Status changes between bases

Hi all, I’m looking to provide a way for User A in Base #1 to update the status of a record, which will cause that record to appear in a custom view for user B in Base #2 and the status will change in both bases. when User B checks the checkbox field if the record in Base #2 - The status will change in both bases again. Basically, in our workflow, users need to be able to update the status of a project across bases, and have that change happen universally. What is the best way to achieve this?

Save Jotform's e-signature on Airtable

Hi, I have connected Jotform with my Airtable. Everything works perfectly fine. Information was able to save on Airtable appropriate. I chose the E-signature widget on Jotform, is there any way I can save it on Airtable as an image? or what should I do with it? Any suggestion？

Creating a clickable table of contents in page designer

Hello Airtable community, I’m generating reports from my Airtable base using the page designer app and it’s been going quite well so far. I’m now trying to create a table of contents in the report, but am not able to make it interactive in the resulting PDF (i.e. you click on the topic in the table of contents and it scrolls to the corresponding report text). Anyone know of a way to make this work using Airtable or some other app? I’ve tried Adobe Acrobat but it isn’t working very well and is really tedious.

Formula Field for Custom URL has changed behaviors

I have a Formula Field that creates a custom URL from my airtable. In the past, if a piece of data was missing in the airtable that was referenced in the Formula field … the data would just be empty. Now though, it’s throwing an error unless all of the data is populated. Does anyone have experience with this? Can you do something like =if(isnull, “noData”) in the formula?

Count (sum) total number of YES for different fields in a separate field

I would like to keep a total score in a separate field based on certain values in 1 to 10 fields. So let’s say: Field 1: Yes Field 2: No Field 3: Yes Field 4: No Field 5: Yes Field 6: Yes Field 7: No Field 8: Yes Field 9: Yes Field 10: Yes Then a summarized 7 must be placed in the final number field. 7x yes = 7 and if I change field 3 to no after 2 weeks in the database, then field must become final grade 6 without having to do this manually. Is this possible and if yes how? I read about rollup/formula fields but how to do this on these 10 examples fields? It should be all present in 1 table and not different tables.

Need help with advanced search for specific Zap

Hi guys, I’m currently building a web app that connects people via text (will be done on whatsapp at first). I have a list of pre-generated whatsapp groups in a data sheet on airtable. This is a simplified version of the current flow I have set up: Customer signs up on site -----> all customer data from signup form moved into Airtable Zapier pulls relevant fields from Airtable -----> Automated text is sent with blank fields filled in Here is my issue: it looks like Zapier is only allowing me to pull fields that are populated from the customer signing up. Meaning, their name/phone number/email etc. I need it to pull from a different data sheet on Airtable. Is it possible to have Airtable update the field that was just created and add another column to it, prior to the next automated text zap? Here is an example of what I need to happen: John Doe signs up with johndoe@gmail.com and 444.444.4444 John’s record is updated in Airtable with his signup info John’s record is updated in Ai

Base Permission: Comment only; disable option to download csv?

I have a base that I’ve given “Commenter” access to. Is there a way to disable the “Download CSV” and “Print View”. I was surprised they showed up as options for a commenter role. Thanks, Stacey

Seeing Tasks & Synced Google Calendar Events in Same Calendar View

So I have a table called “Todos” with all of my todos. Each todo has a start date and time & end date & time. I have another table called “Calendar” that uses Airtable Sync to sync with my Google Calendar. I want to schedule my Todos IN CONTEXT with my Google Calendar events. To do this, I want to see my tasks AND Google Calendar events in one calendar view. Specifically, what I really want to be able to do is, drag, and re-arrange a Todo AROUND the events populated from my Google Calendar. I do not know how to achieve this second goal. The closest solution I thought of was to create a NEW Base and sync my “Todos” table and my “Calendar” table (since you can’t create a synced table from a single base… WHY?). This DOES let me see everything in one table, but I can’t drag my Todos around to re-arrange them. Interface changed, users watching comments moved

Recently, the interface has changed, moving the names of people who are notified of comments way up to the top. It was WAY easier to see who will receive comment notifications when those names were listed at the bottom, when you clicked into the Comment box. Those tiny, overlapping circles of user icons at the top takes much more effort to explore. Sure hope Airtable moves them back to the bottom, or at least makes the names more discoverable.

Share view - Password issues

Hi there, I’m sharing a view in Airtable with the SHARE VIEW functionality with my work colleagues, and have added a password for protection. The password works for 1-2 days, then stops working and I have to reset with a new one. Has anyone else experienced this issue? I’ve looked online but can’t find a solution. Thank you

Have same developments combine when syncing

When adding a base to a table, I was wondering whether it would be possible to have developments with the same title combine so we don’t have two of everything? This is obviously possible with the fields, but was hoping it could also be done with titles as well? Thanks in advance.

