Base Design

I have three tables in one base. In each table, there is a Name field and a checkbox field named “Flag”. How do I create one “grid” (or interface or anything else) that lists only the record names from all three tables that have the Flag checkbox checked?

In my training base, my tables are “Tasks,” where I assign their program. The linked field, “Elink” looks at the table “Employees.” The primary field in the employee’s table is the four-digit code. I have their full name listed in a separate field. How can I see the employee’s code & name in the Elink field when I look it up in the “Tasks” table? Wendy

Hi everyone, I have a table design query in 2 parts. Firstly, I’d like to know your opinions about creating a ‘people’ table in a base - is it best if it is one table or many? For example, I have people that are: ‘students’ taking classes, ‘payees’ that might pay for those students’ classes (some students pay for their own). ‘company contacts’ who normally don’t take classes or pay (but work for companies that do pay) If I create 3 separate tables, all these 3 groups of people will require similar fields in each of those tables and a payee could also be a student themselves… also a company contact might also be a student so I think that one table would probably be better with each person marked with a different (or multiple) ‘person type category’ (in the case of students who are also payees for example). I’ve been using airtable for about 6 months for my company. I see the power of it and am excited about getting more of my team on it so that it can truly become our operating system. I’d love to find someone who I could meet with periodically, show what I’m trying to accomplish, and then get recommendations on the best way to structure bases and get the most out of airtable. Does anyone have experience using a “coach” or would anyone in the Airtable universe be interested in acting as a coach?

When I group a table based on a single select field, it seems to position the “blank” group, i.e. the group of records with nothing selected for this field, at the top. How can I change this so that this group is instead positioned at the bottom, i.e. after the groups of records with something selected for this field?

I have a table of parts, where the key is their serial numbers. The first 8 digits of the serial are their lot number. So 1234567800001 and 1234567800002 are from the same lot. I have a formula field “LOT” that reads the left 8 digits to list that lot, and I am able to sort and bin by that in the table view. But now I am designing an interface and I want to use the lot to select those parts. I can do this with a filter, but that requires typing it in. I want a drop down where the lots are the selections. What is the best way to do this?

Hi is it possible to tell airtable to look at two fields and look it up/match the fields on a different table and return the corresponding value? For example: Looking at the first image, L5 field (Media Engineering) and the size field (s) lookup the value for “s” in another table, second image, AND for Media Engineering and return the corresponding value? In this case it should return 20%. Any suggestions welcome! Thank you!

Greetings! I’d created a formula: CONCATENATE({Month #},“-”,Month) so that grouping in my table(s) would do so since obviously April would be first in the order, etc. However, when I have it sorted in the chart, as you see, the order is, well, not what I’d expect. Any suggestions?

How do I revise this formula so that it gives me both the week # and the range of days in that week? DATETIME_FORMAT({Date to work on it},‘ww’) Also, is there a week to do a week number that doesn’t start over at the beginning of the year? All I really want to do is be able to create either a chart or a pivot table that gives me the sum of an integer weekly over about eight weeks. Thanks!

I have a base that has a table for tags, a table with a list of clients, and a table with images in the images table I have images, a lookup field for the tags from the tags table, and then a lookup field for client client A’s red tagged images are image 1 and image 4 client B’s red tagged images are images 2 and 3 in the client tag sets base, I specify which tags belong to each client (tags can overlap) client A: red, green client B: yellow, orange, red both client A and B have images tagged ‘red’ in the tags table, it shows each of the tags, the images containing each tag and the client tag sets I’m having trouble figuring out how to create a grid view within the tags table that will show the images tagged ‘red’ but only if their client is client A. and then another grid view that shows images tagged ‘red’ but only if their client is client B.

I’m currently trying to create a database of insurance companies and the benefits they offer. Each benefit can be offered by several vendors, but I want to be able to have the linked “Benefits” record for a specific vendor expand to show the details specific to that Vendor. Initially, I had a column called Benefits that was a multi-select, and I selected the relevant benefits for each insurance company. When I realized I can create columns that reference other columns, I converted my multi-select column to a linked record column, and had it reference a list of benefits that I created in another table. However what I didn’t account for is that while the Benefits buttons are now clickable for each insurance company, they will all reference the same singular record. Ex: Insurance Company A, B and C all have deductibles, so each will have the “Deductibles” option under the Benefits column in their row. However Company A has a $500 deductible, Company B has a $1000 deductible and Company C

Hey! I manage a large, complex content planning/recording Airtable base. We have a table of content campaigns that are linked to specific deliverables records that live in their own table. Each deliverable has a unique publishing date, which means that a single campaign might have multiple publishing dates, or a campaign may not have an associated deliverable published for a long interval, but would need to be resurfaced when a new deliverable is added. Is there a way to create a calendar view that would display the content campaigns based on the dates in the linked deliverables (with the caveat that if there were multiple deliverables on the same day, the campaign would only appear once)? As an example we might have: Content Campaign A [Table 1] Twitter Deliverable (Scheduled for 11/23/22) [Table 2] Instagram Deliverable (Scheduled for 12/15/22) [Table 2] Site Deliverable (Scheduled for 03/02/23) [Table 2] I would want a calendar view of [Table 1] that surfaces the Content Campaign

