I have a task table that includes a single select field for the collaborator responsible for the task, I am looking for a way to auto-populate other data about that collaborator (their phone number as a simple example). I thought I could have a table of info about each collaborator but the Collaborator field doesn’t seem available as one of the fields I can use to use LOOKUP. Any ideas?
I have no idea how to design this aspect so I will just spell out what needs to happen. I will be working off of the free version for now. Ultimate goal is to create a database to hold all my subcontractors information. Contact information, skill set with level of proficiency and program knowledge with proficiency level. i.e. Collaborator John Smith will look up one interface screen and see all his contact information and his chosen skill set and programs. Another interface will be available for each collaborator to look up a skill set or program and receive a result of the name, email address, skills and programs of all collaborators that match that criteria. It is ok if this result is just pulled up in a filter table. I am having a problem designing the base to collect the skill set and program information the correct way. Example of what I need to capture 1st table has Collaborator name and contact info. Skill set will include information such as: OPTION A - OPTION B Bookkee
I have a basic two table design: tblACCOUNTS and tblACTIONS. The tblACTIONS has these fields: Description, Date, Status, and Account. The latter is the link back to the tblACCOUNTS records. tblACTIONS will have lots of records for each Account, but typically only a few with Status=Open and only one with Status=Open AND the most recent Date for that one Account. I want to have two fields in the tblACCOUNTS that show me the latest Action record Description and Date, where these query/filter criteria apply (in pseudo SQL): FOR EACH Account WHERE Status=Open AND DATE = Latest the result being my tblACCOUNTS shows not only my tblAccount native fields, but also the date and description of the “last action” (as defined in the above pseudo SQL) for that account on the one row. Can I do this? How? Tks.

Hello Aerotabulators! We are small online translation agency. At present, we use a Google Sheet to keep track of client orders/linguists whom projects are assigned to/delivery dates/status (not quoted/quoted/assigned to linguist/delivered). This system starts to burst at the seams. Question is: is Airtable the tool we need in order to create a simple project tracker? We would like the new system to be dynamic (we can e.g. look up all jobs that are late or find all jobs that are completed so we can invoice). Ideally, this is something the team, which is all over the planet, could access. If there was a way to create quotes in Airtable, email them to client with an “accept quote link” inside the email and a loop back to the Airtable database, we would probably cry with joy. Only asking the Community before we dive in – your advice could save us a sharp learning curve. Cheers!
Hi! Is it possible to have a form populate a linked field? For example, if I want users to fill out information about themselves, and I want the “organization you work for” column to be a Linked Field, how do I allow users who fill out the form to “add” a new record for their organization? At present, it will only allow them to select organizations already in the database. The workaround is to create a text field called Organization and then convert it to a Linked Field later, but that’s not ideal. Any way to do it or just not possible?
I set up most of my air table a few weeks ago and came back on today and features have disappeared. The Colours Option at the top has gone but I have also lost all the multiselect options when I click in the cell? It’s made it not very usable. Is this a glitch?
Hello everyone, I am quite new to the Airtable world and for this I ask you for help. I have 1 base with 1 Employees table (with all the personal data) and 1 table with the relative data refresher courses and related expiration dates, type of certification, etc. (each employee can participate in many courses) What is the correct setting of the 2 tables like the definition of the primary fields? I am new to Airbase, having used spreadsheets for many years. I am trying to create a learner progress tracker, but have hit a brick wall and need some guidance please. I think I have structured the base incorrectly to be used efficiently. I am trying to set up a base that will have learners who are linked to a qualification which contains multiple units that contain multiple criteria that have to be passed twice for each criteria. I have so far created linked tables for learners, qualifications, units and criteria. These work fine for one learner. My issue is that when I add a second learner, I have to duplicate the a copy of the units and criteria tables and manually link it to the qualification table. As I have over a hundred learners this will get quite large. In a spreadsheet I can split cells to form sub headings, but I can not do this in Airtable. Any ideas would be greatly appreciated. Greetings! I’m managing forecasts and actuals in a base with multiple tables. We built all the budget line items for each project in Table A. For example, forecasts for Q1 Project Sock has wage = $10k, prof services = $20k, and contract labor = $55k. Basically a table with each column as a PnL item. We have a separate table and view for finance partners to complete the actuals against these forecasts. However, to avoid having 50 columns and causing fatigue, we have Q1 Budget as a column. As such, the individual line items show the project total ie wage = $85k, prof services = $85k, contract labor = $85k. How can I connect or create a formula that pulls from Table A only the line item amount into the finance partner view line items? Thank you!
