Hi,I am completely new to Airtable and, tbh, to any form of database and analysis. I am working as a writer and coach.One company I work for has some trouble with its organization. A few things go wrong in administration, and we are trying to track them to the best of my abilities.Usually, it starts with an appointment (name of customer + date of his appointment). Then the contract has to be sent out, be signed, come back. A first payment has to be made. Some customers reschedule. We have to send out additional material after the appointment, plus an invoice, and that should be paid...I am not sure what (exactly) to track, and how to analyze my data afterwards. (i.e. would it be better to just have "invoice" yes/no, or should I have the date it was sent...?)Since we are not sure where problems could lie, I am not sure what to track.On the other hand it seems that my objective is not a beginner's task (I want to track the customer's journey on one hand, and the appointment's on the othe
working on developing a better crop plan. each year, i have spreadsheets and my planting and harvest information never gets added so i'm trying to make a better workflow. REF reference file where most of the basic data about each crop goes. when it's plantableINVENTORY is where i store my annual seed inventory. as I go about planting stuff, it would be nice to have this updated, but not absolutely necessary.BEDS is where i have a list of beds in the field. this is also where i'd like to track what is planted each year and where.GREENHOUSE is where i would log the plants i start in the greenhouse. i have a current list and just need to add the dates when I start the plants.FIELD is where i would log the plants i start in the field and transplant from the greenhouse. Its crazy that this simple feature has not been implemented. There are many times that people would need to download all images in an attachment field. Smartsuite has this functionality and honestly its embarrassing that a 'first mover' like airtable doesn't have it. A very important feature that SHOULD have been implemented years ago.Is there any update or news wether this feature will ever be implemented or should some of us start looking at other competitors?
Hi, I'm new to Airtable and I'm setting up Bases for a company with multiple teams (marketing, sales, project management, asset management & finance). When I set up Bases, is it best to set up separate Bases for each team or to have one Base with multiple Tables for the entire company? The teams share data for Accounts, Contacts, Asset ID and Deal Amount, so those will be common to all and needs to be the universal source of truth. Does it make sense to have one Base with those common/shared Tables and then share and sync the Bases, or to just do it all in one Base? If I created one Base, it will end up having many Tables and could become unwieldly, but seems much easier to create automations if everything is in one Base with multiple Tables. The end goal is to have one source of truth.
Hi!Before the existence of the "sync between bases" feature, I started developing a rather complex base on Airtable, that had been working wonderfuly and used by different users and teams. So for every project that we start, I create another base based (no pun intended) on the "main" one, that I keep improving on functionalities.But for that base, that contain roughly 40 tables, I wanted that a couple of them were in fact synced tables, as now it makes sense that some records are taken from a synced base managed by a single person, while the projects and teams are still restriced for each different project.One could ask me why can't I register all the projects on the same base, so the sync would not be needed. But given the complexity of managing permission and the additional development effort, and mostly the visual and usability aids that Airtable give us to choose among views and filters to distinguish relational different projects, it makes much (MUCH) more sense to me to keep crea

So I have fieldA that contains a string of numbers & separators, rolled up from another table (e.g. "10|15|22").I then have fieldB that contains an integer.I need to be able to split the string, compare each number to that in fieldB and add the number that's closest (but less than) the number in fieldB into a new fieldC.Is this possible? Or is there a workaround? I'll take anything, no matter how clunky after going around in circles with this all day!
Hi Everyone!I'm using my table to manage my client database when processing their taxes. Last year I build a base where column A is all my clients- each person gets their own row. Then I have fields for if I received their tax info, what date, did I start the return, did I send them a bill, did they pay me, etc. That table is complete with the 2022 data.Now I want to use all the same headers/fields again this year, but I need all the entries to be blank except for the client's name so I can fill it out again with 2023 info.Is there any way to copy over just the names to a new base? Or to clear out all the entries in the other columns? I really don't want to have to retype everyone's name again...Thank you!!

Hello everyone 🙂I own a frame printing and painting renovation shop. I would like to use Airtable to track my shop services.I have created a form when each customer arrives that identifies them if they are on our list of known customers and if not, that allows them to be registered without having to create a second form. The rest of the form goes normally to create their renovation ticket.The problem I am having is the following:At the beginning I wanted to have a single database (tickets and customers in a single view).When I add a field to search for a customer in the database I created a field that looks up in the database and mentions the specific field to lookup (Customer ID). The problem is that this field only allows me to search in the first column of the database (the ticket ID).I am asking for your help. Is it possible to have everything on one form ? Or do I have to separate the customer creation form and the ticket creation form? If so, how do I check the existence

