Base Design

Completely new to Airtable. I’m trying to design a jobs database that can handle repeated job events. Scenario is a customer needs a service carried out on a regular basis ie, 1, 2 3…weekly, fortnightly monthly, yearly etc. I need all future repeats to show on a calendar (don’t need time, just dates). I had something working in Google sheets and Excel, where a script would copy down a record xxx amount of times based on a cell value that calculated the no of occurrences until a specified end date (that was capped at two years), then added every occurrence to a spreadsheet database with the same record ID number to group them. Is this possible in Airtable? Thank you :slightly_smiling_face:

Hello! For a school assignment (Software Development and Design) I am creating a game and using airtable as the online highscores database. So far its been working really well, as soon as one of my friends completes a run a record is added to my records table and it can be sorted so that I can see who is ontop of the leaderboard. The only issue with my current setup is that it has become hard to see any of the other players becuase a few particular users have filled up the top 300 slots or so as shown in the image. (Please ignore my friends “creative” choice of usernames) So what I think would be a good solution would be to either 1) Have another view/table that only shows the best run for each username or 2) remove/hide all of the runs that are not the best run Thanks, Tom Howarth

Hey Airtable Community! I was hoping for some help on overall concept / design. I am an insurance restoration contractor and we currently have a base that we are using to manage our workflow. We do 3 different kinds of jobs (Mitigation, Contents, and Storage). Due to the way my industry works, each are billed as separate jobs. A few variables: A customer can have one of the three job type, two of the three job types, or all three of the job types. We want our Accounts Receivable people to be able to call the customer and deal with all types of open invoices - so want to be able to cross reference all invoices for each customer readily and easily. We also want to be able to track notes (interactions) for the open invoices - i.e. a note that says they called or emailed the customer, date, time, etc. to make sure that we are working the open AR. Hi experts, i am new to airtable but i found airtable is an awesome tools!! i am a sales supervisor and try to use airtable as database for record and analysis. I have a base with several table, each table has a monthly sales record. We have several brands which selling in different retailers, so i pull the sales invoice into airtable by row recording which brands, item sold to which retailers. the key field as below Year, Month, Date, Brand, Retailers, Item Name, QTY sold, QTY amount. So i can easily figure out that month performance on sales However, i just getting trouble to build a summary table, or how to setup and link the sales of each monthly table. So i can campare the monthly sales… thanks!!

please help me. I have a table with two columns: ID and Product. The information is imputed through a bot. The more the ID buys the more lines it will have. At the end of the flow, to ensure that the ID has completed the purchase, I need to flag it in a new column: purchased = YES. however, the bot can only insert “YES” in the first line of the ID and the others are blank. There is a way inside airtable so that I can repeat the “YES” for an ID if there is already a row with that ID and the column purchased “yes”. Example: table: ID, purchased 123 123 123 123 Current results: ID, purchased 123 YES 123 123 expected outcome: ID, purchased 123 YES 123 YES 567 765 123 YES 123 YES

Hey guys, I’ve built a personal CRM which I use to manage fundraising, hiring and key partnerships. I have the following (here relevant) tables: contacts, todos, contact interactions, pipelines, notes. When logging an interaction, I like to leave my notes and follow up tasks (2 different columns/ tables) directly in the ‘contact interactions’ table. However, they are then tied to the interaction, and not the contact. So whenever I click a contact before a meeting with them, I can not see previous notes nor my tasks related to them. The best workaround I found is clicking on the contact directly and leaving the task there, but that is somewhat clunky. Is there a formula/ script to ‘pull through’ certain data (having a field that writes on the contact table, but is visible in the interactions table, if it makes sense)? I have the same problem on multiple fronts, so if anyone knew a solution to this, it would be awesome :raised_hands: Best

