Base Design

Hey,My main table has a few dozen thousands records. In order to complete the process, I also need data from around 10 different tables, each of them also has a few thousands records. If I want to aggregate data from all of them in the main table, I'm reaching the records limit. My thing is - it's kinda waste of my database space to keep the details from all the tables, if I just need it to lookup one field and it's not being used for anything else.What would you recommend, what's the best practice? Hardcoding with automation and deleting is definitely not one of them.A great solution would be, if it was possible to sync many tables into one, (but not in the way it has been released recently), for example:if one of the fields in DB 1 is license plate, I would sync just lookup fields from another base with all the plates, directly to DB1 without having to create linked records and another table.not sure if I was clear enough, what are your thoughts?

Hi there. For a while I have been trying to figure out the following. Maybe you can help.  For our participants we measure there progress over time. We do this by filling in a form about every 2 months.  We have one base with all the participants (personal data).Since one participant can follow multiple trajectories, we have one base with all the trajectories linked to the participants.  The results of the form also appear in a seperate base. I am attempting to build a Crypto Liquid Pool tracker and trying to figure out my base design.I'm not sure if anyone on Airtable has done anything like it. Hi folks, Happy Friday. I am searching for some help/guidance on the airtable platform. I think/hope my client's needs are quite straight forward and have outlined them below 1) A full league table, with the following fields: Name, Golf Club, Handicap, Number of 2's this season.2) Needs to be easy to update at any time and sort to show who is in the lead etc3) The ability to create a league within a league to play directly against your friends. So for example the overall league may have 1000 players, and there may be 100 additional private leagues with between 2 and 10 people in each. So players would always take part in the overall league but would also potentially play in another league or leagues against a select group of friends4) This will be displayed on a website, and ideally should have the branding on it and have a golf/sports/competition based theme to make it fit in with the website5) Ideally the "join now"

I'm building a process for Employee Onboarding. Here's what I'm dreaming of (and have started building):1) Recruiter gets the signed offer letter and needs to do some things (their name, phone number, role, who they report to). They enter this in a form.2) That form puts those details into the base and kicks off some next steps. -I'd like the new hire to get a form to enter some things like their birthdate, bio, etc. Kind of some "get to know you" things. These don't go any futher, just get put in the database so People Ops can do team building things with it.-The manager gets an alert and fills in new information (what equipment will they need? gets them log-ins to team-specific software)-At the same time, HR works on things like getting them enrolled in benefits and payroll. So, some things can be happening in parallel. Hello I have these four pieces of data: Project Name {Text Field, Primary Field} Project Start {Date} Project End {Date} Project Team (multiple people) {???} *can be separate table I want to be able to create these views: a gantt view for my projects This will show the project name and the start and end dates a gantt view for each individual team member This will show each project they are working on My team will consist of four individuals that will be working each project. Some projects will have all 4, others will only have a couple. I need to be able to see how many projects each person is working on and how long they will be busy with projects. For the Project Team data I’ve tried linked records, collaborators, and mult-selects but they aren’t being treated as individuals, they are being treated as a group in all the versions of the gantt I’ve tried.

I have a question about how to handle member data in a specific set of circumstances.I have a membership base. One table has the members' names and organizations they belong to, if any, in it. People join this organization. Sometimes they join as single people and sometimes they join as a couple. So far I have able to easily handle the single/couple issue, except for when one of them becomes a board member/officer. Now I have to find a way bifurcate them. Do I put them in individually? If so, how do I handle when they join or renew as a couple? Or even better, leave a legacy? Hmmm. Is a puzzlement. And how do I handle when one of them dies?Any thought or help will be truly appreciated.Best, Scott

I would like to hide the primary field in a gallery because I want to use a long field for the title. I understand primary keys and keeping the title short. No problem. But, I don’t want to publish the primary key but a long field. I attached an example pic of what I am talking about but not sure anyone can see it, since all I see is a link.

In the course of project management, the employees have to submit a monthly performance report (%) for all current projects to our controlling department.Example:Project XYPerformance report Nov. 2023: 75 %Performance report Dec. 2023: 85 %etc.It would be great if the value of the previous months remains and is not overwritten, but I don't want to create a new column for the upcoming percentage entry every month.I would be happy if someone could suggest a solution to this.Best regards & thank you

When I use Aritable I either get the solution straight away or spend days knocking my head against the wall just to find out I’m overcomplicating things. I have a table for meetings that is linked to a Personnel table and an attendance confirmation table that is also linked to the Personnel table.When a meeting is submitted, an email is sent to each linked personnel record with a form. The form is prefilled with the meeting ID and the Personnel's name. When they submit, it shows that they attended the meeting.I'm trying to find a way - within the meeting table - to show what personnel (linked in the meeting table) have not completed an attendance form using a lookup into the attendance table to find the personnel name. Any ideas are greatly appreciated!

Hello!  I'm trying to come up with a formula or script or something that will let me know when a duplicate record was entered into my table.  I know I can use Dedupe to find current duplicates, but this is an ongoing issue and would love to be able to be alerted if something is entered into the base that already exists.  I saw another thread from a few years ago that said this was possible with a script.  Anyone have any insight?  Basically I'm thinking that when a new record is created... the script will run and based on the results of that script it either will or won't send me an email.   Hopefully that makes sense!

