Base Design

Hey Guys! Hoping everyone is well. I'm finding myself wanting to bulk-update records by a specific field and I'm wondering if this is possible? Does anyone know? Is there a script or anything? See the two fields? "Goes out to" and "Status"? Both are single select and currently I need to update each record individually which is time-consuming on some of our tables. They can have hundreds of records that need updating. What I would loooooove to be able to do is select multiple records and update the statuses on the selected records in one action. Anyone have a way to do this?

Hello everyone,I'm experiencing an issue with one of my Airtable bases and a Google Drive synchronization. For the past few days, a specific table that is linked to a Google Drive folder has stopped syncing. I haven't made any changes to the base, the Google Drive folder, or the synchronization settings.The error message I'm receiving is: "Unable to sync new data."I've already tried checking the connection to Google Drive and restarting Airtable, but the issue persists. Has anyone encountered this error before or have any suggestions on how to resolve it? Any help would be greatly appreciated!Thanks in advance."

I’d like to use AT to create a Directory of our 400+ members.  I’ve set up the fields + form for Members to submit their details. I would like to also use this for our internal team - so they can record notes of all calls with each member and other details.  I understand how to create hidden fields that the members don’t see, however I’m unclear on the best way to create the “member notes” piece -- should I link to a Member Notes document on our Google Drive or can I do this all inside of AT?   We will be asking Members to complete the profiles and for those members who do not, we will add them but keep their profile private.  I’m unclear how to do this also. I’m also unsure how to set up my team members to be able to access the directory backend to add notes.  I’m on the free version and hoping to not require an upgrade.  Any help is welcome!  I am not a ‘techy” but feel confident it should be relatively easy to do.  Tha

Hi I receive email orders and would like to add the received emails to the order record in my Airtable. Tried a drag and drop but this transfers the message from Outlook as a .msg, which can’t be read. Occasionally there are multiple emails, and I would like to have them all in the same place, with the particular order. Any help appreciated!

I have reviewed countless resources to learn about structuring bases for linking records and using the Lookup function, but none are effective. Is there any way to have a screen share call with someone at Airtable or in this community to show me how to understand this ?Thanks ...

Hello there,We have been thinking about how to approach this, but it seems we are unclear about the options or simply don’t see the solution.We are creating a base designed to handle multiple tenants.Tenants must be able to view and edit only the records linked to them. Additionally, we are facing a challenge when linking new records, as it appears that the records must be manually assigned by selecting a collaborator (i.e., current user filtered view).That’s the general overview.Key questions: Beyond linking collaborators to the current user, is it possible to associate users with a group and dynamically use that group to filter views in interfaces? Does the Portals feature provide the functionality we need? Since there is no trial, we cannot validate it ourselves—perhaps someone else has insight into this? I can’t be the only one who finds the edit field dialogue box for single and multiple select fields outrageously small, can I? If we have two or three dozen options, or even more, how are we supposed to manage them when we can only see three or four at a time? Is there an extension or something that helps with this?  

Hello, my airtable is used within data within a project management platform I built in sotfr. my client portal users enter data via a softr modal which lands into the airtable and a softr table view that displays the entered data. I need each entries of by user to be auto-numbered from 1 to whatever the final entry is.For example if the data represented a christmas wishlist, and little bobby entered a “toy truck”, “building blocks”, and “book”, I need the list to show:toy truck Building blocks bookAnd if little tommy entered “Basketball”, “ipod”, and “ball cap” the list should be basketball ipod ballcapThe number needs to be hard coded to the entry, so that when the list is sorted differently the number follows along, for example, if I sort little tommy’s list within the softr presentation layer alphabetically the list should be:3. Hi, I would like to create a fitness tracker for our climbing team. I periodically test our athletes (ie, vertical jump, shoulder strength, etc). I would like to track each athlete’s test scores/numbers, enter that information into airtable and have the ability to track each athlete’s improvement for each fitness test. One test is the vertical jump. I will need to test their standing reach and then standing jump. Ideally, I want to enter standing reach every so often (not every test) since the kids don’t grow that quickly. But I want to update standing jump every time we test. How do I enter standing reach into airtable and be able to retrieve that for future tests? I would like future tests to record standing jump but then reference standing reach in order to calculate vertical jump (ie, standing jump less standing reach). Thoughts?

Hello folks, I am new to Airtable, any help is highly appreciated. I have different tables under the same base that tracks existing inventory and sales. I would like to create a third table that summarizes data for example I would like each row to represent a month and calculate profit/loss for that month but if I use rollup or formula fields it will apply the same formula into entire column which doens’t help my case. I need unique calculations to be carried for each row as each row will represent a month. 

I’m trying to display metrics on claims details on a line or bar chart.  I would like to be able to insert a “goal” line so we can see easily if we are above or below our goal.   Is there a way to do this, or is there anything in the works that could accommodate this request?

I’m missing which field/value is used with two tables are linked. Can someone point me in the right direction? In particular,  I have a master business directory table and I want use automation to push in the linking value to the separate Department table. I would have thought that they are linked on the record id, but when I try to push the Department record ID into the master table, it’s not recognized. It seems to want the department name, which is not always unique. Is there a place to see the linking values between tables?

