sorry new user I want to create a conversation database one table person one table topics I am struggling with allow linking to multiple records or not. If don’t multi-link records, I don’t get the “link to a record in topics table” option… I would have to leave the person table and switch to topics table and enter the new note and select the appropriate person to link the note. then I I go back to the person table, the new not is listed with all prior notes… if I use the multi-link reconds options, I have to click on “link to a record in topics table” take me to the notes table and I can create a new note… very smooth…BUT the problem is not only can I create a new note, but I can also link to any note in that table that hasn’t been link to a specific person’s name before. there are a lot of records in this table… I would like to have just the ability to create a new note, not pick a prior note that is link to a differe

Hi all, i need help with sending a record containing audio files. I have a lot of records with mp3 or wav files. and when sending everything seams perfect. But when someone receive the email the audio will never play? is it something I’m doing wrong? i can see a new browser window open when i click on the audio file in the email. but nothing happens ?

Hi all, Hope you’re doing well. I’m asking the community about a strategic choice I’m about to make. We are handeling Client Missions through Airtable. We did automate most of our process with Zapier, like sending e-mails. Right now, we only have 1 Client Langage, and 2 differents type of products. Each product and lang will result in a quiet different mail template. For now, I was using Paths in Zapier. However, we’re going to scale to 3 langages, and maybe up to 4 or 5 products, therefore I may have up to 15 differents mail templates. Zapier Paths seem not appropriate at all, without considering maintenance costs… I’m about to change the strategy to conditionally format e-mails templates directly in Airtable in a Formula Field. Hello! I have what I imagine is a pretty common set-up. I have 2 tables in my base: Projects Staff Projects includes things like name, start date, end date, complete (checkbox). When I create a new project, I have a multi-select option to assign many staff to the project. My issue is this - I would like to view all the projects that each staff member is working on in one list (or a Gantt chart, but the same problem arises). Seems simple, but I’m running into two issues: 1 - In the Projects table, I cannot group by Staff because it groups them both as individuals and when they are in groups together. 2 - In the Staff table, it pulls over all projects that have been assigned to them, not just Active Projects. I have also explored creating a 3rd table to track Assignments separately, but that did not solve the issue either. But I’m open to that if that’s a better option. Seems simple, but I cannot find

I am setting up a base for the different parts that go into construction while building a house. I have already set this up as a simple many to many base where any item can be linked to any other. For example: You might have the items: Kitchen Plumbing Sink Electrical Bathroom Lighting These all become linked in lots of ways because your kitchen has lighting and electrical and a sink but so does your bathroom and electrical links to lighting and sink links to plumbing. I want to then be able to display every item as a stack in a KanBan view. This will allow me to view a sack of everything in the kitchen if I am focusing on this. Kitchen → Plumbing Electrical Sink But also a stack of electrical if I am focusing on that: Electrical → kitchen, bathroom, lighting, etc. Is there some way I can make Airtable create my KanBan stacks based off my main field of items?

HI Team, I am facing difficulty in airtable whenever i open it.The cursor points always to 1st row. when i have 200 rows and 200th is last edited row then it takes considerable time to go to last edited row, so is there any way the cursor can point to last edited row after reopening sheet. Is it possible to have a LINKED RECORD pull into table 1 from table 2 the same way Excel uses VLOOKUP? For example: TABLE1 - COLUMN 1 = DATES - I want to see if the date has an ‘event’ attached based on actual date (which is in TABLE 2) TABLE 2 - COLUMN 1 = DATES/COLUMN 3 = EVENTS I want to do this without manually dropping the record in each time, as I may change the date for a row at some point and don’t want to keep the ‘event’ info from table 2 if it’s not an event date.

When I have multiple records linked to one row of data in a table, is it possible to flatten or split the records? E.g. If I have Table 1: Record A and I create Table 2: Record B and Record C. If I then create a linked field in Table 1 to Table 2 and link Record B and Record C. I can see Table 1: Record A, with B and C in the linked field, on the one row. Is there any way to see 2 rows? E.g Row 1: Table 1: Record A linked to Record B and then Row 2: Table 1: Record A linked to Record C? This is a major requirement for our usage. I’m not a developer, so any code-less solutions would be great! Thanks.

I have a general database with a list of companies with different priorities. Is it possible to link it to another table where the high priority companies become the row headers? I want to utilise a different table to input more specific steps. Thanks!

