Base Design

Hey there, im currently trying to creat a database for at quiz system, and i dont really know how i should do this. Lets start with the basics, there should be a array of different quiz types for example (Classic, Guess the number and Match quiz) and this should have a Category too. This part seems pretty straight foward to me, here i would just create at table for each (Quiz, Category and Type), but now i need to add questions and answers to each quiz, and this is where im getting a little confused, because all the different types of quizzes should have a different layout and im not sure how to do this the best way. Is there a nice and compact way to do this or do i have to create 2 tables for each quiz type? Does this make sence or should i describe it in another way?

I’m currently trying to make a solution that allows my team to submit how many hours they’ve worked on a project into a table called ‘Hours’. I have another table called ‘Team’ that lists the members of my organisation and links to the ‘Hours’ table through the name of the team member. By calculating the difference between start and end time I can calculate the number of hours completed for each ‘Hours’ record. Now I would like to have a column on the ‘Team’ table that calculates the total number of hours for each respective member. I have started by creating a linked record called hours which lists all the ‘Hours’ records associated with the team member but I am not sure how to derive the total of these records. I’ve tried the roundup function but it continually gives me errors so I’m not sure what I’m doing wrong since this seems like very basic functionality. Hello. I have 2 tables, each with a list of names and email addresses and other information. I am trying to link the tables such that table A will search for the same email address in Table B and then pull a related column from Table B into Table A. I have tried linking the columns, but it doesn’t produce my desired results. How do I do this? thanks!

I maxed out 500 fields. It’s disappointing cause I didn’t know about it or I missed it wherever it’s mentioned. At least the Account overview should warn me earlier I am maxing out the number of fields. It doesn’t say anything about that. Now I have to spent days and days to redesign the table, maybe weeks… I have lots of fields primarily because of many complex formulas I have. I rather do multiple steps with formulas so that it’s easier to fix them or update them, given how unhelpful the formula editor is in Airtable. Now I will have to fold many of these fields together to free some space. I have alone 30 fields taken up with formula to generate separate URLs for attachments in the attachment fields (Yes I know there is an addon)… and so on. If I sound a bit frustrated, yes I am. I have recently changed to iOS from Android where I used a wonderful DB called Memento - haven’t found anything as simple or powerful in iOS yet. I’m a flight instructor and used it to track student progress. So, I had a bunch of fields - name, address, phone, email, etc - which every student had. Then I had a tab within the record for the various certificates or ratings a student may be working toward. They may, or may not, have similarish fields to each other. But I need to separate the data out so I can click to, say, Private, or Instrument. Can Airtable handle tabbing like this?

I am setting a “Classic” Project Management board with tables and properties such as: Project ----- Name ----- Due Date Stage ----- Name ----- Duration Task — Project (Link to Project) — Stage (Link to Stage) — Asignee — Stage Duration (Lookup from Stage) — Stage Due Date (Calculated from last modified time of “Stage” and the Stage Duration) — Stage Status (If Today is before Due Date → “OK”) The main challenge I am facing is that I need to know if I am “on track” with a task or not in the OVERALL, but not sure how to do it. How can I know if I am “On Track” at the overall stages? Hey everyone, I’m hoping someone here can help. I’m a real estate agent trying to build a database to track my transactions. I have a table called “People” which includes different categories of people such as clients, agents, escrow officers, vendors, etc. In this table I have a different “View” filtered for each category. I have a table called “Properties” which includes all the info for each property. I have a table called “transactions” that includes the transaction details including lookup columns for “Clients”, “agents”, “escrow officers”, etc. Each of these lookup columns is searching the same “People” table but is limiting the search to the specific “View” for that category. In my “People” table, I have columns for “Name”, “Phone”, “Email”, and a column of linked “transactions” Here’s the problem… inside the “People” table, AirTable keeps creating multiple “Transaction” columns for each different category of person. I don’t want 4-5 differe

So, I have multiple tables and I’m working on one last table (for now). This new table will essentially be a form. As I’m stepping through the form, I’m wondering if there’s a way to filter the subsequent form fields as I go through it. For instance, one table is company, another table is equipment. I have a Unit number on the equipment and they’re linked to the company. Now as I’m going through the form, one field is for company, the next field is the equipment. Is there a way to only show the equipment for the company I select in the previous question? Let’s say I have Company A and Company B, both companies have equipment with Unit numbers 1 and 2. So when I select Company A, I’d like to only see equipment units 1 and 2 for Company A, not for both Company A and B. If that makes sense. Hello, I’m using Airtable as a CRM and I relate contacts to specific opportunities. I have a table I link a “pursuit” of a specific contact with different pipeline stages (Pre-Qual, Qual, Offer, Passed). I want an easy way to log everyone who may be interested, and push them to try to offer on these deals. I would really like to easily filter all the leads in Pre QUal or Qual so I can easily click into them and edit the record (taking notes on last conversation, etc). ANd it would be nice to automatically sort the field on the opportunity tab by these pipeline stages. As you see in the screenshot, I have to manually drag these records to adjust the sorting… super annoying and when I have 80 linked contacts to one opportunity, it becomes a mess trying to scroll to find one particular record. Is there a better way?