I have a contact list where one of the fields is “Referred to…” to show how I got into contact with someone. What I want is a two-way link for “Referred to/by”, like so: Name | Referred To | Referred By --------------------------------------- Jim | Amy | Amy | | Jim Bob | | For example, if we have three names in the table, eg. Jim Amy Bob Jim introduced me to Amy, so have it as Jim | Amy Amy Bob The problem is, when I link Jim to Amy, I want another column that shows that same relationship in reverse, a “referred by…” field. Hi all, I’m building a CRM base. We offer multiple products with different pipeline journeys for each product. End goal is to be able to select/add a specific journey (pipeline) to a contact record (in a “pipelines” field of Table-1) and when a specific pipeline is selected, they are auto-added to another table that contains all the data for that pipeline. So Bob gets added to the master, and salesperson adds Widget-A to their “interested in” field. Bob is then auto added to the Widget-A pipeline where those stages and other data are managed. I HAVE created views in the “master” for each widget, but can’t figure out how to auto add those to a new table. Thanks in advance!

Hey community! I am using a table to try to build a ‘universal template’ for products that are synced with an ecommerce marketplace. Each category for products on the marketplace has a specific upload template that has unique fields in addition to the common fields across all product categories. My plan was to create all possible fields across all category templates and then re-create the category templates as views within the table. My problem is that I ran into the 500 field limit (that I did not realize existed) and now I’m scratching my head trying to figure out how to restructure my table to accommodate. My goal is to have a single instance of truth for various product data points; for it to be easy to find (not having to hunt between various tables) and to have an easy way to generate the csv output to match the marketplace upload template for the appropriate category. Any thoughts?

E.g. the combination of “Password” Object and its connection to “Write” and “Restore” Actions should create records with the fields “Write Password” and “Restore Password” in another table. Hi, I’m a web developer and part of how I’m using Airtable is to keep track of to-dos on a variety of client projects I’m working on concurrently. For each client project, I have a checklist of maybe 30 tasks that I use as a starting point. For example, things I need to do for every project, like get the signed contract back from the client, set up website hosting, create the logo, etc. Currently, I have these tasks grouped in multiple stacks within the Kanban view, with each stack representing an individual project, and then I also have them organized by due date in a table view. Because I use this same checklist for each project, I have a set of these 30 tasks for project A, project B, project C, and so on. And, then I also have just a set of these tasks labeled as “Template” and whenever I have a new project, I just go through and manually duplicate each of the 30 tasks from the Template group, and then re-assign the duplicates from the “Template” group to that new

Hi fellow Airtablers, Does anyone here know if one can get around the 50,000 record limit per base by linking two or more bases with automation? Like, inventory in one base, sales in another, clients in another, etc.? Any other ideas about how to get around this limitation? And is it 50,000 per base or per workspace?

Hello, hope you don’t mind the newbie question. How do you set a variable that I can call across I have a base where I’m organising people into coaching groups. Each coaching group has a unique name (Pacha, Twilo, Space etc). Each coaching group also has its own URL. What I want to do I’d like a field that autopopulates that Airtable URL whenever I assign somebody to a group. So if I assign somebody to “Pacha”, another field updates with Pacha’s URL. I guess that I need to create a table within my base to store these “variables” but I’m stuck on how to call them into the main table. I suspect it has something to do with linked fields and lookups, but whenever I read the documentation I get stuck. Any help would be hugely appreciated. Thanks! Ian

Hello - I am working on a base that contains different revenue sources for our organization, which includes donations, tuition, enrollment fees, etc. In the case of donations, we have an entry for each person who donates. But for tuition, this is received from multiple people. We want to be able to keep track of the individuals who pay tuition, but in our main list of revenue, we want to see the tuition summarized into one line as a lump sum (without seeing the individual names of who paid the tuition). Is there a way to set this up in Airtable? Thanks in advance for any guidance!

