Base Design

Is there a way to know the base size? This would help to know to see if the base is near capacity? At same time, is there a dashboard of sort to see how many records a base has?

Hi I posted this in show and tell. Not sure where to put this. Hello, I am new to the community. I am trying to setup a database for our acquisition company. I have leads that own multiple products and need to be able to sum up all the products in one place. This works perfectly with grouping. However, my issue is assigning a caller to these leads. I want to link all the lead records with the same names to each other and my caller have a summary of all the products, values and one lead contact field. With grouping I can assign a collaborator but they have to be assigned to each one and it breaks the summary. Can anyone tell me how to complete this correctly? I was hoping another table named leads where it listed the owners once and rolled up the values of all the associated records to that owner.

I have a table of about 8 fields. It’s a base of items on a server, with associated fields, like name, date, tags, text, date submitted, etc. At this point, I just want to look up within one table. I want to create a view where the user can enter data for these fields and the view will return records that match those entries. Is this possible?

I’m probably missing something obvious but I wanted to experiment with the button field but it isn’t an option when I create a new field. Any ideas, Lee

Hi friends, I have been so stuck with the set-up of our airtable structure I’ve been losing sleep over it… Here is what I’m trying to do. Any help would be so appreciated! I have a complete list of contacts - most of these are business partners, who are also directors and/or officers of our group of about 15 companies as well as investors in even more of those companies. My Contacts table has pretty much everything about each of these people, and this table is linked to our Companies table which includes a lot of other things like incorporation dates, Auditors, Reg & Records Office, Directors and Officers (linked from the Contacts table). My issue is this…because I have the same person being an officer and/or director of many companies and they are appointed on different dates, (which need to show up in the Companies table), what is the best way to incorporate that information? Hi - I have a table set up like this: Contractors (details of people) Jobs (individual jobs) Each contractor will have new jobs assigned to them. I would like to know if a job has been assigned more than 5 days ago. What is the best way to do that? The idea here is that each job has notes on it and if i can see when the job was assigned then I can see if there has been no action taken on it yet and send a reminder. The complexity is that each job could have more than one contractor assigned so I need to know specifically that contractor B has taken no action even though contractors A and C have been making notes. I have one base with multiple tables. Say I have one base with n tables. Is there a way to populate n bases with one table each? Alternatively, basically I need to share each of these tables to be editable with one unique other person per table. For example, say I have View1 needs to be editable by Person A and View2 needs to be editable by Person B, but Person A should not see View2 and Person B should not see View1. It appears the only way to do this is to split into separate bases, but if there is another work around I’d love to hear it. Thanks in advance!

Good morning, I have two small businesses that share some (but not all) of the same leads in the eldercare industry. Due to the pandemic, a lot has changes and continues to change. In the last 8 months, I switched from a cumbersome Google sheet ‘system’ to LessAnnoyingCRM (yes - that is the name) which interfaces with Google calendar/Gmail very well for appointments and emails, but I am not managing the leads very well at all in the CRM report route. I don’t know if I actually need project management or a CRM or both. I realize Airtable offers both. I really want ‘one-stop lead/project management’ where I can find everything in one place and be able to see the progress of leads on a chart/graph and perhaps get notified when things are due. Is that something Airtable offers? I need guidance to make an informed decision about this. Thanks.

One column is the name of a country i.e. United Kingdom Another column is the url slug i.e. /united-kingdom Next column is the meta title i.e. Rent a boat in [country name found in first field] Is there a way to do this?

Hey everyone, I’m trying to find a solution or a workaround that will allow me to populate a cell with a record from another table, based on the value of another cell in that table. sorry new user I want to create a conversation database one table person one table topics I am struggling with allow linking to multiple records or not. If don’t multi-link records, I don’t get the “link to a record in topics table” option… I would have to leave the person table and switch to topics table and enter the new note and select the appropriate person to link the note. then I I go back to the person table, the new not is listed with all prior notes… if I use the multi-link reconds options, I have to click on “link to a record in topics table” take me to the notes table and I can create a new note… very smooth…BUT the problem is not only can I create a new note, but I can also link to any note in that table that hasn’t been link to a specific person’s name before. there are a lot of records in this table… I would like to have just the ability to create a new note, not pick a prior note that is link to a different person. Does this make sense?

Hi all, i need help with sending a record containing audio files. I have a lot of records with mp3 or wav files. and when sending everything seams perfect. But when someone receive the email the audio will never play? is it something I’m doing wrong? i can see a new browser window open when i click on the audio file in the email. but nothing happens ?