Hello, I am using FILLOUT forms in integration with Airtable.I saw something strange, that if I define a filter on records in my database, then in FILLOUT, I can only select the records that are displayed in the database, even though they are in the table, they are just not displayed because of the filter.Does anyone know if there is any way to solve this problem?

Hi,I’m trying to create a field that tells you when the next due date of your credit card payments are, based on what their monthly due date is (e.g. 5th of every month) and today’s date. I know I’m creating a string that looks like a date and not a date itself, which isn’t a problem for me.My issue is that the comparison I’m using to check if the Payment Due Date is before today, a simple comparison of values really, is returning one wrong result! I created extra formula fields to see where things went wrong, and I cannot for the life of me figure out what the issue is! Basically, when I compare the number in Today against the Payment Due Date, with this formula: IF(DATETIME_FORMAT(TODAY(), "DD") > {Payment Due Date}, "yes", "no")  I get an incorrect result (Payment Due Date 5 returns “no” when it should be “yes,” because 22>5). I don’t get it. Does anyone know what’s going on? Thanks a lot! 

Dear all, I do have a base with several tables in it of which HCO’s and HCP’s are two.  HCO’s are Hospitals where HCP’s (doctors) are employed.  I would like to be able to select and/or display hospitals based on whether or not certain HCP’s are available in a hospital (e.g. : display hospitals which do employ orthopaedic surgeons but do not have ophthalmologists available.Tried Airtable support, which came up with scripting.  Please feel challenged to propose  a non (or very, very, low) code solution for this! Thanks so much,MichielThe Netherlands

Yeah, we can turn a single-select status-like field into kanban view workflows for teams. Got it.But how to add more info for each of these kanban workflow steps? To document the workflow, to give team member easy access to "what should I do at this step?" Links to related assets, templates, full docs, Loom videos etc?Yeah, you can do a 2 table approach, where you have a more robust "Steps" table instead of a single-select "status" type field. But then you lose the ability to have a "steps as kanban columns" view.How do you all build card-moving kanban views that also act as helpful process deocumentation for each of those steps?thanks!

Hi, I’m part of a small growing business. We are looking for inventory database options as we begin to expand. I was curious if any other food-related businesses use Airtable for their inventory tracking? If so, how’s it going? Do you believe Airtable will be a good option as your company expands and grows?

I welcome some quick feedback on my Base / Tables set up.   I have multiple projects I manage and after 2 months of using AT I’m increasingly concerned I’m digging a hole based on a flawed setup.  Is there a resource for me to get 10-15 minutes of evaluation / input?   

My team’s use of Airtable is growing a lot this year. As we develop new bases, there is basic, teamwide information that is repeated in tables across those bases. For example - locations, events, people.I’ve researched synced tables and feel like I have a basic understanding of how they work. Often, though, my experience is that I learn while building or doing work that a certain feature doesn’t do what I thought it would do based on my research.So I’m just looking for community feedback on this approach - perhaps setting up a base that houses tables with these basic details and then syncing those to multiple other bases. Are there limitations on the way you can use/interact with data that is coming from another table that make this not worth it? 

Following the advice to have all info on one table and use views, I have successfully created a one table base for my law library. For views separating case law and articles, for example, is easy. I have a field in which I enter a letter according to the subject. eg for cases, enter C, for articles enter A. For a different project, I should also like to have a one table base, but am unable to work out how best to add records where each primary field record (the record in the primary field) and its different fields have numerous records in the same field. For example: Existing Setup: 2 tables. Table 1 and Table 2 In each table I have 3 fields including the primary field. In Table 1, this primary field is renamed Property Next field is Y, the next field is Z. In Table 2, the primary field is Date. Next field is Location, next field is Notes. Location field is linked to Y in Table 1. Add 5 records: In Table I in Y

Hello everyone,I have a Google Sheet with multiple tabs, including one main tab called DATA which is updated at regular intervals. The other tabs in the sheet rely on this DATA tab using IMPORTRANGE and other formulas, so I can’t isolate or split it into a separate sheet.My goal is to sync the DATA tab into Airtable, ideally in near real-time, so changes in Google Sheets reflect automatically in Airtable.The problem I’m facing is: Airtable’s direct import only works with single tab Google Sheet. I cannot split or isolate the DATA tab into a new file, as it will break all dependent tabs using formulas. Has anyone successfully set up a sync in this kind of setup? I'm struggling to set up a two-way sync between two tables in the same Airtable base: Clients and Campaign Management.Here's the Setup: Clients Table: Contains a full list of clients and their program levels. Campaign Management Table: Used to track each client's active campaign status without cluttering the Clients table with extra columns. What I’m Trying to Achieve: When a client is marked as active on a specific campaign (e.g., Facebook) in the Clients table, that status should automatically appear in the Campaign Management table. I’m new to AirTable so forgive me if this has already been answered. Is it possible to create one form that will enter records into two different tables? I am making a form to enroll a student. The first 4 fields, Name, village, birth date will go into a table of students. The next 4 fields: semester, year, study group would go into another table as these would differ from year to year.
