For the sake of example, let’s say that I train dogs, mostly one on one. Before each dog can “graduate”, there are several tricks that they must master at different skill levels. It’s helpful to group them by skill level, but they don’t all happen in a strict sequence. Sometimes, one of their humans may need to be assigned to work with them on mastering a particular skill, though I can probably do without that information. At this point, I’ve definitely got a table for dogs and a table for their humans. But should I have a table for tasks, or should all of the tasks just be fields in the dog table, since a task can only be completed for each dog, rather than on its own? I’d like to be able to look at all the dogs that still haven’t learned how to fetch, for example, to maybe plan a time to work with them together. I generally care more about seeing the tasks that a dog hasn’t yet completed, rather than what they’ve mastered. I looked through a lot of example bases to find examples, but
Hi there, I’m very new to Airtable, so apologies if my terminology is off here! I want to know if I can bulk-add labels in a field to a portion of my records. To illustrate, say I have a table full of details about an array of organisations. I want to record which of these orgs take part in a variety of different activities (each of which are detailed on another table). The best way I can see to do it is to create a field in the orgs table that links to multiple records in the appeals table. We can then, one by one, choose which activities each org took part in. But must I then go down the list of hundreds of orgs and choose individually which activities they took part in (hence giving each of them a “label” for that activity on the orgs table)? Or, for each activity in the activities table, go in and choose from hundreds of orgs and add them all individually? Or is there a way to add a specific activity to a bunch of orgs at once? I notice that you can drag a populated cell down a
Is there a way to pay JUST for the gnatt functionality or link airtable with another outside program? the free airtable functionality suits my needs except for wanting to try out Gnatt - but it would cost thousands of dollars for the experiment to upgrade the whole workspace. Is there a more cost effective solution for this functionality?
Hi all, I have built a base to track all the data related to my sales. I have the following tables, all connected with each others: Orders (linked to Customers and Products) Customers (linked to Orders) Products (linked to Inventory) Inventory (linked to Orders) 90% of my orders are including only one product. The rest of the time, clients buy more than one product, either the same product or mixed products. And here comes the troubles… I don’t know how to affect the suitable quantity per product on each order I create. For now, I am only able to tell Airtable that the order X is including product A and product B but I can say for each product the quantity that is included in the order. I assume this issue has been met and solved already since it’s pretty basic but I can’t find a decent solution to implement. So I ask you guys
I need to link two tables with moving targets… I have a Project task table (Tasks) that is utilized to usher a client through our entire process. This table has multiple tasks that are duplicated for each client. There is a step/task in the TASK table that dictates that the project has a certain number of items updated (varies by project). These Item Updates are in a separate table (UPC TASKS). I want to join the UPC TASKS table to the corresponding task step in the primary project TASK table. How would one go about doing that? And, because that isn’t complex enough - every month, we repeat the same group of tasks for each project, to also include another round of updates to the UPC Tasks. So. How does one proceed? My desired outcomes would be: Linking between the two tables/data sets: TASK table record “Keyword Insertions Complete” for Client A linked to all of the corresponding UPC TASKS for that particular month/round In the TASKS table, for the task “Keyword Insertions Complete”
Hello, I would like to get in contact with someone who I can discuss my current base design. I think it can be improved - by using specific formulas - but not sure how.
Here’s what I’m trying to do: I have a CRM base. One table has records that include prospects’ names, contact info, etc. Another table has my prospect funnel (contacted, meeting scheduled, sold, etc). I need a way to see the contact’s status in the funnel in the contact table (as a grid), and be able to move them through the funnel on the funnel table (in a kanban board). I just can’t figure out what to connect and how to connect it. I’m very much an AirTable beginner. Thanks in advance!
Hello, I’m an Airtable noob and have worked through the tutorials and have started building a database made up of 3 tables, Area, Compound and Assets and Structures. I have managed to make compounds link to the Area table, i.e. the parent, and Assets and Structures to the Compound table, their parent. I can’t seem to link the Assets and Structures to the Area ultimate parent table, which shows the headline information; think linear infrastructure project. Whenever I add a link, it always ends up with two fields being added, where I only ended up with the single field for the Area/Compound and Compound/Asset relationship. I know I’m doing something obviously wrong, but I’m burning a lot of time going round in circles and need to add other tables which need to link through at respective levels back to the main Area table. AAAAAAARRRRRRGGGGGHHHHHH!!! Area to Compound link working: Compound to Area (CFA) and Asset working: Asset to Compounds working: Assets to Area (main table) not work
All tables appear to have the same color of lines separating records and fields. Is there a way to format tables so the lines appear darker? They are hard to see.