I want to use the cells in a single-line table as ‘constants’ that can be used by another table. For example: The Products table has product details and one column is Colour. Associated with each Colour is a ColourValue (in an adjacent column). The Colours table has a single line with one column for each permitted colour (Red, Green, Blue). In each cell is the value for that colour. Alternatively, it could be arranged with a pair of columns for each colour: ColourName1, ColourValue1, ColourName2, ColourValue2… etc. I want to connect the two tables such that when a ColourValue changes in the Colours table, then the ColourValue entries in the Products table is changed for every record in the Products table that has that Colour. So, if in the Colours table the value for Red change from 5 to 7, then every entry in the Products table that has Red in the Colour column should have its ColourValue updated to 7. Hello I need to collect answers from my clients, to 20 different questions each month. I then put a photo beside the clients answer and have Zapier send the photo and the corresponding answer, to the Instagram of the client, through Buffer. I’m assuming I will need a seperate table for each client and that it will look like this: CLIENT TABLE 1 |Q1|Response|Image|Date| |Q2|Response|Image|Date| |Q3|Response|Image|Date| My Airtable Form responses end up in a table like this though… Client 1 | Q1 Response | Q2 Response | Q3 Response etc Client 2 | Q1 Response | Q2 Response | Q3 Response etc Client 3 | Q1 Response | Q2 Response | Q3 Response etc Which is not really helpful for me, since I need to add the image etc… How can I rotate that data? Or is there a completely different way to do this that I’m missing! Thanks!

Is there a way to set up a single view of all my tasks that exist in multiple bases into a unified view so that I don’t have to open each base separately? I would like to be able to work within this unified view to have complete control of over what should get done first, second, etc. Once I do complete a task, then have it marked as complete in its’ source base.

Hello Airtablers, I had an idea in mind for a while now. I would like to create a “hub”, a repository of science-backed studies on a specific topic. If you’re familiar with this website, examine.com does exactly what I intend to do on a broader scale. While examine is not specific to one “niche” but rather gathered studies on specific supplements, I intend to do the same for diabetes and everything related to insulin resistance. Ideally, the project would contain a Home page with a search bar and illustrations all around, with part of the Homepage linking directly to subcategories like: studies repository for the tag « Cinnamon » studies repository for the tag « Metformin » studies repository for the tag « chromium » etc. I imagine I’ll have to create a database regrouping every study about the subject; Ideally, I’d crawl/scrape the URLs of the major databases publishing

Hello When building a simple base of entities (Let’s say Peter, Paul & Jack), i add a column to indicate there’s a link between two (or more) of them. Doing this, i use a Link to another Record in the same base. So when i’m linking Paul to Peter, i see Peter in the “link” column of Paul. But no link appears with Paul appearing in the Peter entry. Is there a way to link two entries in a simple bidirectional way ? It sounds so pretty simple, i can’t believe i have to do it twice for each link between entries. Or should i use a graph tool instead of Airtable maybe for this kind of analysis ? Regards, A

Hi all, Here’s where I’m trying to get: A business contacts CRM that is both a DB of all contacts, contact-specific files & links, and also has multiple “pipelines” for each contact. The core consideration is this: Contacts can originate from multiple sources: Instagram, Twitter, IRL, etc which will determine which FIRST unique identifier I acquire. Sometimes it will be insta’ handle, sometimes a name, sometimes an email. Then as said, I will have different pipelines (journeys/kanbans) for different products, etc. I need a way to link to a record (a unique identifier) without knowing WHICH identifier I’m going to get first. Does it make sense to create unique internal IDs that become my “common language” across all tables? Hi there! In the last 12 hours, the linked records in my base have suddenly and mysteriously changed! Please help! I run a diaper bank. We use AT to track requests for diapers by size. A text field tells us what size of diaper is being requested, and then, using a linked record field, we manually link it to another table that contains diaper sizes (diaper come in sizes Newborn, 1-7, and pullups). The text and links are easy to match. As of 12 hours ago, it looked like this: (*Note: in the image above, the record created on 9/3/2020 7:25am is wrong (5 and 7). I’m not sure if that was human error, or the beginning of my problems with AT linked records. Keep reading for the main problem.) Example Product 1: Client A, B and C Product 2: Client B Pruduct 3: Client A and D Like this I have at the moment 200 products, but soon this will grow quite a lot. The problem is that when I have a new client, lets call it “Client E” and I want to link it with 50 records, I have to write his name in each record, I cannot just click on the small square and drag it all the way around. If I do so, it will just copy the value of the inital record (with all the initial linked values) in all the ones that have been draged. At
