Base Design

Hello, We have an Airtable base which has grown organically over the course of many years, including a number of different users. The main table now has nearly 350 columns, many of which are no longer being used, but it’s not clear exactly which. Similarly, there are hundreds of views that have been created over the years. We’re looking for a way to audit which columns are used (i.e. which columns contain data which have been modified in the last few months) and which views are used within the organisation. We can obviously survey our users, but we’re wondering if there are any clever tricks for inferring this information? Cheers Edd

Hi everyone, I am mostly using Airtable from my iPad and I have noticed a minor inconvenience. I am using several Single Select with several long text options, when adding a new a record, I cannot see the option "text"in full, instead I see the first part and 3 dots. Is there anyway to see the text in full? Unfortunately I cannot shorten the options.

Wondering if there is a better/easier way to do this? I have a table full of project data. These are connected to various high level collections. I am using rollups and lookups for a lot of this data to the Collections table. Many of these are rollups using the Unique array. However for some Lookups and Rollups that show all the data, I would really like to have identifier so it rolls up a list of the primary field + the data. For example recordA: $99.00, record B: $85.00 Right now to achieve this I need to duplicate many/mnost of my fields to creat a concatenation of primary field and the data I want, but I feel like this makes the base grow really large and would be cleaner/easier for everything if it can just do this in the rollup/lookup field directly?

Hi everyone, Okay this may be a confusing question, but hopefully not. Basically I work as a freelancer so it’s really beneficial for me to see how much money I have in completed/ projects I am working on compared to how much money to date I need to have made. I have these number on a table of mine by using an automation to add in each day the amount of money I need to make to pay my bills for the month in as a negative number. In addition to all of the various projects I have worked on/ am working on for the current year. Both of these “money in” & “money out” type records are grouped so I can have the totals from those groups showing as a sum which at the bottom of the table shows me the difference so I know if I am behind or ahead for the year money wise. The only issue is that it’s graphically so small and at the bottom of the screen that I literally never look at it. Is there like anyway I can have this number be at the top left hand conner of my table as like a banner? Ugh I

We have a small video production studio that has enough people to need a better solution to check out equipment. We set up a table with all of our inventory and a separate table that has all of our tasks. In the task table, we set up an equipment checkout form that allows has all the equipment categorized and available to check out. It’s the best solution that we have found so far but I feel like there has to be a better way. Hi! I have been looking to build a gannt chart that has the ability to measure different timelines for different projects, and I want to be be able to see the whole process. I have seen a couple of floating gannts but it doesnt really fit my need. I am looking to build something similar to the photo below. Does anybody have any idea how to create something like that by any chance?

We are looking for a consultant in Los Angeles to work in person with a small team within our company on building our Airtable and design the user interface. We are migrating from a FileMaker based system and will have a variety of automations.

Apologies for the n00b question but I just started working with AT yesterday and I’m up against a deadline. I’m wondering about best practices for base design for the case of related tables in a base. I am converting a massive Excel spreadsheet that currently has over 80 columns in a single sheet. My initial thought was to break that into 3 separate tables where I use the same unique ID in each to relate the records to each other. My end goal is to have an interface for reviewers where I can show all of the relevant fields for the related records in each table. I have successfully imported the excel data into a base but I got stuck designing my interface because I can’t find a way to use the Record Picker to select the unique ID once and have that atomically pick the related records from the other tables. So all of that made me wonder if it makes more sense for me to just create one table with all 80+ rows in it and then make views to simplify using the Grid. That makes me sad because

Has anyone come up with a way to automate the process of duplicating task records from a completed project plan with new dates?

Hi! Each record in my base has information about a specific business and the business zip code. I would like to add a filtering condition based on location. For example, I’d like to filter for records of all businesses within 100 miles of Boston. I know I can search for a specific zip code, but I’d like to be able to instead search for a radius around that zip code, to identify all records within a geographic range. Is this possible in a standard base, or with an app addition? Or is there some other location search workaround? Thanks!

Hi! We’re in the process of designing our base, and we manage an association where businesses have multiple employees within each membership. I’m trying to design a base to keep track of event attendance, event registration, membership (which is paid for under the business), lunch orders etc. Having trouble deciding: Do I setup my base with each contact as the primary field? Or should it be the primary membership holder as the primary and their affiliates listed in separate columns within the primary membership row? I’m thinking of having my event information (registration, budget, tasks) in a separate base so its easier to view and filter. We hold about 2-3 events per month. But this information (attendance and registration) will be a column in the main membership base. 3)Also we hold events at 3 different locations, would it be detrimental to have a base per location?

Hi Folks, I’m a project manager with about 30 clients. At any time, each client has one live project, and then it gets archived and we log the next one. So I only have to handle 30 projects at any time. So, I’m trying to use AirTable to export to Outlook as well as to track the projects in detail. I have a base setup with a Clients sheet / tab as the master, so that each Client can eventually accept multiple (sequential) Research Projects. I have that Clients sheet linked Research Projects sheet / tab with the key elements of a Start Date, Draft Date, and Delivery Date. (Reasoning behind this: Start to Draft = my research and writing stage; Draft to Delivery = my editing and checking stage). I am using those three dates in each Research Projects record to keep things simple. What’s my best way to set up a calendar or timeline view (or set up filters?) so that I can see the projects and track them at each stage? So I need to be able to see color code or other designation for Start → Dr

I need data analytics. There will a lot Tables and thousands of records for this. Is this Possible in Airtable?