Is there a way to zoom in and out so more records and fields can be seen at once?
Hi - Still new to Airtable and navigating the options it provides when wanting to better organize our small company. I would really like to know if it is a viable CRM tool based on the following: We have various types of contacts. They could be classified as “investor”, “mentor”, “alumni”, etc and, in some cases, may be assigned more than one category. We hold events and I would like to be able to indicate participation for each contact. Again, in some cases, they will have attended multiple events or at different roles at various events. When we send large emails, I would like to be able to select recipients based on various filters on the above two items. When we conduct classes, we would love to publish a gallery showing those who attended that specific event. I currently have one gallery created but it was done specifically for a cohort and not from our larger list of contacts. Can you create multiple galleries from one large base? My head is spinning trying to determine the
Dear All, A new slightly intimidated user here! My team has a to-do list of running action items as one table, linked to a project areas table. I want, when an action item gets marked as “done,” to be able to have that task disappear from linked tables. How do I do this? Thanks!
I am struggling to see how to start designing my first airtable and I am hoping people will have some solid suggestions for me, this would be used to distribute working shift information to people - I would need - List of people with personal information and “shift pattern” List of locations, with 1 - 3 rooms able to accommodate 1 person per room People would get “assigned” to locations that they are able to work at Shift pattern - i need a way to add a set of shifts for 3 weeks (based on day of the week) which will then repeat - what is the best way to implement this? Calendar of shifts viewable by location with the shift patterns added automatically I hope this makes some sense to anyone reading, many thanks in advance to anyone’s helpful replies!
So this system will replace an Access/SQL Server system which has long passed it’s sell-by date :grimacing: Applicants complete a form (Jotform) with just over 100 fields (many conditional), which populates a table in Airtable through Jotform/Airtable integration. Admin then conduct an initial review, referring to some of the application data. For each criteria Admin record: pass, partial, or fail, (new Single Select field) and also any comments relating to that specific criteria in a comments field (commenting is not used as a) it must be preserved, and b) it relates to a field not the entire application). This means that most fields become 3 in order to record the admin review. If the application passes the intial review stage, Admin send automated emails to application contacts (from the form data). Views are used to create a process to move applications through the different stages of initial review. Responses from the application contacts determine whether the application is re
Hi just wondering how to change the data being shown in the preview for example I want to remove the NEW item and move the SKU information shown in this photo
Hi, How can I color individual cells in a table? Thanks in advance!
i have a multi select field in one table of my base (Grants). i need to get that information into the Organizations table of my base. i have used a Lookup field to get the data into the other table. however, in the Lookup field, the data is converted to text. is there a formula that i can use to convert the information in the Lookup field to a new multi select field in Organizations? (i know i can just convert the field type from Lookup to multi select, but i want this to happen whenever new data is entered into Grants, not have it be a manual process of converting the field.) thank you for any insight!
