On a recent task I reached my limit for the annoying and time-consuming implementation of a PDF document generation process for Airtable. I just had to find a way to eliminate lots of steps. Lacking the use of integrated tool sets the likes of which @kuovonne and On to Air has created, most of mine have embraced a process like this. As you can see in the list, the workflow involves a lot of steps that are dependent on services all working perfectly as expected. Not to mention that there is a significant amount of processing time involved with all of these steps combined. Over the past three years, I’ve designed several systems for my school division using Airtable, Softr, and Make. Other divisions have expressed interest in developing similar systems, but I no longer have the capacity to take on these projects. For example, the curriculum office is looking to create a platform that allows teachers to submit requests for professional development. The system would manage the entire workflow—from approvals and notifying stakeholders about decisions to adding hotel and travel information, per diem tracking, and collecting details about the training (e.g., objectives, alignment with the school’s mission and strategic plan). Ok, so first up i love airtable and think it is possible the greatest app ever made, i respect airtable and greatly appreciate the free version that they have given to us, it is AWESOME. I am not trying to abuse this generosity and i am not personally using this “Hack” as for reasons that will become obvious, the “Catch” makes it unusable for commercial use / the wider public. But works for personal uses as long as you are logged into the airtable account that has the videos uploaded. Same works for images and files i imagine. The Process Step 1: Upload video into airtable attachment field Step 2: Open this video so that you can see it playing Step 3: Right Click on the video and select “inspect” this opens up the coding for the website Step 4: Locate the web link for the uploaded video file, should be close to where the inspect element has taken you (Or Ctrl + F and enter a distinct word from the video name)

There has been quite a lot of interest here about sending PDF documents from you base automatically. Integromat recently introduced a PDF ‘app’ which converts HTML into a PDF and I thought I would see what could be achieved in a real world type scenario. We are experimenting with Airtable as a project management tool for our Graphic Design Firm. Working well so far, until we get to expense tracking. It’s easy enough to create a table to track individual expenses and link them to any open job in our “jobs” table, but when it comes to billing, we need a single document that captures ALL the expenses related to a job and presents them together in a report much like the attached “Cost Sheet”, which we currently produce manually for each job in Excel. Here’s what we need. I’d like to automate the Cost Sheet data entry process so that, at a push of a button, any member of my team can generate a pdf with this same info, and with data pulled from Airtable records. All the user would have to do is select a “job” and all expense records linked to that job would be gathered up and processed. So, forms just got the option “Collect respondent email addresses automatically (sign-in required)”. When this option is checked and people open the form URL, they will be prompted to sign in with Airtable or make an account. After that, they can fill in the form and the email address they used to sign in or to create a new account with, will be stored in a auto created “created by” field in your table. This opens up the possibility to let people change their data, using their email address as a unique identifier. When a record, let’s say a client record, contains an email address, you can crosscheck this with the auto filled in email address in the “created by” field mentioned above, by prefilling and hiding it in an email field in the form. Airtable work needed for ongoing development of various platforms communicating with Airtable. The below is one of many projects we are developing. BACKGROUND: We are using Airtable to track delays in time-sensitive projects with legal ramifications for time overruns. Each new record (documenting a delay caused by other outside collaborators) is currently being sent out via Zapier/Gmail with URLs in the body of the email to the entire table (via private link) and to the record itself. This is a good first step for notifying our clients and documenting the delays. But since this line of work has the potential to go legal if the projects go past their contracted completion dates, we need the emails to serve as proper documentation of the delays. The problem: Emailing URLs that point to dynamic data that can always be altered by us (as the Airtable database owners) wouldn’t give us a strong legal leg to stand on should contracts ever go to court. Posting this here for anyone else who might find it helpful. While there are some great extensions for geocoding, I needed to simply convert an address into latitude and longitude and had a hard time finding a script to do it in Airtable + Google Maps API. I found this awesome script but had to modify it to only run on a particular view so that it didn't hit the automation / script limits. Hi! I am brand new to Airtable (and admittedly, brand new to the tech world in general), so I wanted to share my first project and get some feedback/suggestions. Some background on the project: My dad’s company is built almost entirely out of google drive and he is wanting to start transitioning over to Airtable to automate some processes that are currently being done tediously by his HR team. One of these tasks is keeping employees’ contact info updated regularly. Right now, this is being done by HR reaching out to employees individually to see if their info has changed and then manually updating in google sheets.
