Hi community!I have an airtable that tracks VFX shots as they come in from vendors. One sheet (delivery) tracks every shot as it comes in, including the same shot with a different version number due to fixes or changesOn a separate sheet (topsheet) I have a master list of all the VFX shots in the filmOn the delivery sheet, I link each record to the master vfx record on the topsheet. That way I can see every version of a VFX shot delivered and track commentsThe issue I have is that the producer likes to see a list of every shot that is either 'not started', 'has issues' and 'passed quality check'. The issue is, because multiple deliveries are linked to the master shot, the master shot can be both 'has issues' and 'passed quality check' as the old versions are linked. Is there a way to group the 'topsheet' so that one group is all shots 'not started', all shots that have issue but none that have passed qc, and a group that is any shot that has at least one 'passed qc'ThanksJames
How would you set this up?Department 1 is in charge of sending contract to customer, receiving contract, sending invoice and receiving invoice for initial payment. Once initial payment is received, Department 2 is notified and now needs to complete a certain number of tasks for 'onboarding that customer'. When those tasks are complete, Department 3 is notified and they have their own number of tasks for that customer, and so on.Thanks for any advice!
Hi! How many tables can a base store? over 100?Is there any way to sync tables within a base?I have 6-7 tables in a base that stores task templates (based on accounts that get managed by various people). Originally I synced them to another base but changed each tab to specific accounts we manage. Since there is a 10 sync limit, I am trying to find a work around. Is there any way to have a template of tasks in a base and sync this to 30+ accounts other tables within the same base for task manage. I ask because, I am thinking that if a change needs to be made to the task manager, it would be quite labor intensive to change each accounts task list. it would be nice to change the template and have this apply to all of the tables the template is synced to - one swoopfor context: we have 90+ accounts we manage (schools). Tasks vary based on school system but are generally the same for all school systems. Staff manage multiple accounts across a variety of school systems. My goal is t
I want to create space in between weeks of records so that it's easier for the client and me to view. Attached is a photo how it's currently set up, but I noticed when I skip a record, it still documents it as "blank." So when I group it by week, those blank records are kept together, but I don't want them to be shown at all--if that makes sense. Please help.
Hi Community,I have a lot of tabs which are all green, however all these tabs consist of various process flow.I would like to assign different colors to the tab, may I ask how to change grid tabs to have multiple colors?Thank you!
Hi!I am new to airtable so I am looking for some help. I am trying to create a database/input form for data that will be loaded into powerBI.The goal is to analyze revenue streams in PowerBI. Each revenue stream has a set of fields, among them are StreamID (Unique), report date, department, revenue type and $ sum. For each revenue stream I want to be able to allocate a percentage of the sum to the brokers in the company. The number of brokers per project varies. What I am wondering is how I can create multiple key value pairs for each revenue record in my database? I currently have two ideas for how it could be solved:1. Putting an allocations field in the revenuestreams table that contains multiple key-value pairs, i.e.:StreamID(many fields)Allocation1...{Peter: 20%, John: 80%}2...{Peter: 40%, Eva: 60%}I know this would be possible with a multiple select field where the user enters a delimited string, i.e. "peter-20", "john-80", however this is a very iffy database design a
Is there no way to turn off the permissions to create forms for users?I do not see a way to turn this permission off for users, it appears anyone able to create any other view is able to create a form. It would be nice to be able to turn of the specific ability to create form views. Without having the ability to set required cells inside the table itself, we have ended up relying on using forms for our method of inputting information into the tables as we can control required fields in forms. We use both the normal view forms, and forms in interfaces. The issue currently is that anyone with the ability to create a view is able to create a form which allows them to bypass the requirements of the intended forms and interfaces we have made to ensure that our data remains in a somewhat stable state. It seems like a weird loophole that users are able to bypass required fields unless I am missing something. Has anyone else run into this type of problem with their users and if
Hi CommunityI am using the Zendesk sync and have realised that I am only getting the first comment on a ticket and follow-up comments are not coming through. Can anyone point me to documentation that explains how Airtable connects to ZD?I am assuming it is the Ticket API but wondering if there are any details about the standard capabilities of the sync out there. We have a ton of customer fields in ZD so it is a nightmare trying to go through everything to identify what looks like a standard way of working. tl;dr - I want to see all the comments (at the very least, the public comments between the customer and Zendesk Agent) in Airtable - anyone know how I can do this?