Discover how many times a base has been copied

Hello. I have a base that I offer for sale as a template. The purchaser copies the base to their account upon purchase. Is there any way of natively finding out how many times one of my bases has been copied? If this is not natively possible, is there any way of accessing the meta data for this? I’d like to understand if the number of sales correlates to the number of times it’s been copied. Many thanks,

Formula for adding a Collaborator

Is it possible to create a formula or script that will automatically add collaborators to a collaborator field, under a given condition? Specifically, I’d like Airtable to automatically add a “collaborator” to one multi-select collaborator field when that collaborator is added to another specified field elsewhere in the base. In my project mgmt base, we have separate collaborator fields for our Projects and Tasks table: (1) an “assigned to” field in Tasks (defining ONE person who is currently working on a given task) and (2) a “project team” field in Projects (defining ALL the people involved in the project). Both fields are necessary for different types of tracking. The Tasks field allows a user to see the task on his to-do list. The Projects field allows the Project to show up in his “current projects” feed (essenitally allowing him to “follow” the project, even if a task is not currently assigned to him). Date Diff Rounded By Month

I have 2 date columns… Date 1, Date 2 2020-10-01, 2023-02-01 2019-04-01, 2022-03-31 I’m using the formula specified here to output the difference in years/months… IF(AND({Date 1}, {Date 2}), DATETIME_DIFF({Date 2},{Date 1}, 'years') & ' years & ' & (DATETIME_DIFF({Date 2},{Date 1}, 'months') - DATETIME_DIFF({Date 2},{Date 1}, 'years')*12) & ' months') It currently outputs “2 years & 4 months” for Column 1 (correct), and “2 years & 11 months” for Column 2 (incorrect). Column 2 is 1 day off 3 years exactly, and I need a way to round it to the nearest month. Any ideas would be very much appreciated.

Rollup based on max date in source table

I have 2 tables… Companies CompanyID, CompanyName, ContractIDs Contracts ContractID, ContractTitle, EffectiveDate, ExpirationDate, CompanyID They’re linked together via the final field in each table where 1 Company can have multiple Contracts. I want to create a field in the Companies table to display the ContractTitle of the most recent contract but am struggling to find a solution using Rollups. Of course, I can add a field to Companies using a Rollup that takes the MAX(ExpirationDate) to at least give the latest contract expiry, but I can’t find a way to use that expiry to bring back the single ContractTitle field with that expiry per Company. Appreciate any thoughts at all on whether this is possible!

How to change the first view that opens in an iOS app

Is it possible to change the first view that opens in an iOS app? When I open a table, there is always a view that opens. It’s not the top view, it’s not a favourite view, it’s not a previously opened view. I think the web version keeps the previously opened view, but iOS doesn’t seem to do that.

Regarding sending SMS and updating the status of receivers

Hi, I’m manually sending an SMS through Twilio with the SMS app. I have a view called “Stage 2” where all the records that enter this view, should receive our reminder SMS. I created a field called “Sent SMS” which is a checkbox field. Is there a way to automatically set the “Sent SMS” to ‘ticked’ or ‘true’ after the SMS script has run? In order for those records to be filtered out of the “Stage 2” view and not get another duplicate SMS next time we manually send one out. Maybe a script that batch updates all records in view “Stage 2” under field “Sent SMS” to “true”? Could anyone know how to approach this?

Paste formatted text from Excel into Long Text field and maintain formatting?

Is it possible to copy formatted text (Italicised in places) from Excel and paste it into a Long Text field (with RTF enabled) and maintain formatting? It would be great not to have to re-italicise hundreds of fields manually when pasting this info in. Many thanks!

Importing one-to-many relationship

I have a table of species, 1 per row. I have another table (.csv to import) where species are linked to habitats. Each row is a unique habitat, and several rows may be linked to the same species. I want to pull the habitat types into the original species table, where one field captures the many habitat types linked to the species. using linked fields and rollup or lookup I can not get it to show me all the values of habitat that may be associated with a species. It just shows me the first one it comes across. I chose linked to many when I linked it. I searched the archives but couldn’t find the answer to this question (though I’m sure it’s here somewhere) - apologies - I link to the answer would be very welcome rather than rewriting it. Hiding columns, records, tables, or bases from employees (Basic restrictions)

I have seen several posts about this, but they are older. I need to be able to limit the views at various levels for my employees. Per Airtable, you are supposed to have most data grouped together, and use views to filter it. But then there is no way to hide sensitive information from employees which makes all data available to all people. Crazy! All I am trying to do is track projects, but I don’t want my entire company to have access to the financial info associated with each project. Basic basic stuff. I am hoping this has been resolved as it is a pretty basic function. Competitors seem to have it figured out. Airtable, if this is not available, when can we expect this basic function?

Is there a way to share a view of one record only?

Hi! I have a membership community and I am using the Gallery view of AT to share my ‘roster’ of members. I am able to share the whole “gallery view”. What I want to do now is to only share a single record in Gallery view to my members. This concern was discussed in the AT Community last 2019. Then, this feature was not present in AT and a third party offered their product to offer this specific service ie miniExtensions Is there an update to this from Airtable developers? Is there a new solution for this concern?