I have a table with tens of thousands of rows, and one non-unique column is ‘asset type’. I can group by asset type, then view the sums of other data columns by that grouping. That’s 80% of what I need! Now I need to calculate several formulae based on those sums for each group. The simplest example is dividing two of the sums. For each formula I need to calculate and view one number per group. How do I do this? I’m pretty new to Airtable and still learning, but is there anyway to create a new linked table where each row contains those summary data from each group? Then I could simply add a formula field for this new table for each formula I need. That would do what I need perfectly. I’ve looked a little bit at linked fields, but I don’t see how that would work for my case because there’s no way to do ‘automatic linking’ based on my ~1 hour of searching these forums (even though it’s frequently asked about and requested, which is disheartening). Hello, I would greatly appreciate your help finding a solution to concatenate each of the following fields while ignoring fields which contain (just) the letter “X”. (I am using “X” to denote empty instead of leaving the filed empty). FYI. This formula works for concatenating all fields while ignoring the blank ones. I would like to have one table in a base display information from multiple tables in the same base (or another if that’s the only way to do it). My situation: We have an online ‘program’ and participants complete a series of forms to complete each step - each form is its own table. We’d like to have one table that gives us a ‘snapshot’ overview of each participant’s progress in completing the forms. The only way I can see doing this is by creating a “Link to another record” field and manually selecting the participant each time. Is this right? If there is a trigger or other automation we can set up, I’d love some help! Thanks

Hello all! I’m new to airtable, and I’m stuck with a thing. I have a tasks table, and sometimes I need to wait a response from a client that another task from client (B) is achieved to do another task (A). So when I create my (A) task, I fill a “waiting for” field (that is a “link to another record”, linked to the same table) to remember me that this task is pending. As I’m creating my (A) task, I click on the “waiting for” field to create a (B) task (the client response), where I pick a checkbox “External task” to remember that this task is not mine (and stock it in a separate view). I have two question : first, I would like to add the (A) task name to the (B) task field “Linked to task” to know for what task the client response is. I tried with automation but it didn’t work. Maybe it is not with automation to do this, maybe a formula or something to fill this “linked task”. In automation, I ask myself if in a “link to another record” field

Hello! I’ve been using Airtable for about a year now and it has been working well, however, it needs to be simplified. I managed to get a database going with some help but I made it more messy than I wanted :slightly_smiling_face: We are a small business and need to track our wholesale goods by serial number. Our currently accounting software does not allow this option. Does Airtable provide services to customize a database for me? We sell 3 brands of equipment and I track info from purchase to customer’s purchase. I would like to be able to click on or report on different aspects (SN#, mod#, customer, etc.)

New user here, so be gentle please… I have a main table to which I would like to link a child table for notes. The main table ‘Numbers’ contains a telephone number (which we are manually keeping unique) as the number is the primary customer identifier. There are many other fields in the table. I would like a separate ‘Notes’ table that would contain notes regarding the account over time. Ideally, the notes table would contain the ‘Number’ it relates to, the Date the note was created, Who created it and (of course) the note. The ‘Numbers’ table would have a ‘Notes’ field that displays the date and most recent note(s). If adding a note the date and creator would auto-populate and allow entry of the note. Any great ideas or examples.

I just upgraded so that I would have access to the record coloring feature. I have learned how to utilize record colors by condition. I am wondering if it is possible to use color in a long text or single text field? I have a notes column, and I would like for cells to highlighted with the same color once there is text and remain blank when there is no text so I am able to easily see important notes. I would like the cells with text to all be highlighted the same color. Is this a possibility?

As a result of my newbie status I have a lot of fields in each TABLE of my base that are not going to be used. This happened over the course of several weeks as I developed and revised my base. Is there an easy way of knowing if fields in my TABLES are being used anywhere in the base? And if they’re not a quick way to delete them?

Printing: When I try to print a grid view and select landscape the print output is always portrait, which splits the table. Am I missing something? -bill

Hello. I need to create a base to daily record the time and date that the Airtable app is open or closed and associate that with the user. I need to record at what time the user opened up Airtable and closed it. It would need some kind of trigger that automatic creates a record, populating “created time” and “created by”. And then using some kind of “NOW()” formula to keep updating until Airtable is disconnected - then it would save the last hour “recorded”. Any ideas? Thank you in advance

Hi! I’d like to build a simple recipe database. I have different ingredients which are parts in different recipes but the various quantities are the problem. I saw an article about this in here but being a total beginner couldn’t quite understand what it meant. So I have a table for ingredients and a table for recipes but how I set the quantities. Like: Recipe #1 2 lemon 2 peppermint 2 lavender Recipe #2 1 lemon 5 lavender 4 spearmint So when I am saving my recipe I would like to choose the quantity for each ingredient and the quantity of course is a different one according to the recipe I’m saving to my database.

Currently, my sheet is structured like this: There is a row with a company’s name, then a corresponding multiselect row with investors X, Y, Z. Is there any way to bring up another table with X, Y, Z as row headers in the first column and the corresponding company in the next column? Thanks!

Hello everyone! I am using Airtable to let my employees input the beginning and ending inventory of our coffee beans. We have multiple beans and they are specifically recorded by their roasting dates. So, if there are two of the same beans with different roast dates, they will have two records (this rarely happens). I have a table for each Beginning Inventory and Ending Inventory. They record the items through a form that they can access via static QR codes by scanning using their phones. What I want to happen is to have a formula that calculates the difference between the beginning and ending inventories on a separate table. However, I cannot find a way to create a formula that can connect different tables. I also thought of experimenting with automation and I am currently watching and reading tutorials online about it right now. Any help will be highly appreciated!
