Base Design

I’ve seen this asked elsewhere but not answered yet. I need to be able to create a list of options (for a single or multi-select field), order them, color code them, do whatever I need to do to them, and then be able to use that set of options in more than one place. Throughout a project, or even across different projects, I am often developing my own taxonomy and using that taxonomy in multiple places. At the moment, this doesn’t seem to be possible within Airtable unless I create my own reference tables and then link them, which is kind of a pain. It would be so so nice to be able to create something like a “global” options list, which I could reuse in any table or base, and only ever have to update in one place.

Hello! My table has an “all contacts” tab, which contains all the contacts our organization works with. We work primarily with two different groups - teachers and volunteers. We have an Airtable form for teachers to sign up to use our services, and a different form (in the same tab) for volunteers to sign up and help. We have a column to set their “Category” as either teacher or volunteer (this is currently a multiple select category because we have a few other tags and they are not mutually exclusive). Currently, when a new sign-up is recorded, we need to look at the record and manually tag the entry as a teacher/volunteer. Is there a way that, depending on whether the teacher or volunteer form was completed, the newly created record can automatically be tagged as either “educator” or “volunteer”? Thank you!

I’m setting up a rollup field to concatenate record IDs for general items that match a set of filters. There is a form input box to accept plain text, but it does not accept column names or cells as inputs. Is there a way to make it do that similar to a formula?

Fairly new to AirTable. I currently am trying to build two surveys for my org’s membership. My goal is to automatically link the records in Survey2 (Email, Organization, Role…) to Survey1 (Name, Email, Age…), but I don’t want users to be able to see the names of everyone who has submitted a response to Survey1. Is there a way to have them input their emails in Survey2, and then to automate AirTable to look up the record associated with that email in the table for Survey1, and update the name field to be linked to that record after they submit?

HELP PLEASE!! I have a table with a LOOKUP FIELD, pulling a date from another table. The date in the original table is correct…but the lookup field in the second table is pulling a date one day earlier. I cannot figure why this would be! Any help is appreciated.

Hi! I am currently trying to curate panels by using a multi-select field to list all the panels and tag my records with people in them. Some people are selected for 2+ panels. In another view I am then trying to view my panels by using the group feature. The problem is if a person is a fit for two panels, it creates a new group. However I don’t really care if a person is on two panels (nothing is happening simultaneously). Is there a way to keep the grouping singular?

I am trying to create a form for room booking, I want a field where the organiser fills in the name of the attendee complete with a separate column for contact number. I don’t want to get this information from another data base as each meeting will be with unique attendees, so a linked data base would not work. In addition if all 600 users have to add the name of the attendees with telephone number in a data base that is then looked up it creates GDPR issues. The object of the attendees section is to have a contact number for track and trace should another attendee fall ill after the meeting. So all I am looking for is a 2 column word type table where the attendees name sits along side attendees contact number. Does anyone know if this is possible?

Hi Team, I am seriously struggling with the basics here, so appreciate if someone can guide a noob towards the right base structure. To give some context, the idea that I am building is as follows: Patient goes for a guided injection treatment for musculoskeletal injury. Imaging clinician adds Patient Name and Patient Mobile Number to Airtable form embedded in site. At specific intervals (day 0, 1, 3, 7, 14, 28) the platform will send an SMS poll asking about pain levels. The patient replies with a single number from 1-10. [this is done via Zapier and ClickSend] Imaging Clinician can then receive report with Patient Name and Pain Scores or alternatively log in to site (planning to use Memberstack) to access their data directly. How can I edit the Cover image of a Base?

I don’t think what I describe below is possible in Airtable. I’d love to be wrong. I’ve looked into junction tables, but I still don’t think that will solve this issue. My question has been asked with variations in these forums, but I wasn’t able to get the results I wanted from what I found. I am creating a new database for a museum. We want to give each object a unique identifier. None of the 3,000+ objects have any kind of number assigned to them. Let’s call this field Object ID. I have another field called Object Type that has 4 choices (Tool, Musical Instrument, Action Model, Other). I would like the Object ID to be assigned automatically based on the record number but prefixed like this: TO0004 which means Tool #4 MI0017 which means Musical Instrument #17 AM0004 which means Action Model #4 So the sequence of numbers would start over for each type of object. Airtable mobile Android app not letting me take picture and upload attachment on new Samsung Galaxy Note 20 Ultra. When I push the camera icon on a record nothing happens. It used to bring up my camera. I could then link that picture to the asset record. I inventory assets. I need this to work. I have also reinstalled the mobile android app 3 times and gone through permissions 3 times. Same thing every time, I push the camera button and nothing happens. The work around is to take a picture with my camera, then link the record. I don’t want to waste time on that work around. What am I missing here???