Hi, I would like to be able to share and sync data from multiple workspaces of clients to 1 table in my own base/workspace. For example, I have 10 clients with 10 fields in their base and I would like to have 2 of those fields automatically synced and stacked onto each other into one table in my base/workspace. (Instead of having multiple tables from multiple clients in my base).A solution that we're currently using is having a form that clients can use to add data to our base and a client view on that base in the clients workspace. But that limits the client doing changes to fields that are not in the synced table. Ideally clients can work from their own base and can add rows themselves and can change everything (and not having us to change certain fields that cannot be changed due to links to other tables in our base). Thanks for you help!  

Hi all, I currently struggle with how I should manage all team members. I would like to have them in a table called "People" (Person Name is just a single text field), with Birthdays, Joning Dates, Headshot image, title, which domain they belong to etc. Then other tables like tasks will have an assignee who is linked to the peoples table. So far so good. This would allow me to have nice overviews within Interfaces like in this template:No I noticed during Form creation for Tasks that I can't have a default value "current user", nor that automatic notifications are possible if someone got added to a field. Is there a way to solve this and bring this together?Like if I select a "User" in a task that they will get notifications and that the task will be then also linked in the "People"

I'm working on tracking progress for multiple offices and their checklists. Currently, I have two tables - 1 with the Checklist and 2 with the Progress Report. The Progress Report is setup where the first column is the office name and the linked record field/column needs to select multiple records. There are 22 offices with around 25+ checklist items. It has been super tedious going through each line and added the linked records one by one. Is there any way to select multiple records at once to add it to the linked record field?

Hi, just trying to get some advise on how to start creating an inventory managements base on airtable. We provide kits with have their own unique indentfying number - and each kit contains devices which we record the serial numbers of - they belong to each individual kit. Is there a way to build this out so that the Kit ID "contains" the unique devices? But still make them moveable and flexible ? We also will need to track stock that has not yet been built into a kit - but all with have unique serial numbers. Many thanks for any insights! 

I'm a new enough user that I don't really know if this is a Base Design, Automation, Sync, or Formula question - apologies.I use Airtable to manage a golf travel business and I have one Base that is a client list with 2 Tables (Names and Past Trips). The Names table has 20+ fields/columns. I also have lots of additional Bases that I use to manage the individual golf trips.I would really like to pull in information from the Client List Base to each of the Trip Bases. For example: I have a Roster table in each Trip Base where I list all of the travelers in the first column but I would also like Airtable to automatically pull in each client's Email, Phone Number, and Handicap Index from the Client List base (since they are all tracked in Fields in that Base).Is this possible with the free version of Airtable? And if not, is it even possible with one of the paid versions?Thanks very much for any suggestions.

Hey everyone,Really excited about the new dynamic filtering feature that was just released. I’m trying to implement it on one of my bases but I’ve hit a bit of a snag trying to make it work in my use case.Here’s the deal: I’m with a company that handles housing for employees on a certain project. The employees work in rotations, being on the project for three months and then off for a month, before coming back again. To keep track of apartments and maintenance, we have check-in and check-out forms. The catch is not everyone fills them out because there are just so many of them, and it’s tough to keep track.Right now, when filling out the forms, employees pick their name (which links to our Employee table) and their apartment (linked to an Apartment table). After they check in, their name gets linked to that apartment, and it gets unlinked when they check out. (This gives us a clear view of who's in which apartment at any point in time)What I want to do so

This is a basic hack to sort a simple list of pre-determined roll-up values (e.g. 12 months) without a script or 3rd party automation.In the example below, month values from the Sub-items table are rolled up in Items table / Unsorted column.  Columns 'M1', 'M2', 'M3' use a REGEX_MATCH formula to check 'Unsorted' for the corresponding values.  The column 'Sorted' uses a series of IF statements to to join these together in the right order.

Hi,  I'd like to create a "Business Health Check" Dashboard, and I'm thinking Airtable might be a good way to do it,  but as a new user I'm not sure how to start. Basics:1. Dashboard view:   Show changes to each category over the past few months (line charts most likely)2. Form:    Owner would fill this out weekly with data for that week3. Data/Questions (this is where I'm not sure how to lay the data out for the questions, or to record it in a way that the charts could use it).  Question examples    - Time Period (Date 1 to Date 7 - usually a week - ie Mon-Sun)    - Booked for how many days out (likely do this as a number field:  1,2,3,4 .....     - How many new inquiries did you get from x source this week?  Number field    - How do you feel about business this week?  - Drop down selector - Not Good, Good, Indi

1. The Date Time Button in the filter when we select a date the data is not the same in the table where it is linked? When we select the past month, the value of the data is not match in the table when we filter it2. Can we do math operations in a table that is not in the same row but in different row?

Hi,I have a table named "Customer" whose field is "Address"I also have a table named "Invoice" where the associated fields are "Target Customer" where it is linked to "Customer" table and it can linked to many customers; and "Latest Address" which is a roll up field.In my case, i only want to retrieve the last address of the last linked customer. So if i have ["Customer1","Customer2"] in "Target Customer", the "Latest Address" must be Customer2's address only.How can i achieve this?Note: Customer1 and Customer2 are not related to any created time or updated time or any min max value. I have a base that is mostly photos, with reference numbers on each one. Because the photos are the "main event", I am trying to use gallery view to print and/or save as PDF.However, I find that cards often break across pages, and sometimes leave the photos invisible. See example, attached.Is there a way to make gallery view print so that cards do not break across 2 pages?