Hi all, Hope you’re doing well. I’m asking the community about a strategic choice I’m about to make. We are handeling Client Missions through Airtable. We did automate most of our process with Zapier, like sending e-mails. Right now, we only have 1 Client Langage, and 2 differents type of products. Each product and lang will result in a quiet different mail template. For now, I was using Paths in Zapier. However, we’re going to scale to 3 langages, and maybe up to 4 or 5 products, therefore I may have up to 15 differents mail templates. Zapier Paths seem not appropriate at all, without considering maintenance costs… I’m about to change the strategy to conditionally format e-mails templates directly in Airtable in a Formula Field. Hello! I have what I imagine is a pretty common set-up. I have 2 tables in my base: Projects Staff Projects includes things like name, start date, end date, complete (checkbox). When I create a new project, I have a multi-select option to assign many staff to the project. My issue is this - I would like to view all the projects that each staff member is working on in one list (or a Gantt chart, but the same problem arises). Seems simple, but I’m running into two issues: 1 - In the Projects table, I cannot group by Staff because it groups them both as individuals and when they are in groups together. 2 - In the Staff table, it pulls over all projects that have been assigned to them, not just Active Projects. I have also explored creating a 3rd table to track Assignments separately, but that did not solve the issue either. But I’m open to that if that’s a better option. Seems simple, but I cannot find a way around it. I look forward to any suggestions - thanks!

I am setting up a base for the different parts that go into construction while building a house. I have already set this up as a simple many to many base where any item can be linked to any other. For example: You might have the items: Kitchen Plumbing Sink Electrical Bathroom Lighting These all become linked in lots of ways because your kitchen has lighting and electrical and a sink but so does your bathroom and electrical links to lighting and sink links to plumbing. I want to then be able to display every item as a stack in a KanBan view. This will allow me to view a sack of everything in the kitchen if I am focusing on this. Kitchen → Plumbing Electrical Sink But also a stack of electrical if I am focusing on that: Electrical → kitchen, bathroom, lighting, etc. Is there some way I can make Airtable create my KanBan stacks based off my main field of items?

HI Team, I am facing difficulty in airtable whenever i open it.The cursor points always to 1st row. when i have 200 rows and 200th is last edited row then it takes considerable time to go to last edited row, so is there any way the cursor can point to last edited row after reopening sheet. Is it possible to have a LINKED RECORD pull into table 1 from table 2 the same way Excel uses VLOOKUP? For example: TABLE1 - COLUMN 1 = DATES - I want to see if the date has an ‘event’ attached based on actual date (which is in TABLE 2) TABLE 2 - COLUMN 1 = DATES/COLUMN 3 = EVENTS I want to do this without manually dropping the record in each time, as I may change the date for a row at some point and don’t want to keep the ‘event’ info from table 2 if it’s not an event date.

When I have multiple records linked to one row of data in a table, is it possible to flatten or split the records? E.g. If I have Table 1: Record A and I create Table 2: Record B and Record C. If I then create a linked field in Table 1 to Table 2 and link Record B and Record C. I can see Table 1: Record A, with B and C in the linked field, on the one row. Is there any way to see 2 rows? E.g Row 1: Table 1: Record A linked to Record B and then Row 2: Table 1: Record A linked to Record C? This is a major requirement for our usage. I’m not a developer, so any code-less solutions would be great! Thanks.

I have a general database with a list of companies with different priorities. Is it possible to link it to another table where the high priority companies become the row headers? I want to utilise a different table to input more specific steps. Thanks!

I have a table with tens of thousands of rows, and one non-unique column is ‘asset type’. I can group by asset type, then view the sums of other data columns by that grouping. That’s 80% of what I need! Now I need to calculate several formulae based on those sums for each group. The simplest example is dividing two of the sums. For each formula I need to calculate and view one number per group. How do I do this? I’m pretty new to Airtable and still learning, but is there anyway to create a new linked table where each row contains those summary data from each group? Then I could simply add a formula field for this new table for each formula I need. That would do what I need perfectly. I’ve looked a little bit at linked fields, but I don’t see how that would work for my case because there’s no way to do ‘automatic linking’ based on my ~1 hour of searching these forums (even though it’s frequently asked about and requested, which is disheartening). (I am using “X” to denote empty instead of leaving the filed empty). FYI. This formula works for concatenating all fields while ignoring the blank ones. I would like to have one table in a base display information from multiple tables in the same base (or another if that’s the only way to do it). My situation: We have an online ‘program’ and participants complete a series of forms to complete each step - each form is its own table. We’d like to have one table that gives us a ‘snapshot’ overview of each participant’s progress in completing the forms. The only way I can see doing this is by creating a “Link to another record” field and manually selecting the participant each time. Is this right? If there is a trigger or other automation we can set up, I’d love some help! Thanks

Hello all! I’m new to airtable, and I’m stuck with a thing. I have a tasks table, and sometimes I need to wait a response from a client that another task from client (B) is achieved to do another task (A). So when I create my (A) task, I fill a “waiting for” field (that is a “link to another record”, linked to the same table) to remember me that this task is pending. As I’m creating my (A) task, I click on the “waiting for” field to create a (B) task (the client response), where I pick a checkbox “External task” to remember that this task is not mine (and stock it in a separate view). I have two question : first, I would like to add the (A) task name to the (B) task field “Linked to task” to know for what task the client response is. I tried with automation but it didn’t work. Maybe it is not with automation to do this, maybe a formula or something to fill this “linked task”.
