Hello. Is it possible to create an automation that, when triggered, will update all records linked to a common record? Example: 3 tables- Customers, Entries, Payments In Entries there will be several records linked to a customer. When a customer makes a payment for those entries a record, linked to the customer, is created in Payments. I’d like to set up an automation that updates all the records that are linked to that customer as ‘paid’. Any help would be greatly appreciated! Katy

Hello! I need help with grouping. So instead of easily grouping my linked event dates and seeing the sum beside it. I need to group those dates by the sum ( total number of events within each date). I have read other topics and it states that I need to create a formula or a another field with a count formula, but I am unsure on what the formula would be. I am a novice to Airtable and I’m sure there is an easy solution…I just don’t know :frowning:

I have a fairly complicated script that classifies inbound emails written to my Airtable via Integromat. The script is based on text string matching against the content of the email. Script triggers every time a new record is written to my table and enters a view - ie it uses the ‘when record enters a view’ trigger, and it functions very well. This script processes hundreds of emails per day, and the content of those emails can change at any time, so I’m regularly adding new text strings to my script so it can recognise new variants of the incoming emails it processes. This works fine for auto-classifying the future emails that match the most recent text string update in my script, but very often by the time I’ve updated the script with a new variant I’ll already have tens of matching emails already in my table, and it requires manual work to go back and classify them. What is the best/most elegant way to re-run my classifier script over the existing reco

I can see a way of using formulae with date and time calculations but this is such a convoluted way of having to delay an action from a trigger. My use case involves referencing a synced table - but as the sync doesn’t happen in real time I want to delay my automation until it has. I foresee this need growing. it would be great to see a delay action in automations.- anyone with simple work around or ways of getting this up the priority list ? .

Good afternoon from a relatively newbie! I am working on a volunteer project where the organization is giving away certain items “first come, first serve.” I have created a form for interested people to make a request for an item, but, when the inventory is 0, I want a “pop-up” message on the Form to say “Sorry! That item is no longer available. Please select a different item.” What I would prefer is a conditional lookup for the item field that would not display it as an item if the inventory table says the quantity is 0. Any ideas would be much appreciated! Tim

I have a base that is for “equipment” management. Basically it shows every piece of equipment we have on site and where it is (plus a bunch of other info). When we install a new room, or make changes I would like to be able to update it en-masse without having to search for and change each record. EXAMPLE: airtable: TV1 - Room 100 - serial# 34555 TV2 - Room 150 - serial “blank” New spreadsheet/table TV1 - Room 600 - blank TV2 - Room 234 - 098733 TV3 - Room 567 - 09292 ADJUSTED AIRTABLE after automation TV1 - Room 600 - serial# 34555 (room changed) TV2 - Room 234 - 098733 (room changed, serial entered) TV3 - Room 567 - 09292 (new record created) I’ve been working on the concept of having a table specifically for storing updates, but so far have been unable to successfully “link to” the associated record ID. Hi! I am using Airtable for aback end to my business and have just got a notification that I have exceeded the number of automations I am allowed (I don’t think it is number of runs, I am way off that, it is the number of automations itself - I have 25 in the base but also save backup copies o the database int he same workspace). I was surprised by this limit as it isn’t particularly clear int he pricing plans but have found some reference to it in the help sections. Does anyone know if you can increase this limit by paying more money, and/or any work arounds? Any help much appreciated!! Simon

Hello wonderful Airtable community, I am working on an email automation that will report on student progress through a variety of courses. I have each course listed as a single-select field, then the possible grades listed as the options to select. I want to send an email report that shows these grades: Class 1: {GRADE} Class 2: {GRADE} My problem is that no matter what options I select when building the automation, the GRADE field shows up blank. Hi, I want to post to my FB page every day at 9 AM local time. For that, there is a status, a date and an image field - and a Kanban board. Status can be “Draft, Ready to Publish, Published” let’s say. I can’t tell a condition to match the TIME of date - fine, I only need 9 AM anyway. So I schedule the automation to run every day at 9 AM. I can’t tell it however to post a picture, as the Find Records - whose status is Ready to Publish and Date is today - returns an array of records, and I can’t insert the picture from the values. Any ideas?

I’m not sure this is possible without creating a ridiculous amount of individual automations but figured it doesn’t hurt to ask. I already created an automation that tells me when records from a specific table are updated. But I don’t see a way to have the field that was updated listed in the email. I don’t event need to see the new or old values of the field - just the field name. It’s not a huge problem but it would save me the trouble of logging into the base to see what changed.

Hello, I’m currently trying to setup an automation that will send off a notification email to multiple addresses (“Team managers”) when a record is created (or updated), if said record has linked to multiple other records in a specific field (“Other teams involved”). The email addresses are pulled through from another table using a Rollup field and ARRAYJOIN, and so are separated by commas, but the automation test fails, saying that the email address field is invalid. Do automations not support sending to multiple email addresses? Any clarity would be great. Many thanks and kind regards, Matt

Is this possible? I have a table called “SITES” and a table called “SERVICES” that are connected by a linked record field. A service can comprise one or more sites. In both tables there is a “status” single select field indicating whether the site/service is live or not. When a service is no longer live, then all sites linked to it also need to be marked as “ceased”. Likewise if a site ceases, and that site is the only site in a service, then by definition the service ceases as well. I think it needs a three-step automation where the first step is finding the record matching certain conditions in sites, which then uses “find records” in step 2, to change the corresponding records in the linked table (SERVICES) in step 3. Help very much appreciated.

