Base Design

I’m a freelance writer. Here’s my overall goal for Airtable: Collect raw data by which to cold contact companies > Make contact with said companies and move data to a Contact list > Work contact list until a contact becomes a client > Store dynamic information on all client activity such as first and subsequent project briefings and timelines; planned delivery dates; payments and all that jazz. I want to be able to reference raw data from the prospecting list across all tables as they narrow down from uncontacted Prospect to Contacted to Client. I was hoping to set the actions so that all the raw information in a single Prospect record could be linked or maybe automatically transferred to the Contact list once the “Status” field is updated to “Contacted”. Then, once a single contact record is updated to “Client” by check box field, it would transfer to the Client list without dragging all the raw data with it, just keeping linked to it. Does

Hello, I have a database where I would like to be able to sort the entries ascending or descending numerically. The problem is that not all entries have data in all categories, and the null values are treated as zero and appear at the top when sorting ascending. I would like the null values to always appear at the bottom, regardless of whether I sort ascending or descending. Is this possible? Any help is appreciated!

Hi, we are just getting started, but before moving our business data over and relying on airtable, I have a question regarding the maximum size of a base. From what see there is a max of 50,000 rows (records) We are currently generating 6,000 rows per month in our existing excel sheets, which means we will run out of space in a bout 6 months (not idea) Perhaps there’s a way to create a base for each month, or each quarter by duplicating the current base, (without data, or copy then delete the data) But… from what I understand I will not then be able to report across bases, the reporting is based in a single base. Here is some context… We manage out bound email campaigns, Each campaign we send can contain up to 8 links within the body of the email) on average 3 links We track the number of clicks received on each of the links 15 lists x 4 campaigns x 3 links x 31 days = 5,580 That’s how we get to approx 6k rows per mont

I, we just past in the pro version, on our workspace, with 4 billable creator. We are able to change the color in the calendar but not to set the range date. Is there something I missed, is that a common issue? Thanks in advanced

Hi everyone. I have a lists of tasks and I’ve connected each one to a larger project. I would like to set up a Kanban view by project - but I can’t seem to figure out how. Ideally I could see each project as a card, and then the connected tasks listed below in order of due date. See screenshots of how this is set up now, and how I’d like to see it from a Google doc. I have a base that has several tables, all connected through various links. I am trying to link my newest table, but it’s not linking to the table it should be linking to. I’ve attached two screenshots to show what’s (not) happening: Any help would be appreciated!

Need some help. The product is working great. I post a gallery that is sorted by date newest at the top. I have many items in my gallery and each time I view the published gallery it starts at the bottom and that is not what I want. This makes the customers have to scroll to the top when the top should be the starting point. This is also the same for me when adding new material. Once I add the material I have to scroll to the top to make sure it posted correctly. How to get Airtable to start at the top, not the bottom. Particularly on posted material. This is the same with a published grid. It starts at the bottom. Let me know if you need clarification.

We have several tables that were created by an employee who is no longer with the company. He is listed as the “owner” of these tables. Is there a way to make someone else who is a Creator to be the Owner?

Hi is there a way to hide certain fields from view? I have an amazing base (if i do say so myself) for a charity that links all of our fundraisers and how much they have raised etc which is great what I want to add is a column for any of my paid fundraisers on how much I have spent on things like their wages so I can work out their ROI - not obviously I do not want them to be able to see each other’s wages is there a way to either hide a column or add an extra tab/table and hide that instead?

Hi I am -hoping someone can help. I have a database of contacts. I have a dropdown field in the main table where I tag each contact by it type: client, vendor, employee, lead. I have set up a table for each type because while each set share some similar information such as name, email address, phone etc… I also need to capture specific information for each contact type. Is it best to create a main list for Contacts, then a separate list per contact type with its own specific information while still linking them to main contact where I can pull up the generic data name, email address, phone etc… . Or is it best to create a contact table and create different views? If I create one table for all the contact type with different view? Will this mean that each time I add a new contact, regardless of the contact type every single column will be displayed? Or will I only see the relevant information based on the view I am on when I click on add new contact? I hope I am making sense.

I have a dropdown menu, and I want to automatically send a third party an email based on the person’s response. For example, if they choose option 1, I want to send an email to example@gmail.com. If they choose option 2, I want to send an email to example@hotmail.com, etc. Is there a way to do this? Thanks.

I have a multi-select field called “Trades”. A contact can do multiple “Trades”. I want to group by trades, but I don’t want the contacts with multiple trades grouped into their own unique multi-trade grouping, I want them to appear once in each trade grouping. Ex: list of trades is: demo, grading, hauloff. I want a contractor that does demo and hauloff to appear once under the demo grouping and also under hauloff, and I want the only groupings to be demo, grading, hauloff. I do NOT want a Grouping of demo & hauloff combined. How do I achieve this. It seems like it would be a frequent issue.