Hi, I am trying to set up a base to track asset/inventory quantities, costs, assigned employees, and locations, but am fairly new to databases and couldn’t find anything in existing topics that helped me beyond probably needing a junction table? I currently have three tables: one showing the item, type, total quantity, and cost per item one showing the employees that currently has a column showing links to the items one showing the locations I want to be able to designate how many of each item each employee has been assigned, and where the item currently is. For example say there are 5 laptops worth $500 each, John has 2 (1 at home and 1 at Office 1), Mary has 2 (1 at home and 1 at Office 2), and the last is currently unassigned but is at Office 1. This situation is then repeated with various other items with varying values. From that, I want to be able to see at a glance that John has $2,500 worth of items and a breakdown of what those items are, while having some kind of limit that
A group of us (“auditors”) are conducting an audit of the features of 100 virtual events. The responses were gathered in a spreadsheet and I’m moving to AT. I’ve created my main table. The anchor column lists the individual event names (domopoluzza, Zoomtopia, AWS, etc.). A series of columns of checkboxes and multi or single selects and others accounts for the various event attributes (date, free/paid pay model, live/recorded, networking, number of sessions, and other virtual event features). Then, for each event, we also have 10 qualitative questions that require written answers. In the current spreadsheet, each event has a separate tab. Column A lists the auditor’s name. The columns are the 10 questions. Each auditor then adds their responses to each of the questions. This current spreadsheet has 101 tabs - the summary of data on tab 1 and each of the individual events/qualitative questions on the remaining 100. Here’s my question - how do I handle the 100 qualitative tabs? The sa
I have a table of Volunteers that lists their name, email, cell phone, etc. I also have a table called Teams. In my Teams table, I have a “TEAM LEADER” field. I’ve linked that field to the Volunteers Table. I am able to select a name from the Volunteers list just fine. The next two columns are “Cell Phone #” and “Email Address”. I’ve tried making those two columns a Lookup on the “Team Leader” column. It seems like I’m able to do that fine, but it doesn’t automatically populate the email and cell phone # from the Volunteer table, which is what I thought it would do. ie. I thought when I select a person from the Volunteer table to be a Team Leader, it would automatically also pull that person’s email and cell into the next two columns. Am I thinking about this all wrong? Scott
Hello to All! I would like to build a base that tracks a total of 9 monthly matrix per user for the year. I will try to keep this simple. The idea is that the user will be around for the entire year, but that can change throughout the year, users can either be deleted or new users can be added. Matrixes 1 and 2 can change at any given month per user, but are single select. Matrix 1 is which group the user belonged to that given month Matrix 2 is the status the user was that given month Matrixes 3 thru 7 you could call performance matrixes, and these are numbers, will change every month. I’d like to accomplish the following, with views or any other feature. View a summary of users performance for all 12 months with totals of matrixes 3 thru 7 and averages. (would be nice to get averages for only months completed). View totals of a single matrix from 3-7, by month, with year total, grouped by Matrix 2. I hope it’s not to simple of a description. Thank you in advance for all your idea
Hello! I’m an Airtable novice. I’m building a membership database for a therapy dog nonprofit. We send dogs (with their human handlers) to visit with people in hospitals, jails, nursing homes, etc. I’ve created a dogs table and a humans table. I’ve linked the dogs and their humans. How do I assign attributes to a team (consisting of a specific dog and a specific handler)? For example, we evaluate a dog-handler pair, or team, to make sure we can send them out safely. I’d like to record the date on which this team completed their evaluation. Thank you!
I am interested in building a form (for easy resource planning), where the user can enter in a “kind-of” calendar format (this could be on a day, week or month level) the planned utilization of a resource for a predefined period ahead. For example: an editable table-structured form with columns the weeks (W1, W2, W3, …) and rows a set of tasks (e.g allocated to a specific resource), where in each cell a value could be entered. Please advice how can this be achieved. Thank you in advance
Hi. I have audio and video lectures that I want to be able to easily navigate to find and listen/watch portions where specific topics are being talked about. As an example, if it is a video about a chef talking about how to cook a steak, I would like to go in and manually tag the various things that are happening and different times during the video (e.g. “Talking about Meat Quality”, “Knife Skills”, “Temperature Controls”, “Chef Making a Joke”, etc.). Also, note that multiple tags can happen at the same time - i.e. Chef could be cutting meat while making a joke. It would be like “Chef Making a Joke” [1min 31sec to 2min 58 sec into the video], “Knife Skills” [1min 53sec to 2min 32sec], etc. End goal is that I can have many audio and video files inside AirTable, and each tagged with topics being discussed within each. I should then be able to perform searches on tags and be able to directly go to the section of the audio(s)/video(s) file(s) where that tag is being talked about. NOTE: In
Dear AirTable, I have a database question. (I use Airtable for other things and it works very well). I send out articles from time to time, in PDF format. I am using an Excel spreadsheet to record who I send it to, when it was sent, and what article was sent. This is all so I don’t double up and send someone the same article. I have looked at Airtable, but I can’t see a way of doing it. This is what I need; A list of recipients A total number of recipients A list of articles A total number of articles A total number of all articles sent, A total number of articles sent per article The dates for each article sent All of that info I have in the spreadsheet, but there’s only one date available for each recipient per article. For example, I can’t record more than one date for the same article going to the same recipient. Another drawback is that adding a new article to the list, means adding two new columns, setting them up etc, etc, which is a bit time consuming. I’d love to be able