Hello, I have set up a form that has a dropdown menu of dates. I’ve linked them to a table of dates. Things I need help figuring out: 1) I need the dates to only be available in the dropdown menu if they are at least 24 hours from the current date. 2) I need the table of dates to auto-populate for every Mon, Wed, and Fri and to each have a label depending on the day. 3) I would like to include a time with the date table as well, they are all at 4pm EST but I have had trouble with timezones before.

I have the following hierarchy within my agency: Customers: Who take multiple services each month Services: Which are made up of multiple tasks Tasks: Which have multiple people work on them, all taking a different amount of time People: Who have a different hourly cost I have built the following tables in Airtable Customers Services Tasks People I have a ‘Services Delivered’ Table and each month we add to it the customer and the service they have taken (a new record/row for each). What I’m struggling with is how I can create a report (or a table first that needs to facilitate this) that shows me the amount of time spent on services that month by person. I’m guessing this would need to roll up the volume of services added for every customer across the month and also roll up the tasks which make up those services and finally rolls up the time by person spent on each. I just can’t figure out how to report on that or if and how I build a table to report on tha

I have several survey forms, and they shares some duplicate questions. Moreover, one participant can fill the form multiple times. Is there a way to achieve as many of these bullets as possible? There is a way to aggregate answers of different forms of one participant into a place Each participant doesn’t have to answer the same questions in different forms (if a participant has already answer those questions in form A, then they won’t be shown in form B, or already has the answer) Whenever a participant redoes a same form, then I can track the changes in their answers

Hi, I’m trying to be smart about setting up a base design, but might be overcomplicating it: I have 9 product teams, who at the end of each sprint will send out a form to their respective partners, asking them to review the working relationship and progress (so two parameters). I have set up a base for a single team with a form collecting the reviews in one table and an other table calculating the average per parameter, per sprint. Ideally, I’d like to have all of the teams in one base, since I can’t sync more than 7 on the pro plan. Is there a good setup for this? The product teams need to have separate forms, as they have different partners and different sprint dates. Could I potentially have all teams in the same base, and let them send out their survey from their respective table? I’m afraid it’ll be a mess since I want the product teams to feel ownership of the reviews, but perhaps I could create different table permissions? Thanks in advance!

I am trying to create a base to track contributions. I am tracking the contributors, different funds, and the contributions themselves. Each is in its own table and I am cross-linking the Funds table and the Contributors table in the Contributions table. I also have a roll-up for total contributions for each contributor and I have a roll-up for the total amount received per fund. I then created a form to input. This works pretty well. The problem I am running into is if someone contributes to multiple funds then you have to submit a single form per fund. I would like to be able to enter the amount given to each fund in one record. That could be done by just making a field for each fund type in the contributions table, but that prevents me from being able to get a roll-up of the total contributions to a specific fund in the Funds table at least as far as I can figure out. Is there a way to give the end-user inputting the data the ability to input all the funds being contributed to

Hi all, i run a maintenance company and we are looking for a solution that allows us to assign a large amount of tooling out to each team/individual. There was a previous topic titled “help tracking check in/out equipment for our small video studio using barcodes” this was helpful but i need to be able to do a bulk scan rather then input each item separately. for example, team one come to the tool container and grabs 20 items of tooling each has its own barcode assigned to it. ideally we open up a table named team 1, quickly scan all 20 items and they appear in that table. upon return they are scanned again and removed from that table. this is just my initial thoughts, maybe someone has a better idea on how to set it up, it just needs to be efficient as a lot of equipment will be signed in and out daily thanks heaps !

Hello all, I have created a base with 2 tables. Table 1 is the Sign In Table. It is fed from a form as I cannot allow students access to the table. Also, due to HIPAA, I cannot allow a list of their names to appear in the sign in form. This means they have to type in their names manually every time they sign in. This leads to typos, errors, irregular spelling, etc. All in all, it is sloppy. The form is updated every day with fresh typing and fresh errors as we cannot have folks viewing other names. I also have a sign out form that feeds to Table 2. The same issue happens about typing & new dates equals new input & new errors. I am relying on the hope that they can get their birthday typed in correctly so I have something I can work with which will appear in both tables. Here’s what I need: A way to see who has signed in but not yet signed out. Due to variations in poor typing, I cannot trust anything they type into the form so am hoping the birthday has the best consistency as

Hey folks! Having a rollup issue. Using rollups to aggregate outstanding debts. The rollup is conditional based on a multi-select for “debt” the first two records sum up fine, however the most recent addition is not being aggregated in despite satisfying the conditional. What am I missing here? Thanks for your help!