My workflow needs to visualize some data and I can make it happen by sorting by column for the info and line for answers, but for the three last columns, my data has 3 different information, which I put in a different table. How can I put this on the main one as an answer with the average of this table?

Hello, I have a few linked fields in one of my tables. All have linked fine except for 1 and it will not populate. Can’t figure out what I’m doing incorrectly. In the first picture Vmix, URL and Password are all linking fine to the Vmix table. Session type is linking fine to the master agenda table In the second picture, Block # won’t populate. It and Start day and time are both linked to the MAster agenda. As you can see, start day and time has populated fine. Any suggestions?

Hi Everyone! I am very new to Airtable and cannot wait to start using it in my business. BUT (there is always a but) I have a client who would like to be able to set up a database that contains her clients, quotes/articles she may like to send them, and then automatically send an email. As great as this system is, I cannot seem to wrap my head around how we could do this. Bonus points if there is a way to conduct an old school mail merge from data in here too. - Thanks, Tina

Hi, I’m trying to migrate my Google Spreadsheet to Airtable and I would need a help with getting stock price. In my google spreadsheet I have a field with value =GOOGLEFINANCE("T") formula. This automatically fetches current price from Google finance for AT&T stock. Is there an easy way to achieve the same in Airtable? I couldn’t find any resource on this. Thank you, Ondrej

I have a base for tracking servers thru a migration. Tables Servers Databases Migration Date I need to associate Servers and Databases to a Migration Date. The complexity is that I need a view showing all Servers and Databases (along with some supporting data points) for a single migration date. If I add a Migration Date lookup to both Servers and Databases tables, I can’t figure out how to create the view so each Server and Database for a specific Migration Date are listed 1 per row.

I have a simple schema where I have a set of schools, and a set of people who are affiliated with those schools in various ways (parent, PTSA officer, teacher, etc.). A single person may be affiliated to one or more schools, and in one or more ways for each school. What is the best way to represent this in a base? At the moment I have a third table with a linked reference to people, a linked reference to school, and a multiple select affiliation type. The two problems I have with this are: If I create a form view to send out for people to fill in, there is no good way for people to enter their affiliations. I’m working around that at the moment by having another, free text field where people type this in, then I will convert those values into proper affiliation records. I can show lookup fields in the people table to show affiliations, but they only show all the schools and all the affiliations, not (affiliation, school) pairs.

Hello, I am pretty sure I know the answer to this but want to confirm. We have a database in which we are tracking student data. Some of the case notes may hold sensitive information and as such we do not want all staff to have access to some of these Notes fields. Is there any way to restrict access to some fields but not others within a table or base? Thank!

Hello amazing users! I have been working with AirTable Pro for several months now and I am constantly thrilled with what it can do. However there is something I simply cannot wrap my head around. I have a list of Crew members for my show. Each crew member may fill a different specific role on a specific shooting date. They also may have other things that they do in the production that gain them a film credit. Here is my problem: I want the first table that has one record per Crew Member with all their contact info etc I want the second table that allows to select a crew member at one of the “jobs” they are qualified for for a specific date I want a third that lists a record for every credit that needs to appear, in a specific order Example: Crew member Artsy McAwesomesauce is the Art Director. Hello! I am currently editing my base and trying to create different grids within one section. However, whenever I create a new grid, it copies the data and information from the first grid in the section. How do I prevent this? TYIA.

I have a main board that links to a task page which lays out all my tasks. When a task is marked as completed i would love for that field on the main board to demonstrate this. either through a color change or a strike through. I can make the color change within the task page but the change is not demonstrated on the main board. In the below image - some of these tasks are completed and some not so there is no way to tell the priority !

Question: I have a customer CRM base, and a Contacts table for all contacts. There are a handful of forms I’m using (hubspot, google forms, FB ads, etc) to collect new leads/contacts. Do you find it better/cleaner/more useful to Zapier that data directly into Contacts, or to use another table to collect form responses and link relevant data back to contacts? A separate table feels cleaner, but I’m learning more and more to reduce tabes and use views. Thoughts + reasonings? Thx in advance all! Damon

Is there a way to clear default columns in new tables? I always delete the notes, attachments, and status columns, which is tedious. I just want a truly blank slate.

I’m curious if anyone has any base template they might recommend for a use case I have coming up: I’m going to be opening an office, and I’m looking to track key objectives and goals along the next year+ leading up to that. Hello, I have a store with lots of items, at the moment we try to make airtable as our only system. in the store lots of items and when a customer buy from us he can have 3 shampoos and 4 hair mask then add 3 brushes and 6 pens… I can’t find a way to make it easy to multiply the items … any suggestions or templates I can learn from?
