I’m new to Airtable – how do I set up/structure my base? Hi, is there any way for the fields to automatically change (columns) when a specific item is selected in the first field (column A)?
Real simple question: I am building a todo list across multiple areas of my life. Each table/tab is a different area (work, home, school, etc.). Within each area are numerous tasks grouped into various projects. I need one single master view that shows me the latest task (record) from each group across all those tables. That view can be another table itself or a block. Ideally, that view would show the highest-ranked task (record) within that group at that moment until marked complete, then it would be removed from my master view and replaced with the next highest incomplete task.
Hi, I am trying to track the accreditation process and had thought to set each table to include the various components of the levels of accreditation (beginner, intermediate, advanced). However I need the primary field which is the list of personnel names to copy across each table without needing a linked field that would require updating when entering new personnel. Is that possible?
Hi Everyone, I recently started using Airtable and I think the whole tool is great. I am now setting up a Base for planning a private birthday party. Some background information: We are multiple people celebrating together. Everyone can invite people and we want to divide the costs as following: Fix costs (Location, Band, …) are divided equally to all hosts and variable costs (food, drinks,…) are allocated by the number of guests per host. I have a set-up with the tables “Hosts”, “Guests” and “Costs”. The guest table includes all people invited with a link to who invited them. (and vice versa) Important here: Individual people can be invited by multiple persons, so the link is multi-select. The Costs table includes a column “Cost type” which groups them in fix and variable costs. Now I need to calculate the price for each person. I know exactly how to do that in excel: Sum the Fix costs and divide by the number of hosts Calculate the price per person by dividing the variable costs and
Here’s what I want to do (simplified for clarity). I have 5 blogs, and each one has 2 hyperlinks in it, that link out to the others. I want to be able to open one record, and see list of links to Outgoing Blogs, and then click on them, to see the record for those. The info I want to capture for each record in my ‘Blog’ base and are my columns from left to right are: Post URL (locked column), Post Title, Outgoing Links (set to link to another record in the same ‘Blog’ base, aka the Post URL column). The URLs in Outgoing Links are identical to the URLs in Post URL column, but the problem is, when I import my data from a CSV, with multiple Outgoing Links separated by commas, Airtable dosen’t map them to the existing Post URLs that contain all the other meta-data. Instead, it creates new records with just the Outgoing Link url. Does anyone know why this is happening? What am I doing wrong? And is what I want to do even possible in Airtable? I have a column to which records can be added or deleted (Players). In another table I am trying to build a single select type field from which the user can select one option from the Players column. The options for this single select will need to be dynamic, read from the Players column at the time of selection. Is there a way to achieve this?
Hello, my organization collects donated items to sell at market. I have a base with two tabs: A calendar view of events (Collections, Donation Sorting, Selling) and a second tab with a list of donors and volunteers (who are often one and the same). Under the second tab, I have a view form for donors to complete. I would like them to be able to schedule (i.e.select) only future collection dates (we collect every Sunday every week). I need some help… how can I best do this?
Hi First-time Airtable user, I am working to create database for a yearly event. I have the current table of past year attendees and plan to use Zapier during this year’s registration period to send the record when someone registers from the ticketing platform. My question is if the attendee has attended in past years, how to associate that new record with an existing record vs. create a new line? Before the record is added, looking up to see if an attendee with that email is already in the database. If yes, associate that new record with an existing record, if no, create a new line? Thanks! Hi, what’s an equivalent of each feature of Airtable in Google Sheet?
I have a field set up as a URL. However, the URL does not actually allow click-through in the mobile app, although I am able to use it that way on my desktop. Seems like there is little point in having a URL in the table if it can’t actually function as a hyperlink. Having to copy and paste the link from the mobile app into a browser creates a number of additional steps. What am I missing?
Hello, I am very new to airtable so I don’t know if my question makes any kind of sense. I hope that you will bear with me. I make bath & Body products. So far I have 3 tables with their related fields Ingredients: Name, #Amount/PU (PU= Packaging Unit, e.g. 128 oz), $ Price/PU (e.g. $38), Fx Unit cost (per oz of material: Price/PU :heavy_division_sign: Amount/PU). I entered all the raw materials I use in my products in the Ingredients table, with their Amount/PU Price/PU. Products: Here is where I am having a problem. Below are the fields: Name ( e.g. Body lotion), Ingredient 1 (Jojoba Oil - Linked to records from ingredients, I don’t know how to type the symbol), #Amount/PU, $ Price/PU, #AMT (Amount used in batch), Fx Cost of AMT {AMT 1}*{Price/PU 1}/{Amount/PU 1}. I have these fields for all the ingredients used in the body lotion. Then I have the following fields: a) Fx Cost of Batch: {Cost of AMT 1}+{Cost of AMT 2}+{Cost of AMT 3}+{Cost of AMT 4}+{Cost of AMT 5}+{Cost of AMT
Hi there! i am using airtable to collect and manage various data and as a rudimentary CRM. however, i wonder: is airtable really up to the task to serve as a CRM? i really like it for the quick data entry and possibility to quickly expand and adapt. yet, i have the feeling airtable is not good enough to serve as a real CRM. for example: i want to use it on my android phone to call contacts. i don’t think it’s very user-friendly so i was thinking to link it with google contacts (as i’m working extensively in the google ecosystem with GSuite for Business). however, linking airtable to external tools is very limited it seems, at least without coding custom api integration. notably i am using Zapier but i find there is a huge lack of triggers (as compared to google sheets): i can only push data from airtable to google contacts, and this only ONE TIME (either when a record is created, or when it shows up in a specific view) and i cannot UPDATE datasets, i.e. contacts in Google Contacts, onl
Hey all, I have a big base. 44,740 records. This thing is slow! Searching / scanning a barcode via mobile phone almost halts the app. Desktop experience isn’t much better. Smaller bases works alright. Is it just me? anything I can do or is it a server issue?