An event can book one or more performances which can be of the same type or different types. These types are important as the booking contract sent to the client (generated in AT + CraftMyPDF) includes technical requirements specific to the performance type.In the case where there are multiple types of performances in the same event, there is a cascading order in which technical details should be selected.Now, in our base we have all our performance offerings listed, along with their type (offerings table). These are pulled through to a booking record (in the bookings table), where 1 booking can have 1 or more performances. Client table records have one or many Interaction Table records, which have one or many Outcome records.To make the process smooth for collaborators and to reduce errors, I have a button on the Client record which launches an 'Enter NEW Interaction' form, with the Clients Name (i.e. its record id) pre-filled. Foe exammpleI frequently duplicate the live base to make test/training copies, every time I have to go into the url and manually alter the Enter NEW Interaction form's URL. (And I have several other buttons performing a similarDoes anyone know a way round this? I would really like to use the forms name, rather than actual record Id.Margaret
I asked this question in the past, but didn't get much of a response. I'm asking again in case anyone has new ideas. In this table I have a list of plant names (taxa) plus other information about the plant's habitat, etc. Plant names frequently change, and the old name is considered a synonym, while the current name is the "accepted" name. Accepted names can have multiple synonyms because the names have changed several times. I want to show only accepted names in the main Taxa Table view. If a name changes, the currently listed name will become a synonym. I want to be able to automatically separate synonyms into a different view or table once I have designated them as synonyms. BUT the new accepted name will need to have all the same associated information (habitat, etc.). The synonym view/table can just be a few fields with the old name and related information, but it will need to link back to the accepted name. Example: Mariosousa willardiana&n
I love using Single & Multiple Select Fields when designing my bases. This option helps keep the data consistent and saves some data entry time. My list of possible options tends to be long in these fields and I am struggling to edit them in the space provided in the pop-up window.I am particular about the way I sort them. Sometime alphabetically doesn't do the trick and I need to manual drag and drop them in order. However, I am finding this very hard to do bc the window size of the Single & Multiple Field Editor is so small... I can basically only see 2-3 lines at a time. Also, sometimes I want to see the whole list at one time so I can make evaluations on the content within each list and what needs to be edited or removed.Is there a way to open the Single & Multiple Field data in another larger window so I can edit these fields there?Or the ability to drag a corner of the window to make the Editor window bigger?Thank you in advance for any suggestions - or alternative wa
Is it possible to invite specific users/email addresses to specific grid views within a Base? I can only find a way to share a PW protected link or share with users of a specific email domain, but not a way to invite users to a SPECIFIC view within a base. Is that possible and I just can't find it?
Hi!I have a table with freelancers, I have another with expenses associated (payment info & dates that went to each freelancer). What I am trying to do is pull all expenses linked to each freelancer by month. So I have columns labeled with the months on my freelancer's base. I just can't figure out the roll-up formula to limit the column to only count expenses (weeks paid) per month/date range. Thank you!
I have a customer (athlete) table that is one row per customer. And a comms table, that logs when each customer posts something in our community (circle) via Zapier.Then, in the customer table I use a rollup to display the date of each customer's last post.The problem is I keep going around in circles trying to figure out how to link the 2 tables. Each customer has a unique athleteID and circleID, so it should be circleID that is the link between the 2 tables (I think?). BUT when I add a row to the comms table, it looks like I need to know the athleteID too. Isn't the whole point that the circleID is the 1-to-many link between the 2 tables, and athleteID shouldn't need to feature in the comms table?Is it because I'm trying to link tables on a field that isn't the primary key? And if so what's the best way of achieving what I need to?Thanks!
I have a 'customer' table (one row per customer - name, email etc), and I have a 'contact' table that records the date of every instance of a customer contacting us (customer ID, date of contact etc). How would I pull in 'date of contact' into the customer table, but rather than all contact dates being pulled through, only the most recent?So - kind of like how you'd use 'distinct' in SQL, sorted by date Thanks!
Hello community!I have a base I created to manage all tasks across multiple real estate development projects (>700 task records per project). There is a table that holds the Master template of all tasks required for each project, they’re linked to a project record and copied into another table [All Project Tasks] that holds all projects’ tasks (Linked to (1) [Projects]record, (1) [Roles] record as 'Owner' and (multiple) [Roles] records as 'Support').Context:Tables:[Projects] - Summarizes each project (Geographic Location, Milestone timelines)[Roles] - Records identifying 'Working Groups' associated with tasks (ie. Finance, Sales, Operations, etc.) linked to task records and [Person] records.[Person] - Records linking individual users (Name, Email, etc) to [Working Group] and [Project][Master Tasks] - Master template of all tasks required for each new development project, linked to [Working Group] records. Records are linked to a project record before being copied
Hello all! You guys have been so helpful in the past, I've got a new question to share tonight! I am working on a base to track finances. We categorize all our expenses (and income) and then budget for those categories. I need to assign a category to each transaction I import into the base. Occassionally, we will have a single transaction that purchased items from multiple categories, for instance we bought clothes and groceries at Walmart. Clothes and groceries are separate categories.How would you guys structure your base to make recording these transactions as smooth as possible?Thanks!

Hello!We use one base for each of our clients. We are doing a big effort to standardize the structure of all bases because we are many on the team and each person has edited the structure of the tables and fields to achieve different goals.Is it any way to have a main base where if I do any structure change it reflects this change automatically in the other bases? I'm not talking about sync records, our records are all different depending on the client. I'm talking about the settings of the table and the fields.Thanks!Mani.
Hello again! I am developing a base for use in tracking personal financial budgets. If it works well, we will probably adapt it for use with our non-profit as well. Here's the general structure:TablesCategories (I call them buckets)TransactionsDesignationsTransactions are added as money is spent or earned. Each transaction can be assigned to one or multiple categories via the designations join table.Each category is assigned a budget. I want to total all designations by bucket broken down by month WITHOUT having to change filters on a rollup field. Is this possible?TIA!