How can I configure the calendar or Gannt block to show each assigned team for a project if they share the same job#? Example: I need to allow each assigned team member to see their schedule - The calendar shows the record number which is only internally used and links the project under both - and the lack of information shown on the calendar doesn’t provide other users with any information on the project. Hi everyone! I work for a small nonprofit tool-lending library and makerspace in Baltimore, MD. We offer a service called Open Shop, which is a time for the community to come use our equipment and workspace for woodworking, home repair, metalworking, or crafting projects. Due to the pandemic, we’re moving to an appointment-based system for Open Shop and are trying to figure out how to best do that through Airtable. The biggest issue I’ve been struggling with is how to balance capacity limits and flexible scheduling. Ideally, we’d like people to book either 1-hour or 2-hour appointments that can start on the half-hour. We’d like the system to reserve a maximum of 4 overlapping appointments (aka people in the space) at any one time. For example, if there are 4 people with appointments from 5:00 pm to 6:00 and a fifth person tries to book from 5:30 to 6:30, the system should block that appointment because it would exceed the capacity limit of 4 people. Hi, i’m having an issue, i have a base with around 80 new lines, with a date and time. I tried to organise it manually by days and hours, but it seems that it gets messy all the time, maybe when i’m looking for an information using a filter. Is there a way to lock the place of each line based on the date ? Right now i have to sort it “1-9” in order to have then reorganized, but i don’t understand it doesn’t stay like i wanted it ordered… can you help me please ?

Hi friends I have a difficult problem on creating many to many database, As a event manager, I have (for example) 10 events a month (120 events a year) , so I create a table name: EVENTS Our company has about 200 freelance employees , and a part of them may join to organize our events , So I create a table name: EMPLOYEES In that case (many to many relation) I have to create a new table name: EVENT DETAILS And so, if 100 employee organize each event, so the table EVENT DETAILS may have 100*100 = 10.000 rows , and I think it is too many rows … And the other way, I may create a new table for each event include many field: employee, salary, vendor, client, … but in that case, I have to create 120 table a year … I think it’s not good idea … So, My question: is that right solution of that problem and can we have the better solution for that Thank you all in advance !

So I am trying to create a somewhat all encompassing purchasing, inventory, and installation/delivery base to track some material for a specific work scope on a construction site. Essentially we issue purchase orders that have various line items for materials on them (say 10" pipe, 12" valves, 6"x1/2" bolts, 1/2" nuts, etc etc) and they go out to lots of different vendors. I want to log in all the stuff we’ve bought and what vendor it’s from, the purchase or number, etc etc. Next, I want to log in what we have received into inventory. For example I may do a PO to a vendor and I request to purchase 100ea 6" bolts, 100ea 1/2" nuts, and 100ea 1/2" washers. This may not all come in the same shipment. I would like to log that I received 30 bolts, 50 nuts, and 50 washers on 7/31. Then I would log receiving another 30 bolts, 50 nuts, and 50 washers on 8/3, for example, then the balance of the 40 bolts remaining out of 100 on 8/15 (very basically example). The stuff coming in

I’m thinking about using Airtable for my business. But I’m not sure if it will work. I was hoping someone in the community can tell me whether what I’m trying to do is possible. I’m a life coach. I’ve accumulated a large library of information over the past few years. And I want to organize it. That way when I’m coaching people and I remember something I want to share, I can easily find it in Airtable. For example, let’s say there’s a meditation tip I’ve learned I’d like to be able to add the tip but also categorize it in some way to make it easy to find. And maybe even give it a star rating so when I pull up all meditation tips, by category (if that’s possible), I can see which ones are the most effective, based on the star rating. The second thing I want to do is create a CRM to keep track of my clients. I know I can do that. But what I don’t know is whether it’s possible to create meeting notes. For example, if I meet with someone once a week, I need a place to put

I have a “Trade” field that I share between Contacts and companies. The issue I have is when a contact or company does multiple Trades ( ex- demolition and excavation ). I want to be able to use the same list of “Trades” on individual Bids they are submitting on each job, but I don’t know how to carry over just the appropriate Trade label for each bid. I was thinking us setting up a separate table of “Trades”, but not sure exactly how that would work either.

Hi! Is there a way to track completion of forms that are sent to a contact list in one of the tables? We want to send a form to everyone and then see who has or has not completed it yet. Furthermore, some people may need to complete the feedback form multiple times (about a different person/experience each time) so ideally we can see their completion status by the person/experience they are providing feedback on. Any recommendations? Thank you!
