need info on specific people (if they are residents, touchpoints, contact info, etc.). We also want to know how these different sections interplay. For example, if I am looking up a property, I would also like to see what business is in it and who is the business owner and who is the property owner (if we have already collected that information). Now, for my problem: I want to make it easy for people to add info to this base without having to update each table every time. For example, if I talked to a Jane
I have a table that gets a lot of log data – about 8,000 records per month. Since a table can only hold 50,000 records and a base can only hold 100,000 records, I’d like to move the table to another base (on a given date or after a specified amount of time or when it reaches near capacity). Is there a way to do this programmatically? Also, is there a way to create a base or table programmatically?
Does anyone know a workaround to display nicely a lookup field??
I have a basic question but couldn’t get an idea even after watching many videos and reading articles as I am trying to compare them with Firestore. Please explain if possible with some example. Are the Bases in Airtable similar to Collections in Firestore? Are the Tables in Airtable similar to Documents in Firestore? And, are the Columns in the Tables similar to keys and rows/records similar to Objects ? I see that the records per base for the Pro plan shows as 50,000 Maximum number of users however shows as Unlimited. Lets say i am using Pro plan and have an users collection APP is publicly available for users in playstore/Appstore and the number of users installed and registered crosess above 50,000, will the later users be registered in a new base/table since the record limit (50,000) already reached under pro plan? If it works in a different way, please explain. And, if its a Chat App and users can delete or update only their own messages, Will that be taken care by Authenticated

I’m trying to organize a summer arts camp. I have 4 tables: Guardians(parents), Campers(their kids), Weeks(the weeks we are operating), and Invoices. I’d like to set it up so that: The Weeks table contains the week and the cost of that week (different weeks can cost different amounts). I have done this already. In the Campers table, I can assign the Weeks that each Camper has signed up to the camper (we are able to assign more than 1 week to a camper if they sign up for more than one week). I have done this already. In the Guardians table, we can assign Campers (more than one if they have several kids attending) to each Guardian. I have done this already. Here is where I am having trouble: In the Invoices table, I’d like to assign a Guardian to each Invoice. I’d like to be able to look up the Campers assigned to each Guardian and the Weeks assigned to each Camper assigned to each Guardian so that I can get the total cost that each Guardian needs to pay for all of their kids.

I have a table of employee records with one field being a link to the manager record. Id like to count the number of employees that a manager manages. How do I do that?
The overall goal is to show what trainings a person has not taken yet. I have a table that lists all training modules, a table listing roles that is linked to the trainings table to indicate which trainings are required for each role, a table for people that is linked to roles, and table for completed trainings linked to person and training. I need to show, for each person, trainings that are required for their role(s), but that have NOT been completed. How can this be accomplished?
Not sure if this is possible, but I have a number of things I’d like to track a daily basis (workouts, journal entries, meeting notes, etc.). Each of these tracked items use numerous unique fields that don’t overlap, so combining everything in one table would result in a huge list of fields—too cluttered. I would prefer to keep each tracked category in its own table. However, it would be nice to have a separate “overview” table that shows all of the records from these various categories. For example, the “workouts” table contains daily records with fields for reps, weight, etc. The “meeting notes” table contains daily records with fields for client, topic, etc. The “overview” table aggregates and links to all of the records from “workouts” and “meeting notes”. That way, I could reference all of the records combined in a central location but they are stored in their respective tables. Hi, We currently use google sheets to keep track of project budgets (this is fed data from a complex set of estimating/budgeting sheets plus quickbooks. The quickbooks part is manual). I want to be able to bring all our project budgets into one sheet. We already use airtable to track subcontractor costs, as well as other items by project, so we have the database of projects well developed. Does anyone have any ideas for how we might now associate this estimated vs actual cost data? We could even add an actual revenue line. I’m imaging tracking this data across projects by cost code or drilling into each cost code. It’s important that: -We can view it in a compact interface -Data entry is no more difficult -Ideally we get “snapshots” over time. (I have created a pay schedule before when tracking employee hours so the idea of advancing ‘schedules’ is something I’m familiar with) If it’s too difficult, I’ll probably just use IMPORTRANGE in google sheets to create a summary view… womp womp

My wife started making custom jewelry for herself a few years ago. One thing led to another and now she’s taken her hobby and expanded it into a small-ish side business. She currently uses Excel to keep track of everything related to her hobby/business. I’ve even jumped on board with a Laser Engraver/Cutter and am making items for her to sell as well. (Plus it’s a frickin laser and really fun). We both have a lot of experience with Excel and next to no experience with Airtable. I started out looking for an inventory management program that we could tweak to our needs. I couldn’t really find anything and then I stumbled upon Airtable. I already have a decent-ish handle on my inventory including setting up a form that we can easily enter in new items to sell. Hi everyone, I’m wondering if anyone has solutions for formatting text in long text fields. We use these fields to build out decision trees for text messages, and the more options or levels to a decision tree, the hairier things look in the long text field. We love the option to add headers and numbered/bulleted/checkmarked lists, but we need more to differentiate the levels of decision trees. When we draft these, we use different colors for each level of a decision tree, so that would be an ideal solution (feature request alert!), but we’re open to other suggestions. Thank you! Hi, I’m having an issue with linking two tables together. I have a ‘Companies’ table and an ‘Employees’ table. In the employees table I have a column named ‘Job Title’ in addition to the column linked to the companies table. My issue is that sometimes a person is connected to two companies. One can be an executive in a one company and a board member in another. So, how do you state or clarify the two job titles in the database schema. You can easily have two companies in the “companies” column but the Job title will be wrong as it might not specify the company where he/she hold that job title (Imaging the companies column having two companies and the job title saying ‘Executive’ or ‘executive, board member’ to make it more ambiguous!) I thought of having a column in the companies table named “board members” and link it to employees table and then another column named executive and link it to employees table too. Hello, this is my first post, and to be honest, my first time with airtables. I do have extensive experience in excel, so that’s a start, right? hahah I am taking over for a colleague who organized the information, but after spending 3-4 hours of looking at all of the “tables” and then reviewing some of the webinars, I’m pretty sure I need to start from scratch. This is what we have … it’s a rescue for animals … (one table) and then we have people (the second table) There are many different tables for each of the roles that people play. And then there are many many tables for the animals. I want to have two tables - one for people, one for animals, and then I want to put all the people info in the people table, and all the animal info in the animal table. The tables will be quite wide and have lots of data (about 1400 records of people and close to 500 of animals.)