While I can do this manually, is there a method either when creating a linked field.. or after, to determine the the field it is linked to.For instance, we are tracking several fields in a loans file with our contacts table. So, for instance, the fields, Borrower, Co-Borrower, Buyer's Agent, Buyer's Agent TC, Listing Agent, Listing Agent TC, Title Rep, etc. all link to our Contacts. I created the relationships from the File_Loans table. So, in the Contacts table they look like this:I can link a record in each field and determine the linked field - allowing me to provide a better name on this side of the relationship but... Is there a better way? Thanks.
If anybody has any step by step guide to automate the data flow from Workday to Airtable, could you please share. Ex: Using Workday Rest/RaaS calling or API etc.
when adding images in attachment fields is there a way(or extension) that can pull metadata from the image file like document title, description, keywords and add them/assign them to fields in Air Table?
In table 1, I will collect the personal data (+ product data) of customers who want to advertise the purchased product via the form.In table 2, I would like to keep a list of all customers (with all personal data) + which complaint cases they have + the total sum of all complaints they have (per customer). How to connect the tables to each other so that all personal data that comes from the form (in table 1) is transferred to the customer table?I already tried with lookup fields, but if the same customer has two different complaint cases, the values are doubled.https://airtable.com/appAHXw6BaUIsoBE5/shrjZYXs9PpqyquLy
HELP! I am new to Airtable. I signed up... chose the lemonade stand template as a starting point, and set about my first base! Task 1 was getting about 300 rows into the inventory table. My intent is to use this to build shopping lists for my deli. I have maybe 8 suppliers... added a column called "Category" to allow me to sort by things like Produce, Deli Meats, Beverages, etc.... Finally figured out how to import the data. Cleaned it up... and added all the categories.. Now the fun begins. I opened the app on my IPad and go to the inventory table and I see "Main View" and "Low Supply" as Views I can choose to look at the data on the ipad. I go back to the web interface, duplicate the Main View into a new view called "Shopping List" and a second called "Order List". Both of these have several filters and groupings. I also added one final column to the Inventory table called "Order" as a Yes / No check box. The workflow should look like open "SHopping List" on the
I am creating a database to which hobby enthusiasts can contribute by filling out a form. Think of this database as a sort of wiki.I am using Airtable in conjunction with pory.io to display this database for access to the public.Since attachment space is limited, I was thinking about using external images. This is doable by making a URL field, then setting the image on pory to the URL field. The problem with this is each row of data can have many images. How do you provide images without having to create 10+ URL fields? My base is already a mess and I am currently trying to work on the best way to go about collecting and presenting data.Images are a vital part of this database, sort of how product images are vital for a product page.I was also trying to implement a tinypng script I found on the internet (for making file sizes smaller), but it deletes all but one image when it runs. I am so glad I tested it out on a dummy base first. 😲Please keep in mind this is all on a fre
Hello guys,My main concern is whether, after deleting a record in Airtable, its Record ID will be reused for any newly-created records in the future. Is there a possibility of encountering duplicate Record IDs?Additionally, since there is a limitation on the number of records Airtable can handle, I'm worried about reaching this limit and whether it might cause issues in terms of potential Record ID replication.I would greatly appreciate any help or clarification regarding these concerns.Thank you all in advance for your assistance and support!Best regards,
When I’m searching for an existing record with a linked field, the search field only searches the primary field (in my case it is an autonumber). Is there any way to search across other fields as well? For example I have another field that is a text field and contains the name of the request.
Hi all! I need users to be able to re-relate records between two tables (for which I built a nice interface). What’s the best approach to make the re-linking as easy for humans as possible? I recently switched out all my primary fields to be the UID instead of something human-readable but non-unique because the hunan readable format was non-unique and led to duplicates. So I was thinking the best would be to be able to filter the “link-to” dropdown via a different field than the primary field, but that doesn’t seem to be possible. Suggestions?
