Base Design

I have a somewhat unique scenario I need help with.  We are using Airtable as management software for a load securement operation we run. We secure loads for a customer at their location. The customer themselves has an older system they use and they don't allow us to directly integrate with their system to get the load information we need. So what we have is a Selenium process that will go to their site every 15 minutes , so we have as close to real-time updates as possible and pull a certain amount of days in the past and future and then export the load information to a CSV file. This then gets dropped on a server where we feed the information from the CSV file to airtable over API to a table. That information then goes from that table to another final one. We did this because, at certain times, users need to manually put a load into Airtable and because of the way we have to get the information into the system, we can't have the setting that would have Airtable delete the rec

Hey. I have a gantt chart that shows when multiple items are hired and dates associated to them. Each record is one item and has fields for 'delivered', 'setup for use', 'deadline to be ready', and then 'collected'. This means each record is one item but has 4 dates / time periods attached to it. I dont want to split this into multiple records with steps for each date, as the overall specification of the hired items is dependent on one record per item (this is shared with the supplier as a list to cost up)However when I pull this into the gantt chart so I can get a full schedule, i can only use of the date two fields (start and end date) so I am not getting what I need from it. Does anyone know a workaround for this?

Hi,So far we've been building a small CRM for internal use. Out of curiosity I started wondering if it would be possible to re-design it to support other companies. I've seen multi-company databases having an owner identifying prefix to fields, e.g.company1_projectcompany2_projectcompany1_e-mailcompany2_e-mail etc etcFor users there's the abstraction "current user" but haven't seen anything like "current organisation" as an access role qualifier. How would one build any access right system hard limiting any access to the user's own organisation.Would this be at all possible to design? Or would one need something like Bubble on top? Which then would take away the whole point of Airtable, and suggest doing everything from scratch within that environment, non?Rgds,Björn

Right now we have a few different bases where contacts live and we're thinking of restructuring our workspace so there is one master contact list. Within the master contacts table we will have filtered views that can be synced to the relevant bases. The bases where our current contacts live have automations through Airtable and Zapier with 2 way syncs with our Salesforce and other apps. In theory it makes sense to have one master list so we can easily track all of the information for each contact in one place.My fear is that creating one master list for the whole org to use (~24 people) will cause issues if there are upload errors/mistakes or automation errors/mistakes that will impact the whole org all at once. Our organization has contacts for our members (10,000+), donors, prospective donors(5k+), press contacts, political contacts, and basically anyone else we interact with. I have multiple lookup fields with similar data but from different sources that i would like to have merged into one lookup field. Is that possible and if so how?

I am tracking two kinds of activity related to a list of locations that I keep in a table called LOCATIONS. One kind of activity (programming) has very specific dates. The other kind of activity (development) is hard to pinpoint in time so I do not want to assign specific dates, but I do want to know what calendar and fiscal year activity is happening. My question is, should I create one table for all location activity, so I can see it all in one place for each location (when grouped by location), or should I create two tables and then look at my LOCATIONS table to see all linked activity? Or maybe just track development activity in the LOCATIONS table? Thanks!

I have a project management base. I use the in-built Time Tracker extension to track the time spent on each project. I have several ongoing projects, and I work on more than one project each day. It annoys me that I have to select the project from a relatively long list before starting the time tracker, so I am trying to figure out if there is a way to skip that step.I have a table with clients and another with projects (Project name, Authorized number of hours, Time spent, and Time left). Is it possible to use the button field in the projects table to start the time tracker for a specific project with one click on the button in that project's row? Hey there, I’ve decided to venture into trying to achieve my mail-merge in Airtable. Premise: I have pre-written documents written by a lawyer to issue to new clients. (the copy is multi-language but the details of the project and the client remain constant) I would like to synch the client name, and project details into the copy. I’ve read and have tried to make the CONCATENATE approach but I feel it is very messy, and ineffective should the copy change at a later date, it also I will need to weed through the formulas to fix it. I tried another approach of creating a separate table of “parts” that at pulled in as needed, but since they come in as an array it made it tricky for me to figure out how to reference each key of the array. I’d love to hear from anyone who has tried this endeavour before.