I am building an archive of the activities of my amateur theatre company. The main table is productions - for each production I have a number of fields that relate to people - Author(s)/Director(s)/Cast/Crew. These are linked to tables so that I can see all directors and what they have directed, all authors and what they have written etc. Now, in this group, someone might write one production, direct a different one, act in another and be backstage crew in another. I would love to be able to have a People table where it shows that Joe Bloggs as an actor in XXX, crew in YYY - so you get an overview of everything Joe has done across all productions. I’m new to airtable and trying to figure out if it will be a suitable tool and I could really use some input from people who know more than I do… I’m trying to build a stakeholder register that has a RACI breakout for each stakeholder BUT it gets a bit complicated because: Each stakeholder may be a part of multiple projects Each stakeholder may have different RACI assignments for each project Each project can have different stakeholders I also want to use an exported .csv to include details about each stakeholder for easy reference, and use a lookup so that I only have to enter the stakeholders name and their details autopopulate (this part I do have working). In terms of reporting, I need to be able to see at a glance: Which stakeholders are involved in each project, and their RACI assignments for that project All projects that each stakeholder is involved in (since many are involved in multiple projects) Any insight/tips would be greatly appreciated!

I have an Admin Base that has all of our user data. We have three different types of user data stored in our Admin Base. I love the Sales CRM Base Template from Airtable and am trying to figure out how to sync the data from my Admin Base into my Sales CRM Base Template. Does anyone have suggestions or ideas on how to do this? All of the fields in the Sales CRM Template are hard coded, so they have to be input directly. I’ve started creating synced tables and mimicking the formatting of the template, but now I’m just recreating the template with my synced data tables. This feels inefficient and like poor design on my part (or worst case scenario, a limited template capability). I thought about downloading my Airtable data into Excel, reformatting it to fit the Sales CRM Base, and then reupload it there, but that sounds awful and it wouldn’t sync in the future. Hi! Thanks for your help. I’m creating a database with multiple select and single select columns. I want the “answers” / “tags” (aka what people can select) to be generated when my team fills in a form for this database. As an example, I want the form users to be able to enter 5 keywords for a particular person’s interest, and have these keywords automatically become the options for new form users to select from in addition to new form users being able to enter new keywords (adding to the growing list). Or, I want them to be able to enter an organization’s name on the form (free writing it) and have that name automatically become part of a single select column for organizations on the back end. Is this possible? If so, how do I make this happen?

Here’s some preliminary information to help you understand what I’m trying to achieve… I have 3 tables within one base: Inventory (primary field: Product_ID) Packs (primary field:Pack_ID) Sales Orders (primary field: OrderNo) The “Packs” table holds packs that are made of one or more products from the Inventory table. The Inventory table holds the individual products used to make packs. I’d like to count the total quantity per item in the inventory table that has been sold, in other words the qty “out” from the inventory. Sales orders are registered in its table and each sale is done by pack.

For example: Column 1 - there are two options - car or house Column 2 - there are four options - fast, slow, small, big If I choose the car in column 1 - It should be only 2 choices in column 2 - slow, fast. Hello, I am looking for a way to display my airtable data in a graph. I know that I can use a block, however, I am looking to take the chart and post it on my website. I can use an iFrame, or something similar, I just want to be able to show the graph somewhere outside of Airtable. Any assistance would be greatly appreciated! Thanks!

I have a table - ‘Main table’ - where new initiatives are created and Jira tickets are generated through an automation when I click the button ‘Create Jira ticket’. The Jira issue key is then returned and populates the column ‘JIRA code’ as part of the automation. I want to automatically pull in the statuses of those tickets from Jira when they change, so I can see the ticket Issue Key and the Jira Status in the ‘Main table’. In order to do this, I have created an entirely separate second table ‘Jira tickets’ that pulls in tickets from JiraCloud (synced) - that have ‘Issue key’ as the primary key: Now that I have a column in my ‘Main table’ with the Jira Issue Key, and a second synced table ‘Jira tickets’, how do I pull in the status from ‘Jira tickets’ based on the Issue key column in the Main Table? I’ve tried all the different linked records I can, but no lunch so far.

Hi - I am trying to make a public base (that I can send to our customers) that would list all of our products. Then each one would have a call to action button that would email the right person. Example: Description of Product A - the row has a button that sets up an email to Salesperson A and says they are interested in Product A

I am trying to create a form to make it easy for a user to enter inventory for a list of items in another table. The goal is to make it easy for them to enter inventory for all the items without missing an item. It is possible to make a form for the inventory that lists each item in the items table as form items? Thanks.