When I go to choose a related record, I see the name of that record.Under it I see several other columns that provide more information, some of which are redundant to the record name. Is there a way to customize this to select the fields underneath (I would love to show the related Notes field, as example)
Hello. I am new to AirTable... not new to the concepts of relational databases...I created a simple "base" that I used the Lemonade stand template to get me going. I added a few fields to the main inventory table. I added a table to link to the inventory called Categories. It will help with filtering and sorting. It is for a small restaurant to help with ordering inventory. For now, I just need to use it as a shopping list, but see the potential. This thing could track inventory, etc.... Next, I imported the data. Roughly 350 rows. Next, I created a form to enter new items. Lastly, I created two new views into the main table... one that only has the item name, the category, and the supplier with a checkbox for a field called "Order". The workflow should be that i bring up the Shopping List. It sorts, groups, and filters things so it is easy to walk around the place with the iPad and scroll through the list, tapping the "Order" checkbox for the items I would like to order. Finally,
My Airtable is a simple deposit of client data most of which is there for storage purposes such as address and only some details I will use all the time such as phone number. I am an accountant and I could group blocks of fields into sections like PHONES, ADDRESS, TAX, PAYROLL, ACCOUNTS (AND OTHERS) and I guess there might be 100 fields or columns but I only ever want to see 10. The ADRESS section will have 5 fields for 5 lines of the address and the TAX section will have about 20 fields for all the tax reference numbers. How can I “GROUP” sections of fields such as ADDRESS or TAX and HIDE or UNHIDE them whenever I want to. Also would this GROUP hide / unhide function be available in both the grid and expanded record view.
Account restrictions: Free PlanPlease note that rows are very precious as I am creating a database, so creating more rows is not feasible for me. I have already hit the row limit on the free plan. 😅I would like to automatically select a size from a drop-down menu when the user enters a number. For example:A user enters a number from 100 - 119 and the table will automatically set the single select drop-down as "Medium".A user enters a number from 120 - 300 and the table will automatically set the single select drop-down as "Large".I am not sure if this is even possible, or perhaps it is possible with a formula.Tips and suggestions are welcome!
Hey I have the utilization setup, I am able to see daily utilization of each user in the timeline view as shown in the image below. How can I get more out of these daily utilization percentages ? Things I would like to get 1. User Average weekly utilization for the current week 2. User average utilization from a specific date to current date3. Average of utilization of all the users
Hello!I am trying to build something that I don't know how to build, and I think that this community can help!I need to set up an overview of a high school advisory curriculum where I can see several grade levels at once (overview) and then units within each grade level. Then I need to be able to see how those units articulate vertically. For example, we have a digital citizenship unit in each grade level, so I need to see where it exists in the yearlong calendar (scope & sequence) for each grade level (horizontally) so that the person who is delivering that unit is not in 4 places at once. I also need to see that one topic vertically (the details for grade 9, grade 10, etc.) so that I can see how it progresses over the years and make sure we are building on what they did the previous year.Would love to be able to chat with someone to work through this idea - just to get started with set up! THANKS!
I have a view set up, and I would prefer not to display the primary field in it. I wanted to inquire if there is any way to hide this field within the view. Alternatively, if there are any other methods or workarounds to achieve the same outcome.
I'm trying to migrate some data I have in Google Sheets, to Airtable.I have a table, which is full of reservations/bookings. Each booking has a checkin and checkout date, and is allocated to a property. A booking also has a Status.I would like for each row (booking) to also have a field, Next Booking Reference. In Google Sheets, I had a formula which could find the Booking Reference, for the next booking after this one. I've created this shared view to serve as an example:https://airtable.com/appV8ivwvEiMnsmNf/shrUwgmVMY4O41Ki0In this example, Booking 1 (Karl), the Next Booking Reference would be Booking 9 (George). The conditions for this are:Booking has the closest greater checkin date to current record's checkin.Booking is not cancelled OR blackBooking has the same property as current record. Is anything like this possible with Airtable?Regards,Karl