Hi Everyone! I am trying to figure out how to autopopulate a linked table. I currenly have table 1 linked to table 2, but every time I add a new record into table 1 I have to go to table 2, create a new record, and link the record from table 1. There must be a way to organise this so that anything created in table 1 automatically populates linked tables, but I can’t figure out how to do this! Any guidance would be great.
Hello, I have a table to track “back up” task that need to be recorded everyday. So basically, after each back up the staff need to open air table and filled in some data. I use created time to track the time the task is created and the proper workflow is to do this task daily. Now I like to have an automated flow: At 7:00 pm, run a check on “back up” table, If there is a new record for that day, do nothing If there is no new record for that day, send and email to some body I can use Zapier to send email for each new record in AirTable, but in this case it’s another way around. I haven’t find an Zapier command that could check current date and find a matching date on AirrTable, that is the basic to config such an Zap. Any help is much appreciated. Viet Anh
Hi everyone, I’m in charge of finances at a company that has 50+ bank accounts across structures & countries. I do a daily check of balances on a very simple spreadsheet. I basically have 30 columns with previous day data and enter the new daily balance. I’ve always thought AirTable would be a much nicer way to deal with this (as I can group by currency, country, bank, structure for instance). However, updating a record - imo, these should be individual bank accounts - on a daily basis seems to be a struggle. I can think of workarounds such as duplicating records & filtering in a different view ; or creating a separate table with all the raw data and using lookups … but this seems an overkill for something so basic. Any thoughts? Thanks!
Hi! I’m relatively new to Airtable. I’ve set up a form that can be shared with non-Airtable users, enabling them to submit program ideas for our organization. They submit ideas for programs using the form, populating our database. After the submission deadline, I would love to make the gallery view available to another group of non-Airtable users, and have them rate each of the submitted ideas (1-5 star rating) OR link records from the database of submitted idea to a form that enables users to rate each record. Any advice out there?

I’m routinely linking a record from another table to match text in another field. Is there a way to do this fast/automatically? For example, we have an Invoices table, with data that we import from our invoicing software, Harvest. From the imported data, we have a text field with client names. We then link the client names in a linked record field to client records, which live in another table. One of us has to do this manually, each month. Is there a way to use a formula or some other function to return a record from another table if it matches the text in another field or return something like '[NO MATCH]" if there’s no matching record in the other table.
Hello, I will try to make it as simple as possible: We are in the Property management industry, where rent amount is calculated based on the latest value of an index of a given quarter. A rent has a base quarter (Q1 or Q2 or Q3 or Q4) at year N which is used for the calculation of this new rent. When the new “base” quarter index is published (at N+1) then the rent value is updated. Indexes, in general, are updated on a quarterly basis (and are roughly 2 quarters behind based on today’s date). There are 4 indexes, each rent uses only one of them. The index value usually goes up but can go down (in a economy slow-down situation). My challenge is to automatically calculate the new value of a rent when it’s base quarter index is updated at N+1. Current setup: I have a table with all rents, their related index, their base quarter index, the initial rent value (base quarter year N), and this table should host the updated yearly rent I have a table with quarterly values of each index, with th
Hi everyone, I’m new to Airtable and before I get too far populating my Airtable base, I was hoping to solicit advice on how to set it up as well as possible. I am watching raw footage for my documentary film and logging it. Basically the data I have is: time code, logging notes, thematic tags. Here are some examples pulled from the Google Doc: 31:09 | Clint, Joyva History, Radutzky Family Clint: Mickey, Harry, Milton, Alex. Those were all my bosses. I love them all. There was nothing in the world that they wouldn’t do for me. That’s why I never let them down. I never leave them. Now I work for Milton’s son Richie, your father Anybody that’s not happy with their job I don’t understand why, I love my job 27:37 | Angel, Factory, Outdated The process hasn’t changed at all. “It’s like your grandmother’s pancakes” 31:09 and 27:37 is the Time Code. Angel, Factory, Outdated, etc are the tags. Then the third field is the notes “the process…” Any advice? Thanks so much! Josh