Evening All, I'm building a data structure in airtable to represent a rather large tree style database. We're talking about 50k to 100k objects in the tree. I've got the heirachy view working quite nicely by uploading the components using the api, and then (again using the api) linking the objects with parent/child relationships. The next issue I have is some of the data the objects have. Most objects in the tree have a unique set of data. For example, one might have {colour, size and weight} while another might have {power, consumption}Is there a good way of representing this? The cleanest way I found was by creating another table of this data and then linking it to the original objects, but with 650k data points, this doesn't seem feasible on a large scale.I can add them as generic fields i.e. data01, make it a text type and then put the value in like "colour:Blue", but it's not ideal.Let me know if

Hello everyone, I’m running a speed dating business and would like to automate the matching system. What I want is the following. After the speed dating, each participant will receive an airtable form in which they can each select any number of participants of the opposite sex that they want to match. If Woman1 selects Man1 AND Man1 selects Woman1, then a formula must be triggered and I’ll then use zapier or the email block to send emails automatically with each other’s private info. Any idea on how to organize that ?

Apologize for this possibly simplistic question, but here goes:I want to create a field that is a Category, that based on the category value selected, will ONLY display a list of relevant Sub Category values for the selected category. EXAMPLE (Simplified)1.  I have a field that is Product Category - it has two values: Mobile, Home.2. If you pick Home for Product Category, for the Product Sub Category, I would want to display the Home Sub Category values. (Wireless, Wireline, Other services)3. To take it one step further, I would also like the Product Sub Category could have  Product Sub Category 2, that would show ONLY relevant values based on the Product Sub Category. (eg. Home > Wireline > 5G Router, 4G Router, Extender, etc.)Is there a way to set up a table to have this hierarchical relationship. Do I need to refer one table to another, etc.?&nbs

I have a group of freelancer reporting weekly on how many hours they worked on various projects. Im looking for a way (either through a view or interface) to see a report of how many hours are worked, by each employee, on each project, per week. 

I am attempting to create a SignUp Page in Airtable. My current iteration is live at this link. Hi All! For the Gantt Chart view, does anyone know if there's a way to have airtable automatically adjust all dependent task start dates when the predecessor task is moved up (backward in time)?  I see that airtable automatically pushes out all dependent tasks automatically if a predecessor task is delayed (this is great!) but if a task duration is shortened or end date is moved back, all of the dependent tasks stay exactly where they are. Is there a setting or bit of automation I can add to enable automatic date adjustments in both directions?  This seems like a very basic feature for Gantt charts and doesn't quite make sense to have it only for updates in one direction but not the other! Jack

I am trying to build a more comprehensive product-tree type base where I can accurately keep track of Projects, Assemblies, Parts, attachments, and revisions. I want to have a parent-child relationship in that same order as well, but I don't strictly need to assign this attribute. The goal is to have some sequence number for an assembly or part, where the first few strings are based on their parent fields. I've found a sufficient workaround for the hierarchy by just linking tables and limiting to one field per record. Now I'm stuck because I can't limit my count or sum formulas to only be above the current record like I would in excel. For example, I have AssemblyA, AssemblyB, and AssemblyC.If assemblies A and B already have 5 parts each, when I create the first part for AssemblyC it should be in the format [Proj#]-[AssyC]-001. With autonumber the sequence would have jumped directly to 11 by now, even though this is the first part for AssyC. Has anyone found a way to i

Hi all,I have an automation that needs to send an email to several people in one organization (the record is the organization). Is it possible to add more than one email address into the same field (Email? text?) rather than me creating 5 different fields that are all columns? 

I have a form that i am sending out to my team members to understand how much time they anticipate they will spend on a project. I'd like to create a dashboard that shows in a bar chart how much time each member of the team anticipates to spend this week by project. So for example a bar should look like [----Blue----][--Green--][-Red-] with blue representing one project, green representing another, and red another. giving us the idea that the team member's time is 80% spoken for this week, with 30% going to blue project, 20% going to green, etc. The issue that I am running into is that the way that we have structured the form, the output table looks wide. so it looks like :Survey EntryName (link to project record)Survey Date