Ok, I am pretty sure I posted this before but let me try again to explain an issue I have that is impacting my web page. I created a gallery of News items with pictures. The Primary key in a date field Airtable defaults to sort oldest first I set sort to oldest last because when folks get to this table I want the newest items displayed first. All this works but here is the issue: 5. Each time I go to input a new record Airtable always starts at the bottom with the oldest posts and I have to scroll to the top to see latest posts. Not much of an issue because it is only me and the scrolling to get back to the top is not a big deal. 6. The issue is that on my WIX website the same happens to customers. It shows them the latest posts and to complicate the issue the scroll bar to the top is not very easy to find because there is a window scroll and a table scroll. I’ve found a few threads on (the lack of) bidirectional links and the use of junction tables, but I still can’t find the right answer for the following use case, which I’ll describe two ways. Example 1: I have a list of kids in a class, with the names in Column 1. I want to say that Abby is friends with Billy and Charlie (perhaps in Column 2), and want Billy’s row to automatically update to show that Billy is friends with Abby and Charlie (and have Charlie’s row to update showing he’s friends with Abby and Billy). As of now, I can create Column 2 to reference Column 1, but I have to manually ensure consistency of the relationship in each direction. I am new to Airtable and this is what I am trying to create: I have a list of different projects that have 6 to-do’s (all the same to-do’s) that I need to keep track of as to when they get completed for those particular projects. I created two tables (Projects (table 1) and Tasks (table 2)). I figured out how to link to another record, but I can’t figure out how to add checkboxes to the list of to-do’s for each project so I can check them off as they get completed. I’m trying to make a database of art competition entries. What i have so far is in the first table, the names being the shows, then having a linked table to the paintings. Then a column for dates. The only thing is, I’m trying to add a field for if each painting was accepted to each show. Up to 5 paintings can be entered into 1 show, and they can be entered into multiple shows. Each painting can have a different response (being accepted or denied), and the response for each show for each painting can be different. Does anyone have any ideas on how to set this up?

Hi, I am trying to prefill a linked field in a form but I don’t want the user to be able to modify it. I try to things: I hide the field using a never accomplish condition and using prefill_ on the iframe url but the field is not sent it to the table I remove the field from the form and try sent it via prefill_ on the iframe, but the same result. Today I logged in and my database was back to the way it was about 4 months ago. Many records and record changes were gone. I can’t figure out why this has happened. My only guess was it had something to do with clearing my browsers cache. However, I opened airtable in a different browser, and the lost changes were still lost there. I have a free account, so only 2 weeks of history from airtable, but when I went into history, it said there were no changes in the past two weeks and that the last sign in was like 6 months ago. That is definitely incorrect. Where has my data gone?

Hi, I’d like to use airtable for a Chat messaging app but when i see the pricing page and it says 5000 records per base i am wondering how to set up the base and tables to ensure i don’t go beyond the limit. As chat messaging between members will be very frequent it will keep adding the comments as rows. Is there any way to insert the new comments/chats in a more optimal way to ensure we don’t hit the limit soon? Any tutorial link for Chat/message oriented app? Anothr question i have is if we use a filter date (say records > 30 days), the filtered table shows lesser number of records. So, does Airtable treat the current records after the filter is applied or will it consider the unfiltered records?

I am very much a novice, so please forgive me if this is an obvious question. I am not even sure if I am asking the question in the right way. I have a product database that contains thousands of listings and about 50 columns of data per listing. Visualize that these products fall into a variety of different ‘brand names’ that are specified in a column. I want to use the Translate Block to translate some of my product descriptions into several different languages, but I don’t want to translate all of them. It seems like I would create a duplicate of my main base and somehow just include the brands that I want to translate into that base and then add the translate block to that base. Is that correct? The reasoning behind this is because the Google Translate API charges for translation based on character count and it could get very pricey for me to translate a lot of products to multiple languages if I do not need to.
