Hi there, I’m building a sort of Vendor Management system for my business – it’s not too different from a CRM. I have my Contact and Company tables all linked up and ready to go, but I’m trying to see if there is a best practice for linking a specific contact as the main contact for an organization (or the primary contact). I’ve thought of a few ways to do this, but wonder how anyone else has done it. I don’t really want to create a linking table with roles which seems overkill. I am thinking the best answer is a second link to the contacts for primary contact which only allows a single link. Thanks for any suggestions!
Hello! We have been using Airtable to help clean up our Pre-Season planning for scout camp this year and it has been awesome. I am now trying to tackle a way of recording merit badge records and am having some trouble. Here’s my goal with the base. 1. A table lists all of the merit badges that we offer (around 40). This is the part I’m really struggling to figure out how to accomplish. This table will display information such as, total number of participants, completion rate, weeks offered, etc. Sort of as a directory to quickly find a specific badge, but also to see summarized info. Here’s an idea of what I might want it to look like: 2. A specfic spot for each merit badge Each merit badge has its own list of requirements that we check off throughout the week. Some simply have requirements 1-6. Others have Requirements 1a-d, 2a, 2b, 3, 4a-c, and 5. It widely varies on a badgr by badge basis. I have a table that has columns Book names, a Genres lookup, and a third column containing an array of votes for each genre in that same order as the Genres lookup. I’m having trouble conceptualizing how I will search for something like “Show me Books with “Business” genre tag voted on over 150 times”. Tried already (new to Airtable): Looking for a formula that will let me index to a position in the vote array such that I can concatenate it with the genre Thinking of a third table that will join the two. Just can’t wrap my mind around how that will work, being new at this.
I’d like to have a bunch of questions in a base, each question labeled, and create a form for a label which asks all the questions from the label and fills in answers into another table. Is that something that’s possible?
I need to set the base up to reduce the SUPPLY inventory when I sell a Jewelry inventory item, so that I can keep track of when to reorder supplies. I guess for now I’m thinking I need to create some kind of rollup formula field in the supply inventory from USAGE that reduces inventory. But I don’t know if this is possible with multiple supply items that compose the jewelry item. Maybe I need to go about it differently but I can’t work it out. I have been working on a few bases and thinking through the structure but I am running into some major blocks in my understanding of Airtable. I have an inventory Base of different products (Rum, Whiskey, Tequila, Wine, etc). I want to create a table that will auto populate in-stock items when an ‘in stock/on shelf’ checkbox is clicked in the respectful table. Then remove from the table when that checkbox is removed. I don’t need all the information to transfer over, more just the name of the item. The purpose is to just get a quick glance of inventory in one sheet rather than go in to each table.
It seems like this should be easy but I am so confused. I have two tables. The NAMES table has a NAMES Field and a SEQUENCE field that is a formula field that calculated how many days ago the record was created. Therefore, The SEQUENCE Number for a record increases by 1 each day. The MESSAGE Table has a MESSAGE# field with 100 records numbered 1-100 and a text field called MESSAGE. I am trying to make them related fields so I can see which people from the NAMES table have the same SEQUENCE # as the number in the MESSAGE# field.(so the associated records for a MESSAGE Number will change each day). If it makes any difference, I will be using this to automate sending out SMS messages but am stuck with the setup for some reason/ Any help is appreciated.!
I have two tables. The NAMES table has Names & Addresses The MESSAGES Table has a DATE field with every day for this year, and a Message fField with a different message for each day. My use case is automating a way to send a text message to every name in the Names table. I tried creating a Formula field for now() in theNAMES table so each record has today’s date. I was thinking I could then use a lookup to bring in the appropriate messag (Today’s Message) into the Names Table but evidently, I can’t use a formula field as the basis if a lookup. Can someone suggest how I can accomplish this?
Hi, I’m discovering Airtable right now. I try to set a simple database to explore the tool in a project management environnement with automation. I have a master project table. I have another table to collect form responses, related with project. I would like to update project rows with some information of the collected form, when a form response arrive. I understand the concept of trigger. I’m pretty sure I could do it with Integromat or Zapier. Would it be possible with native automation tool in Airtable ? Any suggestion would be very welcome. Hi all, See if I can make this understandable…When adding records to a job it keeps nice built in summary count, (see black arrow) but some views will purposely not have the correct total because of what they are allowed to see, would be nice to let them know there are other tasks, just not in their view… is there a formula or some way to have this SUM value update in like a Count cell as it changes?
Availability to Zapier, Integromat, Airtable, and Jot Form. Have one base which is a form that creates questions in field entries onto the base. Could I connect that base with some roundabout way to make a form that’s sent with the questions that are in the base fields as a question, to the customer that’s linked for them to answer to and reply to?