I’m trying to have emails automatically sent to someone in another organization but who is shared as a “Creator” on the workplace on a free plan but it’s saying that they are not a collaborator and can’t have notifications sent. The addresses are the same, and it’s (I believe) the account that manages their account so why is this not working?

Hello, I have a Client Management base that has a main table called “Accounts” with a list of accounts by name. I have a second table called “Online Presence Builder,” where new records are automatically created using the Jotform integration. When clients fill out the Jotform form, they choose the type of project they want to be completed. The trouble I am having is creating an automation/script that will compare the company name in the Online Presence Builder table to the account name in Accounts. If they match, I want the automation to add the project named in the automation to the projects listed under the client. If they don’t match I want to create a new account to the Accounts table. I found a few examples that were close but I couldn’t figure out how to make them work for me. Does anyone have any ideas? It would really help! Thanks!

I’m trying to send people e-mails when we’re 2 weeks out from a certain date in the record. I created a formula field that calculates the difference between today and the date field. And then want to Trigger my automation when that formula field equals 14 days. Will it just check every day, or the moment the value changes to 14?

Hello guys, Thanks for checking on my issue I deliver goods to my customers in reusable boxes which (mostly) return to me. The quest is to know which customers owe me which amount of boxes automatically. This is the level design: :white_check_mark: 1. Every box got its own barcode (A). Every order got its order ID, printed as a second barcode (B1). :white_check_mark: 2. When a box is ready to ship, both barcodes get scanned. This way it’s recorded where the boxes went (the customers adress is tracable via the order ID (B1). Later this database has to link with the order database - but first things first) :white_check_mark: 3. When a box returns to the warehouse, barcode (A) gets scanned again. :interrobang: 4. Now Airtable is recognizing the previous entry already existing. It marks the box as returned. (The database entry could get archived this way.) :interrobang: 5. Next time a returned box is used for shipping it gets scanned again

Hi, I wasn’t able to find in the support the answer to an automation question, hoping someone can help me understand. I notice that if I trigger when a record is updated and I have it set to do so in a specific to a view. If the field being watched to trigger the automation is updated outside of that view the automation doesn’t trigger. Is this correct? I was hoping to have the automation only happen to selected few records (in a filtered view) that get updated with certain information (updated from a different view). Not sure if this can be done now, or am I missing something here? Thanks for some insight!

My table has primary “Date” field and a “Next Date” field that uses WORKDAY({Date},3). When a record enters the “Done” view, the automation is set up to create a new record using the “Next Date” as the “Date” for the new record. It runs fine, but the “Date” field for the newly created record is blank. Not sure what I’m doing wrong.

Hi, Is there a script that can create a simple calculation with a time stamp balance. Like for example in my Airtable, I had a Payment and the Remaining balanced. In every entry, I would like to see the balanced stamp with Payment- Remaining balance equal. So I can see the Balanced Stamp on every entry. Basically like excel when every row has a different balance base on Payment. Thank you

Dear Everyone! This is my problem: I have cell1, cell2, cell3 and cell4. In cell5 I use CONCATENATE to bring the content of cells1-4 in one text and it is working. I want to use the content of cell5 as part of an email body with an outlook email automation but whenever I run the tests, only the content of cell1 appears in the body of the produced email. Remark: these text are long long strings. Anyone has any kind of solution or idea for this issue? I tried CONCATENATE, I tried “&” I get the same results: In cell5 everything appears as it should. In the email only the content of cell1 appears. I even created the test where I added cell1 cell2 cell3 cell4 in the body of the email and the result is the same. I have alot of columns and these are the last 5 columns of my table. Thank you for all the help. -A

I’ve seen a couple of postings that sort of sound similar so apologies if this is elsewhere and I couldn’t find it! I have a table, “Requests”, that is filled in by a form. When a new record comes in, an admin will review the submission and then check a box to trigger a welcome email. I’d like to be able to attach a PDF (always the same PDF) in the welcome email. I don’t want to pull this PDF from each record because that will eat away at our space (and because it’s always the same PDF), so I’ve placed this PDF in another table (called “Resources”) in the same base. I’ve set up an automation that: Triggers when an admin checks the “Send Welcome Email” box in the “Requests” table Does a “Find Records” on the “Resources” table to find the attachment I want But I think this method is failing because it sees it purely as a reference and not as the actual PDF. Hi, we have created survey’s within our base and then embedded those onto our website, but we aren’t receiving any notifications when someone submits a survey. Has anyone found a way to automate that? Notifications are all turned on but we still aren’t receiving any notifications. Thoughts?

Hi there, I’ve built a number of automations using the “Find records” step. Sometimes that step returns 0 records; other times, that step returns 1 record. The problem is that the next step after “Find records” will assume at least 1 record is returned and then proceed to generate an error if the input is 0 records. I’d like to either be able to: Add some sort of condition logic for the follow-on step to “skip” or “ignore” when “Find records” returns 0 records -OR- Just have any errors thrown by the follow-on step be ignored entirely from my Notifications view: As it stands right now, the “Find records” step is woefully inadequate for production purposes.

Hello, I want to add a condition in “Find records” but somehow nothing get added when I choose it. I can only add field which show me the “Insert” button. With the other option I can only press “continue” until I have no option anymore. Can anyone tell me how to add those value fields or tell my why it won’t work? Thanks in advance, Sebastian

Hello So I created a button that when clicked it runs a script and the script connects to a webhook and sends some fields to the webhook. But I added an input field at the beginning. First it asks your to input some text, and then send all the information to a webhook but have no idea how to send the input text. I appreciate your help.