I am trying to keep track of a modest inventory of trailers. Sometimes they are here, and sometimes they are out… But I want to audit everyday… looking to easily find the trailer brand/serial number and check of several conditions (location, contents etc…) and print this information… is this possible in Airtable, and if so, how?
Been tinkering away with systems and methodology - this evening I got thinking (dangerous in itself) of how I could use Airtable to design/showcase product codes, and hopefully even allow users to develop their own products with this base. However, preventing me from pushing forward is a limitation of Airtable that’s stuck year on year - but interestingly it really hasn’t bothered me until now… where I realise it’s kind of in the way and a big deal… so I figured I would try my luck and ask for some opinions on these lovely forums. So for an example - Let’s say, we’re Willy Wonker’ing it all up in our bases :tophat: :lollipop: ; We can use this “Candy Code” table to name and design our candy products and associated codes - however, as the colour red can apply to both strawberries and apples, we have a slight dilemma with a need for adding multiple reds into the Colours Table. I have Table A where a user inputs some information to make a record. This information gets concatenated to create a code (Input Code). This code I want to use to search in Table B for a matching code. Table B is my ‘Rules’ table. Next to each input code, is an output code. I want that Output code from Table B to be sent back to Table A which is then used to populate some further fields based on what text is contained in the code. So Table A is my main table. Table B is my ‘Rules’ table which is comprised of many ‘Input Codes’ and in the next field, an ‘Output Code’. I want to be able take my concatenated code from Table A (a.k.a. my Input Code - which is generated by concatenating info the user has just entered into a few fields in Table A) and search through Table B for a matching ‘Input Code’. Is there a way to synchronize filters between tables? Table A: users Table B: books Table C: movies I want to print books and movies for a single user. I go to table B: filter them by user name. Then I print it. I go to table C: filter them by user name. Then I print it. I’d like to apply one filter (by user name) on both tables at once. Is there a way to do that?

Hello everybody, I created this multiple select fields, and as you can see in the picture after I put “102 &103” in the first record and move to the second record then the options “102 and 103” also show there. Now I know this is the basic design of Airtable but is there a way where if I put multiple options in a record I would not be able to or they wouldn’t be visible in any other record in the same column? I have two records that I am trying to combine into one record. Each record is uniquely linked to a number of other records. What I’d like to do is copy the data from one record and paste it into the other record, without replacing what’s already in the second record.
Hi all - We’re wanting to setup a new Button field in our Base that when clicked, takes the user to a Shared Airtable View URL that is pre-filtered for the row of data that was selected when our button was clicked. For example, in Table 1, we have a list of Projects. In Table 2, we have tasks or deliverables, linked to each project. We’d like a button in the Projects Table (table 1) to take the user to the Tasks Table (table 2) when clicked, and pre-filter the Tasks Table by the Project ID where the button was clicked. I was playing with a mixture of existing support articles from Airtable on buttons and shared URL filters but wasn’t having any success. I’m creating an inventory management base and I want to have a count of product per location (shop, truck 1, truck 2, etc.) and I want to be able to move quantities from one location to another (3x product moved from shop to truck 2) without subtracting from the total product inventory. So for example, if I had 27 units of product A, 20 are in shop, 4 in truck 1, 2 in truck 2, 0 in truck 3, 1 in truck 4. I want to move 4 units to truck 3 from shop. When I add to truck 3, I want to be able to select the original location and subtract the number that I moved. I’m not sure if what I want can really be done or if my description makes any sense but I’d love any suggestions.
I have a table with an Employee Name and Manager fields. The Manager field is a self-referencing link to the same table using the Name field. e.g. | Name | Manager (linked) | |-------|---------| | John | Sally | | Sally | Peter | | Jane | Sally | | Peter | | What I would like to do is add a count of the direct reports of each manager. Hello! I have a long list of names in one of the views of my airtable base. I have indicated in my base who amongst my contacts is connected to each of those individuals. Currently, when I click the field to enter the names of of one or more of these people, it brings up the full contact list when I only want to filter by the column “ie. Prashant X” that lists that particular individual’s connections. Is there a formula for this?