Hi everyone! As i’m discovering more and more about the potential of automations and apps in Airtable, i’ve recently come up with a project idea that I think Airtable can handle with the proper setup. Basically I would like to create an automated jobcenter where individuals could signup through a form where they input a certain amount of variables (which area they live in, what type of company they want to work for etc.). Parallel to this, companies can select their own criteria as well as location and create new job opportunities with similar criteria. What I’m trying to achieve in terms of automation is that the match of several criteria (location+type of job) between individuals and jobs would result in a notification email sent to the individual to alert them of a new job matching their criteria. If I understand correctly the current possibilities of Airtable, this type of multi criteria matching isn’t possible straightforward. But i believe there might be a workaround or some kind
I’m rolling up a list of quantities, and need to determine which quantity was the most recently ordered. I have a separate Rollup field on the same table identifying the most recent date, but I need to be able to set the value of the filter on quantity rollup to only show the quantity when the production date matches the date I have in the second rollup field. Is there a way to set the value of a filter to match a field value? Cheers, AK
Hi folks, I am attempting to do what the title says. I made an example that demonstrates the type of setup I’d like have, viewable here: My First Workspace I made separate bases for attendees (names) and events (date+location), and synced the sole “Attendees” table (the list of names) as a new table in the “Event Attendance” base so that I can manually add each person to an event as an attendee. However, what I cannot figure out how to do is to have those date+location attendance instances transfer over to each attendee’s record in my list of attendees (the “Attendees” base). I tried typing out everything I did but it sounded way too confusing, so if you have a second please just check out my example (it’s super simple, only two bases with a few fields each) and let me know if you have questions about how I set it up, or if what I’m asking is unclear. Hi, I’d like to conduct a lookup to group items into classes based on numeric values. I have a table that already does this. It’s called TextileWeightKey and it looks like this: In case the picture doesn’t load, the important columns in this key table are WeightCode (the primary key), MinWeight, and MaxWeight. The first record has the values L1, 0, and 33.9 respectively. The second record has the values L2, 33.9 and 67.8, and so on. These represent different classes of textile weights. All of the L1 class textiles will weigh between 0 and 33.9 grams per square meter (gsm), all of the L2 class textiles will weight between 33.9 and 67.8 gsm, and so on. In another table, Textiles, I have a records representing many unique textiles. Each individual textile has a specific weight, such as 17.4 gsm and there is a field in this table (TextileWeight) that receives this value from those doing the data entry. I would like to have a lookup field in the Textiles table called TextileWeightCo
How do I get contacts to automatically link to a company in Company table if the company name matches a name in the Contacts table
I’m a newbie so this may be a dumb question. I’m building a To Do list. I’d like the primary field to be a Single Select for category (priority to do, shopping list, normal to do, etc.). Since Single Select is not available for the primary field I thought of using a formula that would simple be the name of my category field. This works, but duplicates data in the category field leading to confusion. I thought about hiding the primary field, but this also is not allowed. I then thought of auto number, but this too is not allowed. I tried the function record id. It works, but what it returns is confusing and meaningless to the casual user. Can someone suggest a better way? Thanks
Hi Folks - Somewhat new to Airtable but have done deep dive and feel pretty good about how things work. I am developing a grant application processing Base that is pretty complicated. One of the necessary evils is long primary fields. Like 25-50 chars. We maybe be able to trim them in the future, but becuse the primary field is so important in Airtable (ie, card headers, text that displays for linked field values, etc etc), it has to be real and not a numerical code etc. My main primary field is like this: 2020-059 - ABC - Smith Tract - Big River State Park. It has been creating all types of issues on import, commas were an issue until I killed them (easy fix) and then creation of “quotation marks” around primary link fields in other tables as I turn primary key links on and off in working on getting the base made. ANYWAY - i had a corruption issue occur where additional spaces got inserted in the primary field, evidently where the key got wrapped in a given view, and then it stuck.
I am seeing odd behavior with Link to another Record when it come to Commas. If I have a comma , in a Single line text field then copy the field and paste it into another Single line text field I get a comma , as you would expect. But if I have a comma , in a Link to another record field it is displayed as a comma , but when I copy it and paste it into a Single line text field the result is a comma surrounded by double quotes “,”. Or if the value of the Link to another record field is used in a formula it returns a “,” instead of , Any idea why and if there is a way to fix this?
Hello I am trying to implement in airtable, the control of sales that are made live in order to: Know what product and quantity ordered by each customer To be able to have control of the status of the client’s order. The way I solved it is a lot of manual work since I register for each product ordered by the customer (see image) What I don’t know how to do is, how can I register a single product, associate it with all the customers who buy that product (so far it’s simple) but how can I control what each one asked for? So, I have read a number of posts about this topic and am still confounded. Basically, this feature is not working at all for me. I thought it worked when I initiated it, but perhaps just missed the fact that it wasn’t narrowing records at all. My two use cases that are important to my schema that is a very complex grant application review process: EDIT - I see that is says record selection and that indeed ability to select new records is limited to a view. So is this a feature request for Limit display of records to a view for Linked Record View? Basically a rollup that is a live link to the record? Is there any other way to do this? Instance 1: Budget Lines table is many to one relationship to Applications. Each budget row either has Match information or Request information. If one has info, the other is blank. This allows me to build a budget summary in one table when grouped, rather then one table for match and one for request (and follows rule of parsimony as far as I can
